  • WHC Expectations and Code of Conduct Agreement

    Please read through our Expectations of the Athlete Code of Conduct. By typing your name at the bottom, you agree to ensure your athlete follows this code of conduct. If required, we have printed copies at the gym.
  • Conduct:

    Athletes must always demonstrate exemplary conduct inside and outside of WHC sanctioned events and adhere to standards of good sportsmanship at all times.  A West Halifax athlete must also be aware that their actions represent the team, athletes, club and community.

     

    Responsibilities:

    1.     Attendance- Includes being on time to practices, competitions, and/or any other planned events

    2.     Participation in all practices is mandatory

    A.    Full participation during practices is mandatory (unless injury or illness prevents).  The team(s) depends on you to be in attendance with a positive attitude.  Every time someone misses a practice, the whole team suffers.

    B.    Wear appropriate clothes during practice: Non-baggy clothing, socks and appropriate/approved sneakers. No jewelry (this includes any body piercing) or gum.  

    C.    Hair is to be secured in a high ponytail or so that hair does not fall on the athlete’s shoulders or in their eyes during practices and competitions.

    D.    Participate in all activities proposed by the coach.  You will be required to participate in stunts if you are a member of the team.  This includes flyers, bases, back spotters and front spotters.

    3.     Follow athlete and safety guidelines as outlined by the cheer Coach(es)

    4.     Always show GOOD SPORTSMANSHIP

    5.     Be prepared to practice, or perform with the required uniform (sneakers are mandatory).


    Practice Attendance:

    • If it is necessary to be late or absent from any practice, the Coaches/staff MUST be notified as soon as possible (please add our staff email account to your contact list:  staff@westhalifaxcheer.com)  
    • The only excused absence from any practice or activity is if you are unwell or an emergency comes up that the Coach clears BEFORE you miss practice.  All appointments for hair, doctor, dentist, etc. must be scheduled outside of your mandatory practice times if at all possible.

    The following applies to practices and competitions:

    Be prepared to participate fully for the entire practice session or competition day. Participating fully at a competition is your “job”. Please take that responsibility seriously. Your actions reflect not only on yourself, but also on the team and the club as a whole.


    Organize your time so that meals and any practice preparatory activities (getting properly dressed/doing hair) are done before the team is scheduled to practice.
    Arrive at the time instructed by your coach.
     

    Being “Late” is more than 5 minutes late (you have a 5 minute grace period…. please do not abuse). 


    Being late or absent affects the entire team. If the athlete or parent provides a coach with sufficient notice of absence, then alternative plans can be made in his/her absence.


    While WHC realizes that absences are sometimes unavoidable, there may be risks associated with missing practice. These can include:

    Not being aware of changes to the routine, this can result in safety hazards. Note that if an athlete misses practices two weeks prior to a competition, he/she may not be able to compete, as there may not be sufficient time to instruct changes to the athlete safely.
    If new choreography lessons are being taught, and the athlete is absent, he/she may miss an opportunity to perform a desired role.
     

    If an athlete is benched from participation in practices due to illness or injury, he/she must perform the following: attend all cheer activities (on time) wearing appropriate cheer attire (i.e. uniform at competition).  The athlete must sit with the coach(es) and observe all changes to the routine (sitting with friends will not clear the infraction).

     

    Disruptive Behavior:

    • An athlete may be given two warnings for uncooperative behavior during practices, competitions, meetings, events, etc.
    • These behaviors include, but are not limited to:talking, chewing gum, not paying attention, wearing jewelry, poor attitude, negativity, not putting forth 100% effort (poor work ethic, selective participation) etc. After those two warnings, an athlete will be subject to disciplinary action as chosen by the Head Staff (WHC Board) and will be required to have consultation with the Coach/Board. In the event the athlete continues the behavior even after the consultation, the member will be asked to leave practice, will be benched from the next performance, and will be required to have a meeting with the Coaching staff prior to returning to practice. Further incidences could result in dismissal from the team.
    • Athletes exhibiting poor sportsmanship towards their own teammates, including but not limited to: rude comments, negative attitudes/comments towards the team/coaches, rumor fostering, “cliquing”, gossiping about teammates, etc. will be counseled by the Coach(es). Once consultation has occurred, if the behavior persists a parent conference will be called and the member will be suspended from all practices, performances, meetings, gatherings, etc. for at least a week and/or until such time as a solution is found to rectify the violating behavior.
    • Athletes found to be verbally or physically abusive towards fellow teammates or the coach(es) will be immediately counseled by the Coach/Athletic Director(s). This is grounds for immediate suspension/dismissal from the team/club.
    • Please understand that inappropriate choices and actions may have negative consequences that will impact your success with West Halifax Cheer. The actions you take and decisions you make, not only reflect who you are, but also may impact your teammates, family, club, and community. Please conduct yourself in such a way that is in keeping with the WHC code of conduct and represents the pride and dignity of all those entities. Leave a positive image in the minds of all those that know you and the organization you belong to.


    Rules:

    Athletes MAY NOT:

    Participate in another activity that conflicts in any way with their cheerleading responsibilities and/or mandatory practices.
    Use or possess alcohol, tobacco, controlled substances, or any drug not prescribed for them.


    Attend functions that encourage the use of illegal drugs and alcohol.
     

    BREAKING ANY OF THE RULES OR FAILING TO FULFILL ANY CHEERLEADING RESPONSIBILITY WILL LEAD TO TEMPORARY OR PERMANENT SUSPENSION FROM WEST HALIFAX CHEER.


    I understand the requirements, responsibilities and rules as stated above.

    West Halifax Cheerleading

    RULES AND REGULATIONS

     

    GENERAL

    1. Only registered athletes are allowed on the practice mats/equipment, and only under the supervision of a coach, with the exception of sanctioned events such as birthday parties, bring a friend events, and placements.
      Siblings, family members, friends, etcetc.,. are not allowed on the practice mats/equipment without permission.
    2. All spectators at practices must remain in the designated area and keep the noise level down at all times.
    3. Any person that disrupts a practice wpractice mayill be asked to leave the gym immediately.
    4. No food, drinks, or gum are permitted in the practice area.
      All trash must be disposed in the appropriate trash receptacles.
      Cell phones must be put on silent mode, turned off, or left outside of the practice area.
    5. West Halifax Cheerleading is not responsible for any personal items lost or stolen. Please check the lost and found frequently.
      Upon joining West Halifax Cheerleading, athletes will forgo the opportunity to compete with any other cheerleading organization regardless of the team or level for the duration of the current season, unless permitted by the head coach.
    6. The West Halifax Cheerleading website, Facebook page and E-mails must be checked daily for any and all updates. There is no excuse for being uninformed when the information has been provided.
    7. All completed forms or information needed by West Halifax Cheer must be downloaded and turned in to the WHC staff members as requested.
      All choreography including: cheers, dances, stunts, transitions, tumbling, music selections, editing, etc. should be highly protected and shall not be shown or discussed with others. NO VIDEOS of routines/choreography should be uploaded to any online site such as YOUTUBE until the competition season begins. EXCEPTION: videos can be posted within the private Facebook groups.  
    8. When instructed, we may need you to assist with the dismantling, moving, or setting up of the equipment we use.

     

     

    TEAMS


    West Halifax Cheer retains the right to:

    1. Place its athletes on the team(s) it feels will best suit them, the team, and the program.
    2. Move, replace, add, suspend, or even dismiss an athlete for a period of time or indefinitely from a team or the entire program based on criteria such as:
      Attendance record
      Conduct
      Skills
      Finances
      Other reason deemed acceptable by coaches
    3. Decide if an athlete may participate on more than one team.
    4. Decide the roles and/or positions an athlete will have/play on their team(s). (E.g. base, flyer, back spot, tumbler, dancer, alternate, etc.).
    5. Request that an athlete or team take additional classes or camps to improve their skills.
    6. Request that an athlete or team practice longer than their regularly scheduled time or add additional practices, camps, or competitions, if deemed necessary.

    Athletes that are asked to participate on more than one West Halifax Cheer team must:

    1. Be in good financial standing.
    2. Be willing and able to fulfill all the responsibilities required by each team.
    3. Be responsible for any additional entry fees they incur beyond their first team.

    ATTENDANCE/INJURIES

     

    All athletes must:

    1. Make West Halifax Cheer a priority.
    2. Attend and be prepared to participate in all West Halifax Cheer activities including those unexpectedly added throughout the season regardless of illness or injury unless approved by a coach.
    3. Notify West Halifax Cheer immediately when an injury occurs so changes to routine choreography can be made prior to practice.
    4. Arrive on time to all West Halifax Cheer activities. If you arrive late and miss warm up, you will may be required to stay after your practice to complete a conditioning component.
    5. Schedule all vacations so as not to interfere with any West Halifax Cheer activities.
    6. Notify West Halifax Cheer in writing immediately of all expected tardiness or absences.
    7. Notify West Halifax by phone/email immediately of any unexpected tardiness or absences.
    8. All attendances will be tracked on the attendance board by the team moms. This way there will be no discrepancies of how many offences you have.
    9. Anyone who misses practices for any reason during the 2 weeks leading up to a competition  may be suspended from the competition, or have positions moved, at the coaches discretion.

    DRESS CODE

    1. Have hair kept out of the face (if possible in a ponytail) and a bow worn at all times when wearing any West Halifax Cheerleading uniform unless otherwise instructed.
    2. Keep nails short and polish-free when participating in any physical West Halifax Cheer activity.
    3. Do not wear jewelry (other than approved medical ID tags) when practicing or wearing West Halifax Cheer practice, warm up, or competition apparel.
    4. Do not wear sandals, flip flops, or open-toed shoes.
    5. Sneakers MUST be worn to every practice. If you do not have sneakers you will not be permitted to practice and it will count as a missed practice.
    6. Abide by the rules/guidelines of the coach for individual practices/teams for dress code.

    COMPETITION DRESS CODE


    By each team’s scheduled warm up or meeting time:

    1. Athletes must be dressed as specified below unless otherwise instructed by their coach
    2. Be in proper warm up gear or uniform
    3. Be wearing appropriate cheerleading sneakers
    4. Have all jewelry out and all hair up in a ponytail (out of face)

    After competing:

    1. Athletes may only change into appropriate cheer gear if necessary.  Otherwise a uniform should be worn at all times.
    2. No skirts may be rolled up or unbuttoned and uniform tops must remain covering stomachs at all times at the competitions (as per USASF, Cheer Canada, ICU and Cheer Nova Scotia guidelines)

    During awards ceremonies:

    Athletes must be in full competition uniform and may not wear backpacks, warm ups or any other non-uniform items

     

    SPORTSMANSHIP/CONDUCT

     

    All athletes AND parents must always:

    1. Set a positive example for others to follow.
    2. Be respectful and courteous to everyone, regardless of placing.
      Schedule an appointment to speak with a coach or other staff member to discuss any issues that may arise.  
    3. Refrain from gossiping or any form of verbal or physical confrontation.
      Refrain from celebrating the misfortune or defeat of another person, team, or program.
    4. Accept team placements and awards with dignity and class.
    5. Do not participate in any of the following behavior: making rude comments, exhibit negative attitudes/comments towards the team/coaches, rumor foster, or gossip about teammates.

    Please understand that it is your choices and actions, and the consequences of those decisions and actions that will determine your success at West Halifax Cheer. Also know that what you do, the actions you take and decisions you make, not only affect or are representations of who you are, but also affect and reflect upon your team mates, family, club, and community as well. Please conduct yourself in such a way that represents the pride and dignity of all those entities. Leave a positive image in the minds of all those that know you and the organization to which you belong.


    HEALTH


    All athletes must:

    1. Provide West Halifax Cheer with a clear photocopy of his/her health card and the emergency contact information when required for competitions.
    2. Inform coaches of all medical conditions that may limit or prevent their ability to participate in any West Halifax Cheer activities.
    3. Notify coaches of any injuries sustained as a result of their participation in any sanctioned West Halifax Cheer activities.
    4. When necessary, provide valid written documentation from a doctor explaining the reason(s) and the duration for which they may be limited or unable to participate in any West Halifax Cheer activities.
    5. If applicable, provide West Halifax Cheer with a list of any medications that they are currently taking.
    6. Refrain from the illegal use of drugs, alcohol, tobacco or any other substances.
    7. Refrain from smoking in any West Halifax Cheer uniform, practice gear, or apparel.


    TRAVEL / COMPETITIONS


    All athletes and their families must:

    1. Have all travel arrangements booked by the travel block blackout dates.
      Arrive to the competition/bus by the designated check-in time and will check-in with the coaches/staff/gym owners accordingly.
    2. Not use competitions as family vacations and will therefore follow the designated schedules and abide by all rules set forth by West Halifax Cheer.
    3. Find competition dates, venues, and itineraries on the West Halifax Cheer website. All information will be released as soon as we have that information available.


    PAYMENTS

    1. All payments must be made on time, unless prior arrangements have been made with the WHC board of directors.
    2. All previous season’s payments/accounts must be finalized prior to the athlete being placed on a team for the subsequent season.
    3. Late payments will be subject to an interest charge.
    4. Fundraised money must be applied to fees first, before it can be applied to purchase cheer gear or to be put towards travel costs.
    5. Athletes who are delinquent in account payments may be asked to sit out of practice, competitions, or other WHC events until payments are made in full. Athletes may be asked to leave the organization for non-payment at the discretion of the owners/board of directors.

    LOGO/WHC MATERIAL

    WHC’s Logo and other Proprietary information may not be reproduced or used without permission from the WHC Board of Directors.

  • West Halifax Cheerleading Parents Code of Conduct


    As coaches and parents, we have responsibilities to uphold, just as the athletes do. We do not anticipate problems, but the following policies are in place, for the good of the club and all children/athletes involved:


    Adults will avoid getting involved in the “teenage drama.” Middle school and high school children are going to disagree and have conflict with each other from time to time. This is unavoidable, no matter how well-behaved or friendly the children may be. The children are usually able to handle these issues themselves if left alone, and adult involvement only makes things worse. If the situation reaches a point where the parent considers it serious and feels the issue needs to be addressed, he/she should contact the coach or board of directors, NOT another parent and especially not a child.

    Parents will help coaches by encouraging teamwork, responsibility, and compliance with Club rules.

    Parents may only discuss their own child with the coach and/or administrators. We appreciate your concern, but we cannot discuss issues involving another child with anyone but that child’s parents. Put yourself in that position; you would not want us to discuss your child with other parents.

    Adults will not make personal attacks on other parents, cheerleaders, athletes, coaches, or administrators on Facebook, Twitter, or other social networking sites; or through email or texting. This is immature and hostile behavior that will only intensify conflict and it will not be tolerated. These postings, emails, and text messages will be documented and immediately referred to the head coach/board of directors, who will take further action if the comments are determined to be harassing or threatening communication.

    Parents should respect coaches and administrators during practices and competitions and NEVER question, discuss, or confront them during these times. If you have a concern, set up a meeting at an agreed upon time and place (i.e. before or after practice). Coaches and administration should lend the same respect to you as parents.

    Parents MUST NOT approach any of the athletes during practices or competitions. Please speak to your child before/after practices or competition.

    Parents should never ridicule or yell at their child or any other child for making a mistake during a performance or practice.

    All adults involved will remember that the children participate to have fun and that this activity is for the children, not the adults.

    NO GOSSIP about any other teams (All-Star or school), NO GOSSIP about a child on your team or another team. NO GOSSIP about coaches and staff. It is much better to address a problem than to listen to gossip. We cannot attempt to fix a problem that has not been addressed. Spreading negativity does not contribute to the success of your children and the sport of cheerleading.

    Respect the coach’s decisions made on behalf of your child with an understanding that they have the child’s and the organization's best interest at heart.

    Display good sportsmanship at all times. The children are learning to become team players working toward a common goal.  


    I understand the following rules while attending practices:


    I must keep noise level to a minimum
    I will not create any negativity
    I will not interrupt coaches/athletes during practice under any circumstances
    I will be seated in the designated area for parent viewing at all times

    INFORMED CONSENT AND ASSUMPTION OF RISK AGREEMENT

    FOR THOSE UNDER THE AGE OF MAJORITY (18 and Under)

    WARNING!

    By signing this document you will waive certain legal rights, including the right to sue. Please read carefully.

    1.       This is a binding legal agreement; therefore clarify any questions or concerns before signing.  As a Participant in the sport of cheerleading and the programs, competitions, travel and activities organized, operated or conducted and/or sanctioned by Cheer Nova Scotia (collectively the “Events”), the undersigned, being the Participant and/or the Parent/Guardian of the Participant (collectively the “Parties”) acknowledges and agrees to the following terms:

    Disclaimer

    2.       Cheer Nova Scotia and its directors, officers, committee members, members, employees, volunteers, participants, agents and representatives (collectively the “Association”) are not responsible for any injury, personal injury, damage, property damage, expense, loss of income or loss of any kind suffered by a Participant during, or as a result of, the sport of cheerleading or any Events, caused by the risks, dangers and hazards associated with the sport of cheerleading or the Events.

    We have read and agree to be bound by paragraphs 1 and 2.

    Description of Risks

    3.       The Participant is participating voluntarily in the sport of cheerleading and/or the Events.  In consideration of my participation, the Parties hereby acknowledge that they are aware of the risks, dangers and hazards and may be exposed to such risks, dangers and hazards. The risks, dangers and hazards include, but are not limited to, injuries from:

    a)       Executing strenuous and demanding physical techniques;

    b)       Dryland training including weights, running and massage;

    c)       Vigorous physical exertion, rapid movements, quick turns and stops, and strenuous cardiovascular workouts;

    d)       Exerting and/or stretching various muscle groups;

    e)       Collisions with walls, any cheerleading apparatus, floors or mats;

    f)        Falling, tumbling or hitting any cheerleading apparatus, the floor, mats, ceiling, stands, equipment or other surfaces;

    g)       Physical contact with other participants (including spotters whose role is to enhance safety and learning);

    h)       Failure to properly use any cheerleading apparatus;

    i)         Failure to participate within one’s abilities;

    j)        The mechanical failure of any cheerleading apparatus;

    k)       Spinal cord injuries which may render me permanently paralyzed; and/or

    l)        Travel to and from competitive events and associated non-competitive events which are an integral part of the Association’s activities. 

    4.       Furthermore, the Parties are aware:

    a)       That injuries sustained can be severe;

    b)       That the Participant may experience anxiety while challenging themselves during the sport of cheerleading and the Events;

    c)       That the Participant’s risk of injury is reduced if they follow all rules established for participation; and

    d)       That the Participant’s risk of injury increases as they become fatigued.

    Release of Liability

    5.       In consideration of the Association allowing the Participant to participate, the Parties agree:

    a)       That the Participant’s physical condition has been verified by a medical doctor to participate;

    b)       To freely accept and fully assume all such risks, dangers and hazards and possibility of personal injury, death, property damage, expense and related loss, including loss of income, resulting from the sport of cheerleading and/or any Events;

    c)       To forever release the Association from any and all liability for any and all claims, demands, actions and costs that might arise out of the Participant’s participation in the sport of cheerleading or any Events. 

    We have read and agree to be bound by paragraphs 3 -5.


    Acknowledgement

    6.       The Parties acknowledge that they have read this agreement and understand it, that they have executed this agreement voluntarily, and that this Agreement is to be binding upon themselves, their heirs, executors, administrators and representatives.

    The following is indicating your agreement for media release of pictures/videos of your minor at camp for the purposes of advertising. Note: you do not have to agree to the Media Consent in order to participate in camp activities.
  • MEDIA CONSENT FORM
    I, the undersigned, agree to participate in the activities below, at the request of the West Halifax Cheerleading, Inc. (hereafter “WHC”)


    …for the purposes of the project:
    • Video Interview
    • Audio Interview
    • Text Interview
    • An audio interview (including a photograph)
    • A text interview (including a photograph)
    • The creation or production of an audio,
    video or text interview
    • Photographs/images
    (hereafter the “Interview”).


    WHC may use the Interview for any purposes related to the promotion of its activities. This includes, without limitation, posting the Interview on websites or in any other promotions, advertisements or communications whatsoever.


    WHC may, at its sole discretion, edit the pictures of me and modify them as applicable and required for the purposes authorized herein.


    I understand that WHC will be the sole owner of any intellectual property rights, including copyright, that may subsist on the Interview.


    I hereby authorize WHC to use my name, image, voice, and likeness in relation to the exploitation of the Interview as may be applicable and required for the purposes authorized herein, the whole without any limitation of time, territory, media, support or language. I furthermore authorize this interview to be displayed, potentially to large audiences.


    WHC may assign, transfer or license, in whole or in part, without limitation, the rights granted herein.


    I acknowledge that this Consent is given without monetary consideration and that no amount of money may be claimed by myself, or by any third party representing me, with regard to this consent to the use of the Interview.


    I have full authority to sign the present Consent and I have requested that it be drafted in English IN WITNESS WHEREOF, I have signed this Consent on the date indicated below.

  • PAYMENT DUE DATES

    NOTE that for 2018-19, fees have increased by $15. This is to cover two things: 

    • Each athlete will receive a club t-shirt
    • Cheer Canada now requires a $5/athlet membership fee. 

     


    Payments are due:

     

    First day of the first practice on a team for the season (regardless of when the athlete joins). This is for 33% of the full year’s fees (not including competition uniform, bow, or crossover fees).  This is non-refundable.


    September 1, 2018: 33% of fees


    January 1, 2019: Remaining fees are due

    Fee amounts due by team type and/or crossover (including taxes):

  • Notes about payments:

    • If you are a crossover athlete, your installments must include the crossover fees as per the table above.
    • Uniforms must be paid for in full prior to pick up and are not included in the three main fee payment dates. A 50% deposit is due upon ordering and the balance due upon pick up.
    • Pro-shop purchases including a uniform, bow, tumbling, and all travel fees including hotels, transportation, etc, are all separate and are NOT INCLUDED in the three fee installment dates.
    • Fundraised amounts may be applied to the next due-date for fees (i.e. fundraising that takes place over the summer can reduce the amount paid in September).
    • Special guest choreographers are not included in fees, and there may be a charge for these if we go forward with scheduling them. Cost may be approximately $15-$30 per athlete on the team that is working with the guest.
    • If an athlete participates in fundraising, it will be applied to your account like a payment.  
       

    Payment Methods:

    • Athletes can pay their tuition fees through a variety of methods. Upon returning the registration forms for cheerleading, please indicate which payment method is preferred:
      • Email Money Transfer or online PayPal/Credit Card Payments:  If this method is preferred, the parent must be consistent in regular payments. There will be a 5-day grace period if payment is not received, then the athlete will not be permitted to participate in cheer.
      • In-office payments: Athletes/parents can make payments in the office at the Orange Dome via credit card/debit card/check or cash. If this method is preferred, the parent must be consistent in regular payments. There will be a 5-day grace period if payment is not received, then the athlete will not be permitted to participate in cheer.
      • If an athlete/parent is having difficulty making payments on time, we are always willing to work on a payment schedule that works best for you.
         

    WHC will send out account statements upon request. Invoices other than the tuition fees are due upon receipt.

     

    Late/missed payments:

    • If a payment is missed, there is a 5 day grace period to make it up, else the athlete will not be permitted to participate in WHC activities such as tumbling, practices, or competitions until the athlete’s fees are paid to date.
    • Late payments are subject to interest charges.
    • Declined payments will be subject to a $25 NSF fee.
       

    If the account becomes delinquent, WHC reserves the right to ask an athlete to refrain from practices and or competitions until all payments have been made.

     

     

     

    Refunds for Withdrawal:

    • Failing to withdraw prior to the first practice of the month constitutes commitment to the team for that month, and that month’s payments are due. 
    • Official withdrawal must be submitted to info@westhalifaxcheer.com. Unless we receive official notice to withdraw, a spot is held on a team for the individual, and payment is expected for the specific months he/she was considered a member of the organization. Failure to show does not constitute withdrawal.
    • Delinquent accounts will be sent to collection agencies.
      For athletes who withdraw from the organization, he/she is:
      Not entitled to a refund for the months he/she was a member of the team, regardless of how many practices actually attended. Until official withdrawal notice is received, the athlete is responsible for payment.
      Refunds shall only be issued for payments made ahead of schedule (i.e. an athlete who paid for a full season of cheerleading in advance, but then decided to withdraw, will only be refunded for services paid for yet not rendered).
    • No monies collected through the fundraisers shall be refunded.
      Competition fees are included in the membership fees and are not paid for or refunded separately.
    • Athletes who are asked to leave the program due to disciplinary issues are not entitled to a refund

    WHC requires a deposit on the first day of practice. We will invoice you for your amount owing for the season, please pay the amounts in the agreed-upon frequency.
