A. MULTI-DAY TOURS: BOOKINGS AND PAYMENTS
1. Booking and Payment
- A 50% deposit is required when booking a tour more than 30 days before the start date.
- The remaining 50% must be paid at least 30 days before the tour begins.
- If you book less than 30 days before the tour, full payment is required at the time of booking.
- Payments can be made by e-transfer, credit card, or cheque.
- Your payment helps us arrange bike rentals, guides, accommodations, shuttle services, luggage transfers, restaurant reservations, and catering.
2. Cancellations and Refunds
- If you need to cancel your tour, you must contact PEI Cycling Tours Inc. directly.
Tour cancellations made 31 days or more before the tour:
- If we can fill your tour spot with another participant, you will receive a refund of your deposit, minus a 20% administrative fee of the total cost of your tour.
- If we cannot fill your tour spot, you will receive 50% of your deposit back, minus a 20% administrative fee of the total cost of your tour. (We recommend obtaining comprehensive trip cancellation insurance.)
Tour cancellations made 1–30 days before the tour:
- No refund will be provided, and you are responsible for 100% of the tour cost. (We recommend obtaining comprehensive trip cancellation insurance.)
Accommodation cancellations:
- If you cancel one or more accommodation nights booked through PEI Cycling Tours Inc., before, during, or after your tour, any eligible refund will be subject to a 20% administrative fee.
- You are also responsible for any accommodation deposits that are not refunded to PEI Cycling Tours Inc.
No refunds will be provided if:
- You do not show up for your tour.
- One or more people in your group cancel.
- Your plans change because of illness, injury, weather, airline disruptions, travel delays, or other circumstances beyond our control.
- We strongly recommend purchasing travel insurance to protect yourself against unexpected changes to your plans.
B. PARTICIPATION, RISKS AND LIABILITY
1. Understanding the Risks
By signing this agreement, you acknowledge that participating in a guided or self-guided cycling tour, or renting equipment from PEI Cycling Tours Inc., involves certain risks.
These may include:
- Bad weather and changing road or trail conditions.
- Navigation difficulties and getting lost.
- Collisions, accidents, and injuries.
- Exposure to cold weather, hypothermia, or illness.
- Damage to your own or another person's property.
- You understand these risks and accept responsibility for your participation and personal safety.
2. Responsibility and Release of Liability
To the extent permitted by law, you agree not to hold PEI Cycling Tours Inc., its officers, employees, agents, or subcontractors responsible for injuries, losses, or property damage arising from your participation in the activity, including damage to bicycles or equipment during transportation or use.
You acknowledge that the actions of you and other participants can affect the risks involved. You agree to use all equipment safely and properly.
You also agree to indemnify PEI Cycling Tours Inc. and its subcontractors, to the extent permitted by law, against claims, damages, losses, and costs arising directly or indirectly from your participation, including costs associated with enforcing this agreement.
3. Transportation and Schedule Changes
PEI Cycling Tours Inc. and its subcontractors are not responsible for expenses, damage, or inconvenience caused by transportation delays, schedule changes, vehicle breakdowns, or other events beyond their control.
We may change the itinerary when necessary for safety, operational, or other legitimate reasons.
- If itinerary changes result in additional costs, you will be responsible for those costs.
- If changes result in cost savings, you will receive a refund for the savings.
If you request changes to your booked itinerary before or during the tour, an administrative fee will apply.
4. Tour Operations
PEI Cycling Tours Inc. reserves the right to:
- Release and resell your tour space without notice if payment is not received by the required deadline.
- Refuse or discontinue a participant's involvement in an activity when necessary.
- Cancel guided activities if the minimum number of participants is not reached.
- Change an itinerary when required for safety or to meet applicable requirements.
5. Fitness and Medical Assistance
You confirm that you are physically fit to participate and have no health or other reason that would prevent you from safely taking part.
For guided activities, you consent to receive medical attention that PEI Cycling Tours Inc. or its subcontractors consider necessary or appropriate. This does not mean we are obligated to arrange medical assistance.
6. Legal Agreement
You agree that the laws of Canada and Prince Edward Island apply to this agreement.
This agreement is binding on you and, to the extent permitted by law, your heirs, legal representatives, administrators, and executors.
By signing, you confirm that you are at least 18 years old and have read and understood these terms before agreeing to them.
7. Photography and Promotional Use
PEI Cycling Tours Inc. will obtain your permission before using photographs of you or your group for promotional purposes.
C. E-BIKE CHARGING AND CHARGER RESPONSIBILITY
If you are participating in a cycling tour with luggage transfers and using an e-bike, you are responsible for keeping your battery charged and ensuring your charger travels with you.
1. Charge Your Battery Daily
You must charge your e-bike battery each evening at your overnight accommodation or whenever charging facilities are available. Check your battery level regularly and make sure you have enough charge for the next day's ride.
2. Pack Your Charger Every Morning
Before your luggage is collected for transfer, pack your charger securely in your luggage. Make sure it travels with you to your next overnight accommodation.
Do not leave your charger on your bicycle, in a support vehicle, or at an accommodation unless we have specifically arranged otherwise.
3. Check Your Charger
Each day, confirm that your charger has been packed and transferred with your luggage.
PEI Cycling Tours Inc. is not responsible for chargers that you misplace, leave behind, or fail to pack.
4. Lost or Damaged Chargers
You are responsible for any loss, theft, or damage to your charger during the tour. Replacement chargers and any associated delivery costs will be charged to you.
5. If Your Battery Is Not Charged
If your battery does not have enough charge, or your charger is unavailable because you did not pack or transfer it, you are responsible for any resulting delays, tour interruptions, transportation costs, service calls, battery exchanges, or other related expenses.
We will try to assist where possible, but we cannot guarantee immediate replacement chargers, battery exchanges, or technical support.
By accepting the e-bike and charger, you agree to take responsibility for keeping your battery charged and ensuring your charger travels with your luggage throughout the tour.
D. INSURANCE AND EQUIPMENT
We strongly recommend purchasing adequate travel, accident, medical, luggage, and trip-cancellation insurance.
If you rent a bicycle or other equipment from PEI Cycling Tours Inc., you are responsible for the cost of repairing or replacing any rented item that is lost or damaged while in your care. We reserve the right to charge you for these costs.
E. PETS
Pets are not permitted on PEI Cycling Tours Inc. tours due to severe allergies among our staff and restrictions at some accommodations.
F. WEATHER AND ALTERNATIVE ARRANGEMENTS
We cannot control the weather, and tour costs and fees are non-refundable because of weather conditions.
Please check the Prince Edward Island weather forecast before your tour and bring appropriate clothing and equipment for changing conditions.
If you decide not to ride because of the weather and require a shuttle, an additional charge may apply.
We are happy to help you explore alternative arrangements when possible, although additional costs may apply.

By signing below, I confirm that:
- I have read and understood these Terms and Conditions.
- I understand the payment, cancellation, and refund policies.
- I understand and accept the risks and responsibilities associated with my participation.
- I agree to the e-bike charging and equipment responsibilities, where applicable.
- I understand that travel insurance is strongly recommended.
