  • The current effective semester(s) for submitting overrides is/are:  Summer 2021

    Overrides for other semesters should be discussed directly with the instructor of the course or with your academic adviser as appropriate.

    A request may only pertain to one semester.  Requests for multiple semesters must be submitted separately.

    What is an override? An official exception to a registration rule.  Think of it as a permission slip or a waiver for a specific registration rule.  For example, a "size" override would permit you to register for a class that has no available spots according to eServices.  Each rule is independent, so an override for one rule doesn't affect any other rules for the course.  For example, the "size" override doesn't change the prerequisites for a course - those must still be met or a separate override is required.

    So this form will grant me an override?  This form is to request an override.  It does not guarantee that you will be granted one.  All overrides are subject to approval by Biology Advising and/or the primary instructor.  You'll be notified when the request is approved or denied.

    What can't I request an override for? Your maximum credit limit, and your registration period cannot be changed via override.  Further, certain courses and overrides are invalid through this form.  You will be given further instructions if you request something invalid.

    If you have a hold on your student account in eServices, you will not be able to register for classes even with an override.

    An override does not enroll a student in a class nor require a student to enroll in a class.  If you have been granted an override, it is still your responsibility to register by the registration deadline if that is your decision.

    Unless otherwise noted, all questions that you see are required.  This form uses information that you provide to show only relevant questions.

    This form will alert you if any responses that you provide would immediately invalidate your request.  These alerts are built upon policies from VCU, the College of Humanities & Sciences, the Department of Biology, and the Biology Advising Office.  An alert is indicated by gold text and will prevent you from submitting your request.

    Pursuant to VCU's Data Classification Standard and Encryption Security Standard, you will not be required to provide any protected information through this form.  If you must provide protected information (such as transcripts), you will be asked to do so via alternative means approved by VCU Technology Services.

    Do not enter your VCU account password, date of birth, academic records, medical records, or financial records anywhere on this form for any reason.

    If you have a current Request to Withold Directory Information on file with VCU Office of Records and Registration, you are not required to use this form; you may contact Biology Advising (bioadvising@vcu.edu).

    Semester: {forWhich}

    Student Information
    Course Information
    Name {studentName} Course {subject} {biolCourse}{biozCourse}
    V# {vNumber} Instructor {instructor}
    Email {studentEmail} Override {whatError}{probableError}

     If any additional information was required for this type of override, it was provided in the email you received that linked to this form.

    On the next page, you will be asked to provide your approval decision for this override.

  • Override Information

    Please answer the following questions about your request so that we can determine what information we will need from you.
  • ALERT: If you are currently unable to register for any classes, you will need to check your registration status in eServices to identify the problem - an override will not resolve the issue.

    To identify the problem with your registration status, first navigate to eServices.  You can do this via your myVCU portal (my.vcu.edu).  Once logged in, click on the "Student" section of the main menu.  In the Student menu, click on "Registration" and then on "Registration Status."  This page will point out what is preventing you from registering for class.

    If you have a hold:  Holds can only be removed by the office that placed the hold.  From the Student menu, click on "Student Records" and then on "View Holds."  This will show you the "Originator" of the hold.  You will need to contact the Originator to have the hold removed.  If you are unable to find the originator of the hold, please contact the Student Services Center (ssc@vcu.edu) to find more information.  If a hold has been placed on your account by the College of Humanities and Sciences, check the hold's description.  If the description has your academic adviser's name or department in it, contact your academic adviser first.

    If you are not of sufficient academic standing: You can contact Biology Advising (bioadvising@vcu.edu) if you are a Biology student or contact your faculty/academic adviser if you are not in Biology.  Your adviser will be able to discuss any options that may be available to you.

    If you are not of the appropriate student status: You will need to contact VCU Records & Registration in the Student Services Center.

    If there is no problem with your registration status: The most likely reason for being barred from registration with a valid registration status is that it is too early for you to register.  The schedule for when students are permitted to register for a given semester can be found at this link.

  • Read the error message carefully and select the option below that most closely matches the exact error that you received. Selecting the wrong error may result in your request being delayed or denied.

  • ALERT: A maximum hour/overload error cannot be solved via override.  Contact your academic adviser to discuss what options are available to you.

  • ALERT: This form can't be used for level restriction overrides.  Please contact Biology Advising to discuss a level restriction override for a Biology course (bioadvising@vcu.edu).

  • ALERT: Sections with a capacity of zero (0) can't be overridden using this form because of one of the following reasons:

    • The course requires instructor approval prior to a request being made - contact the instructor for the course and have the instructor submit an override request
    • The section has been intentionally left closed until a later time in the registration period - continue to check eServices to see if/when it opens.  Always contact your academic adviser with questions or concerns about scheduling your courses.

    Consult with Biology Advising (bioadvising@vcu.edu) to find out more information about the section you are interested in.

  • ALERT: This form can't be used for time conflict overrides.  You will need to discuss any possible arrangements with the instructors of the conflicting courses.

  • ALERT: This form can't be used for conflicts/errors not listed here, or for multiple overrides at a time.

    If you need an override not listed here: Contact Biology Advising (bioadvising@vcu.edu) to discuss any options available to you.

    If you need multiple overrides listed here: Please submit a separate request for each type of override needed; they will need to be reviewed individually.

  • WARNING: This kind of override is not commonly approved and often takes longer to receive a response.

  • WARNING: Time restriction override requests are considered only for courses where the instructor has already indicated that the scheduled class times are optional.

    Time restriction override requests which meet this requirement will be considered on a case-by-case basis only.  A student's existing class schedule, academic standing, progress toward graduation, and format of the requested course(s) may all be taken into consideration when considering this type of override.

    We recommend that students strongly consider the amount of time required for each class for which they are registered, including classes with an asynchronous or unscheduled format. Online classes often feel like they require more time and effort than in-person classes

  • Course Information

    Please enter the indicated information for the course for which you are requesting an override. All of the needed information can be found in eServices using the "Look Up Classes" link.
  • If you don't know how to look up this information, click here for a short guide. [PDF]

  • ALERT: This is a research-based course which is managed independently of the standard override process. Please see the "Research" section of the BioAdvising RamPage for more information.

  • ALERT:  This course is not taught by a Biology instructor and the instructor has not opted in to using this override request form.  Please contact the instructor directly to discuss an override for this course.

  • ALERT:  Size/Course Capacity overrides are not being issued for this class at this time.  The waitlist function will be enabled for this course once capacity is reached.

  • ALERT: This is an internship course which is managed independently of the standard override process. Please see the "Internship" section of the BioAdvising RamPage for more information.

  • ALERT: VCU Forensic Science manages this course through their own override process.  Please navigate to go.vcu.edu/frscoverride for override requests for this course.

  • ALERT:  The Department of Biology does not issue the override that you have requested for BIOL 205.

    Click here to view and download the official enrollment and override policies for BIOL 205 and for further information from Pre-Professional Health Advising regarding BIOL 205. [PDF]

  • ALERT:  This form can't be used to request non-biology overrides.  Please contact your adviser to discuss non-biology overrides.

  • Warning: Classes with "TBA" as the instructor are only scheduled tentatively.  This class may be held at a different day & time than what is currently shown in eServices.  Additionally, while VCU Biology will make every effort to finalize the schedule of each planned section, we cannot guarantee that any section with a "TBA" instructor will be held.

    Biology Undergraduate Advising will independently resolve override requests for courses with "TBA" as the instructor, including requests that would otherwise require instructor input.

  • Student Information

    Please enter all of your information as it appears in eServices. If any information that you provide does not match the records in eServices, your request may be denied.
  • ALERT: Only requests with valid VCU email addresses are accepted.  A valid VCU email address ends in @vcu.edu, @mymail.vcu.edu, or @vcuhealth.org and must be associated with the Student Name and V-Number that you provide.

  • Student Program Information

    List only officially declared programs of study. If an application to change, add, or remove a major or minor is still being processed for you, do not list it here.
  • Planned Semester & Year of Graduation

  • Transcripts Required

    For the override and class that you are requesting, you will need to provide unofficial copies of your transcripts from other institutions.  To do so, please email them to bioadvising@vcu.edu using your VCU email address. This will be especially helpful if you plan to submit additional override requests in the future. If you would prefer another option, you can upload them to the secure VCU FileLocker utility and set the following settings for the file/files that you are sharing. This option may result in a slight delay of your override approval as only a select number of advisors can access the Filelocker account and files are only available to us for 2 weeks after you submit them.  There is no need to upload transcripts that are available in VCU eServices - if you can see it in eServices, Biology Advising will see it as well.

    Name the file: {vNumber}-{subject}{biolCourse}{biozCourse}-{overrideType}

    If you choose to use filelocker to share your file:

    Share With the following User ID: bioadvising (Generic Account for Biology)
    Other Settings: No password, no public link, no email notifications.

    If you do not know how to upload to filelocker or you need a guide for this specific upload, click here to view the guide. [PDF]

    You must upload all files before you submit your request.  The advising office may review your request immediately and therefore miss any uploads that have not been completed prior to submission.

    If you are currently taking a prerequisite class at another institution, you may not submit an override request until a final grade has been posted.  We are not able to process overrides based on classes still in progress at another institution.

  • REMINDER: You may not enter any academic, financial, or medical records in this form.  If you need to provide information about these records, please make an appointment with Biology Advising or send a separate email to bioadvising@vcu.edu that references this request.
