  • Thank you for inquiring about renting the Historic Cody Theatre. Each rental request is considered based largly on the availabilty of The Cody Theatre as a venue and The Cody Theatre workers availability. The Cody Theatre owners and The Cody Theatre Managers take this and the information you provide into consideration before agreeing to house any event. This Rental Request Application Form is step one and must be first completed and submitted to Rocky Mountain Dance Theatre (local nonprofit performing arts organization that The Cody Theatre falls under) and after submission, you will be notified if your date(s) work and your event is approved to move forward with booking. Upon your approval, a Facility Use and Rental Agreement online form will be sent to you including the agreed upon rental cost. Full payment and submitted/signed Facility Use and Rental Agreement is needed in order to book your event.

  • Audio/Visual Needs- PLEASE READ CAREFULLY:

    If you need to use Cody Theatre's A/V system, there will be a Cody Theatre Worker to set it up upon arrival. Due to our staffs availablity, technical ability, theatre usage, and it being hard on the equipment; we DO NOT do run throughs or AV tests before your scheduled check in time the day of your event, unless you are willing to pay for additional AV set up.

    Please be very specific on the AV needs of your event, so we can assure we have the expertise, equipment, and the ability to handle the event and can quote correctly. If we have not been prepared for an events needs, then your desired results may not happen and we will charge for emergency coverage.

    PLEASE UNDERSTAND our Basic Rental Events A/V services are only Plug and Play or Self-Run events.

    Plug & Play means all we need to do is:

    • we start up our equipment,
    • we plug in your computer, plug in a thumb drive into our computer, or put in a DVD or Blu-Ray 
      • We ONLY have the means to run these digital files:
        • MP4, AVI, MOV, WMV
    • we push play for it to run your full-legnth movie from start to finish 
    • pre set microphone for annoucements, welcome, presentations etc is available.

    Self Run means all we need to do is:

    • we will start up our equipment
    • we will help plug in your laptop into our equipment
    • YOU will have someone running files from a laptop you are bringing throughout the duration of your event.
    • we will power down our equipment when your event is over.
    • pre set microphone for annoucements, welcome, presentations etc is available.

    IF YOU require:

    • Start & Stop: this means you have several different short clips/files that will need to be manually started and stopped by us during your event. This is an additional charge and will vary based on needs. 
    • Sound Adjustments
    • Lighting Effects
    • Special Files other than ones listed above that we would need to use.

    The Cody Theatre has available for A/V use: laptop, dvd & bluray, microphones, 1 mixer, 1 amp, 2 main speakers, 2 stage monitor speakers, 10 XLR inputs with audio snake.

  • FYI: The Cody Theatre is a fully equiped movie theater with a built in performance platform/stage down infront of the screen. A podium is also available for use upon request. We do NOT have folding tables or card tables available for use.

     

  • Other

    An RMDT/Cody Theatre staff member will unlock and lock the theatre after your event. It is your responsibility to run ticketing (your box office) and have someone count attendees so that you do not exceed your seating limit. We have 210 seats in the theatre.

  • IMPORTANT A/V Information and/or Additional Rental Days

    **If you are using our A/V staff we need to know when you will need them for set up/mic checks/rehearsals/pre-event audio/etc. Please be as precise as possible as we will hire our worker and you will be charged based on times given. Due to our staff's availability, technical ability, theatre usage, and it being hard on the equipment; unless you are willing to pay for additional AV set up, we DO NOT do run throughs or AV tests before your scheduled check in time the day of your event. Suggested timing for MOST events: Time In (a/v set up and checks): 90 minutes before doors open. Doors open 30 minutes BEFORE event starts.

    WHAT’S NEXT?

    1. SUBMIT YOUR APPLICATION BY CLICKING BELOW!

    2. Once we confirm your event date, rental cost, and details, we will send you a Facility Use and Rental Agreement. Your event will be considered a temporary hold until we receive the signed contract and 100% payment. Submit this form online and choose check or credit as payment option provided in the contract.

    3. Feel free to email thecodytheatre@gmail.com if you have any additional questions or if you have not received the Facility Use and Rental Agreement within 3 days of sending it.

    4. If creating a Facebook Event, make sure to add @thecodytheatre as a CO-HOST, not just the location. This will add your event to The Cody Theatre list of facebook events.

    5. We will let you know when and if posters can be placed on front glass doors and/or in poster boxes outside the theatre.  

    6. You arrive for your show at time in!

  • I, the applicant, have filled out the Cody Theatre Rental Request Application form. I understand that filling out this form does not guarantee use of the theatre, and understand that, if accepted, the facility will be available based solely on the times agreed upon after approval. I understand that failure to remove all persons and property from the facility after the time allotted for my event, will result in a bill for additional hours.
