Terms & Conditions
The following Terms and Conditions ("terms") explain the service with which you are provided by CERES Global and what CERES Global in turn expects from you as a selected CERES Global participant ("participant"). All references to 'we', 'us' and 'our' refer to CERES Global. All references to 'you' are to the participant.
Functions & Service
- The functions of CERES Global are:
- To arrange community engagement and exchange opportunities in Australia and overseas.
- To provide information relating to the proposed engagements.
- To facilitate community engagement.
- The services CERES Global provides to participants are as follows:
- The identification and vetting of suitable engagements.
- Assistance with visa and travel arrangements where required.
- Organising meals, accommodation, and transport during the engagement.
- Pre departure support and briefing.
- In-country support that balances independence with a duty of care.
- Contact details of relevant CERES Global staff.
Liabilities
- CERES Global takes all reasonable steps to ensure that the information provided is accurate and any engagement is satisfactorily arranged. The liability of CERES Global, its agents, subcontractors, facilitators or partners, under or in connection with these terms, whether in contract, negligence, breach of statutory duty or otherwise, shall in respect of each event be limited to $20,000,000 Australian dollars and in no circumstances shall CERES Global be liable to the participant or any third party for loss of profits or other indirect or consequential loss howsoever arising.
- Notwithstanding the above, CERES Global does not seek to exclude or limit any liability for death or personal injury caused by negligence on its part or for any other loss or damage for which it is not legally permissible to exclude or restrict liability. While CERES Global has a duty of care to ensure the participant's safety it is not liable for loss or damage suffered as a result of events beyond the control of CERES Global.
Obligations
- The participant has an obligation both to the engagement partner organisation ("partner") and to CERES Global to carry out duties as agreed when the offer to be part of the CERES Global program is made. The participant must abide by the partner's code of conduct/rules, behaving responsibly, in a culturally appropriate manner, and cooperating with other participants at all times. The participant must notify CERES Global staff and facilitators of any absence from engagement activities.
- The participant must abide by local cultural and legal requirements. CERES Global reserves the right to terminate the engagement if a participant’s behaviour contradicts the code of conduct.
- If the participant wishes to leave the engagement before the agreed finish date, he/she must discuss this with CERES Global staff and facilitators.
- CERES Global reserves the right to change the itinerary of a given engagement at any stage. If an engagement ceases earlier than expected through no fault of the participant, CERES Global will take all reasonable steps to initiate an alternative engagement, and will cover any associated costs.
- CERES Global reserves the right to terminate the engagement for any reasonable reason relating to medical, safety, logistical, or personal concerns.
- If a participant experiences a problem with an engagement, he/she is required to raise the issue with the relevant CERES Global staff members, see 12 & 13.
- Participants are not to have sexual relations with members of communities with which the program engages, while the CERES Global trip is running.
Data Protection
- CERES Global reserves the right to transfer the personal details of a participant to third parties for the following purposes:
- Disclosure of information to the participant's next of kin in the case of an emergency or in circumstances where the participant's vital interests are threatened.
- Transfer of contact details to fellow and future CERES Global participants.
- Use of images, footage, or written text forwarded to/shared with us by you for the purposes of publicity. This includes both printed media and the internet.
- Transfer of participant details to CERES Global staff and to partner organisations including declaration of medical conditions, or regular medication taken.
12.1 CERES Global seeks to use any photos/video taken during a trip for promo and ongoing media use. CERES Global is happy to share media amongst participants unless otherwise notified.
The participant should notify CERES Global in writing if he/she does not want their details shared with third parties for any of the above reasons.
CERES Global complaints procedure
- Any issue that a participant has during an engagement should be resolved as soon as possible, preferably during the engagement. A participant should approach the facilitator to raise any issues, and work together with the facilitator to resolve any issues. If the issue cannot be resolved or if the facilitator is not the preferred point of contact, the participant should approach the trip coordinator and/or the CERES Global coordinator.
- It is the participant's responsibility to make CERES Global aware of any issues he/she may be having. If the participant feels his/her complaint has not been adequately addressed, he/she should send a written complaint to the CERES Global coordinator, who is obliged to share the details of the complaint with his/her supervisor at CERES.
Contribution Fees

The trip deposit is not refundable.
50% of the whole payment is refundable if the participant cancels 4 weeks prior to the trip departure, after which no refund is possible.
CERES has the right to demand payment of outstanding fees, plus legal recovery costs if any.
Sponsored Placements
- Sponsored placements are those where the participant themselves did not pay the CERES Global contribution fee, and an employer/funder/government/sponsor or similar pays the contribution fee in full on behalf of the participant. Sponsored and some students placements are priced at a higher rate than the nominated general public participant contribution.
Insurance
- It is the participant's responsibility to ensure that he/she is insured with an adequate level of insurance, for the duration of the engagement including travel time. CERES Global cannot be held liable for any costs occurring due to a participant not purchasing insurance or purchasing inadequate insurance.
Health
The participant has notified CERES Global of all relevant medical conditions and pre-existing injuries, and consents to CERES Global staff rendering or authorising such medical treatment as necessary and accepts responsibility for associated expenses.
Notices
Notices may be given to CERES Global at the CERES environment park, and by CERES Global to a participant at the participant's nominated permanent address.
Applicable Law
These terms shall be governed by the law of Victoria, Australia.
