Dear Vendor;

We are pleased to do business with your firm and ask that you read our payment policies immediately below and fill out the required vendor set-up forms. The completed package should be emailed to: vendors@smpmgt.com. Once approved, your company will be set up in our accounts payable system. Please note that the approval process does not take place in the Accounting Department. To check on the status of an application please contact the property where your application was submitted.

Listed below are the SMP invoice payment policies and procedures. If these policies are not followed, you will not get paid. 

1. All Strategic Management Partners personnel located at a SMP property are required to provide you with a Purchase Order number when ordering services or goods, unless related to a monthly service contract (landscaping, pest control, alarm company, etc.), utilities, insurance payments and client requested items, such as surveys, professional services, tax appeals, etc.
2. Invoices must be sent to the Property AND emailed directly to the property manager within 30 days of delivery of the services or goods. Invoices must include the following:
    • Purchase Order number
    • Applicable unit numbers
    • Invoice made out to the PROPERTY NAME, not SMP. YOUR AGREEMENT IS         WITH THE PROPERTY LEGAL ENTITY, NOT SMP. IF YOU ARE CONCERNED             ABOUT RECEIVING PAYMENT FROM THE PROPERTY, THEN DISCONTINUe             DOING BUSINESS WITH THAT PROPERTY.
    • Invoices must be sent directly to the property via mail AND email
3. Monthly Statements showing outstanding invoices with PO numbers must be provided to the SMP Corporate Office via email at vendors@smpmgt.com.
4. SMP does not pay finance or administrative billing charges.
5. We value our vendor partnership for your service and pricing, therefore properties may not accept any gifts or gratis services with the exceptions of food provided for the entire team. Any offering outside of this would have to
be reviewed by our senior team.

 

Required forms needed for vendor application:

III. Evidence of Workman’s Comp Insurance………………Any vendor who performs services on the property premises must provide a Certificate of Insurance (COI)
with the minimum coverage requirements as listed on the attached document and completed as outlined on the attached document and demonstrated on the sample COI, also attached.

IV. Federal Form W-9………………………………………… Can be found at www.irs.gov/pub/irs-pdf/fw9.pdf

It is important to note that all relations with a vendor will be terminated if vendor attempts to recruit and/or employ any Strategic Management Partners associate.
