POLICY & PROCEDURES
Communal participation at personal events, be a Wedding or a Passing Away Commemoration of a near and dear one, is a community enhancing experience that strengthens our bonds of brotherhood and sisterhood. SIIJLA welcomes and encourages all members to hold their events at SIIJLA.
The intent of this Policy and Procedures is to make such events orderly, and meet the expectations of all parties concerned. Additionally, it defines the responsibilities of the Member(s) holding the event, and safeguards SIIJLA’s liability and safety of its premises.
Any Member(s) wishing to hold an event at SIIJLA should contact the Chairlady. The Chairlady will fill out the attached form, define the needs of the Member’s request, and will forward completed form with her recommendations to the EC for their approval and recommendation.
SIIJLA’s Responsibilities:
SIIJLA will ensure that the facilities are clean and will facilitate the opening and closing on the day of the event. SIIJLA will also assist with the opening and closing for the drop off and pick up of additional furniture and decorations as requested by the event party.
Program Committee will be in charge of formulating and administering the program in consultation with the party holding the event.
Parking Director will be in charge of directing all traffic and ensuring the safety in the parking lot, arranging for alternate parking if the lot is cordoned off for additional guests, and informing the local Sheriff of the event to increase patrol.
The Chairlady will be in charge of overseeing all other arrangements including the kitchen and serving the food.
Event Party’s Responsibilities:
Provide maid services to serve and clean the premises after the event as follows:
a) 100 - 150 People (Ladies & Gents) - 2 maids (1 each for ladies’ and men’s section)
b) 150 - 250 People (Ladies & Gents) - 3 maids (2 for ladies section/1 for men’s section)
c) 250 - 350 People (Ladies & Gents) - 4 maids (2 for ladies section/2 for men’s section)
**SIIJLA cannot accomodate guests exceeding 350 people**
Recruit Appropriate number of Volunteers and provide names to the Chairlady:
a) Up to 100 people - Serving Volunteers (3 men / 3 ladies), Parking Volunteers (2 men), Hosts/Ushers (3 men / 3 ladies)
b) Up to 150 people - Serving Volunteers (4 men / 4 ladies), Parking Volunteers (3 men), Hosts/Ushers (4 men / 4 ladies)
c) Up to 250 people - Serving Volunteers (6 men / 6 ladies), Parking Volunteers (4 men), Hosts/Ushers (6 men / 6 ladies)
d) Up to 350 people - Serving Volunteers (8 men / 8 ladies), Parking Volunteers (5 men), Hosts/Ushers (8 men / 8 ladies)
e) Volunteers Serving Food/Hosts/Ushers will assist under the Chairlady’s supervision
f) Volunteers for Parking will assist under the direction of the Parking Director
g) If Non-Muslims are invited, SIIJLA suggests that the hosts greet and welcome them, and give a brief orientation of the Program.
Recommended Donation to compensate SIIJLA for utilities, incidentals, etc.
a) Under 100 Guests - $200.00 for SIIJLA Members, $400.00 for non SIIJLA Members
b) 100 - 150 Guests - $300.00 for SIIJLA Members, $500.00 for non SIIJLA Members
c) 150 - 250 Guests - $400.00 for SIIJLA Members, $600.00 for non SIIJLA Members
d) 250 - 350 Guests - $500.00 for SIIJLA Members, $700.00 for non SIIJLA Members
e) SIIJLA will consider holding an event for non-Member(s) ONLY if the person requesting has an affiliation with SIIJLA, and at the discretion of the Executive Committee
Security Deposit Terms:
Please read the following itemand type your name before the "Submit" button indicating your acceptance:
Provide a $500.00 deposit to SIIJLA upon approval of the event by the EC. This deposit will be refundable if there are no damages inside and outside the property, and if the Center is cleaned thoroughly after the event. Failing that, the deposit will be utilized to rectify the Center’s condition, and balance, if any, will be refunded. If the deposit is not sufficient to cure the damages, SIIJLA reserves the right to ask the Member/non-Member for the balance.
SIIJLA Capacity:
Main Hall - Capacity up to 200 gents
Ladies Hall - Capacity up to 70 ladies
Classroom 1 - Capacity up to 35 ladies
Classroom 2 - Capacity up to 35 ladies
Classroom 3 - Capacity up to 35 ladies
Classroom 4 - Capacity up to 35 ladies
Eating capacity without additional furniture support requirements:
Gents: 75
Ladies: 75
