    • Basic Reservation Questions 
    • How do I make an online reservation?

      To make a reservation, simply enter your desired check-in and check-out dates in the search engine, as pictured below. Please also add the number of rooms you need. 

       

       

       

      What are my event's hotel options?

      You can book at any of the available hotels, which will be listed when you search by dates and number of rooms. You will only see which hotels are available.

      Do I have to book through the Louisville Slugger Sports Complex Housing for it to count towards the Stay to Play minimum?

      Yes! The only reservations that will be counted towards the minimum for the Stay to Play policy are the reservations made through the Housing System.  Each team must have at least 8 rooms per night to qualify for the tournament.

       Is there a minimum night stay or a specific cancellation policy?

      If the hotel of your choice has a minimum night stay implemented, that information will be listed under the "Room Reservation Agreement." The system will also automatically only allow you to make a reservation that fulfills the minimum requirements.

      Each hotel's individual cancellation policy is also listed under the "Room Reservation Agreement."

    • Team Blocks 
    • I am the team manager or coach and am looking to block rooms for my entire team.

      If you are looking to hold rooms for your team, email shea@sluggerpeoria.com with your team name, age group, number of rooms needed, and hotel preferance.  If the hotel is available, you will receive a team URL link.  You will be able to forward this link on to all of the team families so they can make their own reservations.

      I am trying to book inside of a block, but it shows that no rooms are available.

      If no rooms are showing as available, this could mean that the block has sold out or has cutoff. You can still book at any available event hotel by going to the main housing page found on the Louisville Slugger Sports Complex website. If you are the manager of the block and need additional rooms for attendees or additional time for booking, please email shea@sluggerpeoria.com to discuss options.

    • Payment Questions 
    • Will my credit card be charged right away?

      Unless otherwise clearly listed during the booking process or under the "room reservation agreement," your credit card will not be charged until check-in.

      For some events, some hotels will pre-authorize your card prior to check-in. IF that is the case, it will be listed under the "room reservation agreement," which can be found during the booking process and is included in your reservation email. Most hotels do not charge anything before check-in, and your credit card is only used to guarantee your reservation.

      If you no-show or late cancel, the card on file will be the card charged by the hotel. The Louisville Slugger Sports Complex does not handle payments - all payments are handled by the hotel.

       

      Do I have to pay a deposit?

      Unless otherwise clearly listed during the booking process or under the "room reservation agreement, you will not be charged a deposit at the time of booking your reservation.

       

      Can I pay with a different credit card or payment method later on?

      Absolutely. Again, unless otherwise stated during the booking process, you can use any appropriate payment method upon arrival. If you need to change your credit card information before then, you can do that as well by submitting a change request.

       

      Can I pay using hotel points?

      No, points cannot be used to pay for your hotel room within the event block. However, you can still receive points for your stay.  During the reservation process, there is a line that asks for Hotel Loyalty.  That is where you will put your loyalty number.

        

      Can I get a military, AARP, AAA, or other discount for my room?

      Because these hotel rates are already discounted for your group, additional discounts cannot be added to the reservation through the Louisville Slugger Sports Complex.

    • Special Requests & Needs Questions 
    • I have a special request for the hotel, such as a handicap room, adjoining rooms, pet friendly room, etc.

      There is a "Special Requests" section during the reservation process. Please list any special requests in this section.

      Please note that while major or medical requests can be confirmed ahead of time (handicap room, pet friendly room, etc.), all other requests (adjoining rooms, floor requests, rollaway bed, etc.) cannot be confirmed until arrival, as they are first come first served requests to be handled by the hotel at check-in.

       

       

      I want to check-in or check-out on an earlier or later date than the reservation site will let me.

      The reservation website only includes the dates contracted by the event. If the hotel does not have rooms in the group block for shoulder dates (days before or after the event), please go ahead and make your reservation, and write the actual preferred check-in and check-out dates that you need in the "Special Requests" section of the reservation process. While these nights are not guaranteed, hotels will accommodate if able, and the Louisville Slugger Sports Complex will work to confirm availability for your extra dates.

       

    • Hotel and Room Questions 
    • Where is my hotel in relation to the event site?

      To view a map of the event location and the available hotel locations, change your "Hotel Options" view from "List" view to "Map view," which can be found on the top right of the hotel options page.

       

      This view will show you the event location(s) (orange), available hotels (green), and unavailable hotels (red). This view will include distances and additional information once they are clicked on.

      The hotel I want is showing up as unavailable for my desired dates.

      All hotels that have availability for your dates will show up as bookable. If a hotel is showing up as unavailable, that means it is sold out for one or all of your dates. Click on "Show Availability" to see what nights they have available. Available nights will be white, while sold out nights will be grey.

       

      I want a different room type than is currently available.

      While the Louisville Slugger Sports Complex can only guarantee the room type that is listed, if you would prefer a different room type (different bedding, suite, etc.) please feel free to make a request in the "Special Requests" section. If you are requesting a suite, please note that there will almost certainly be an up charge. Louisville Slugger Sports Complex will work with the hotel to confirm availability and rates for such requests and will communicate with you regarding options.

    • Reservation Problems & Troubleshooting 
    • The hotel I want is showing up as unavailable for my desired dates.

      All hotels that have availability for your dates will show up as bookable. If a hotel is showing up as unavailable, it means that it is sold out for one or all of your dates. Click on "Show Availability" to see what nights they have available. Available nights will be white, while sold out nights will be grey.

       

      I want to check-in or check-out on an earlier or later date than the reservation site will let me.

      I did not receive a reservation email after I submitted a reservation.

      If you did not receive a reservation email from shea@slugerpeoria.com, please shoot us an email or give us a call to let us know. We'll want to check to make sure that you finished submitting your reservation and that your email address was entered correctly. Though super rare, it doesn't hurt to check your spam folder, as some email accounts have stricter security than others!

       This email will not have a confirmation number on it.  It will just be an email letting you know the reservation has been submitted.  Please give the hotels at least 3 business days to send the confirmation number to you.

      I called the hotel and they didn't have my reservation.

      Please don't panic! The reservations are managed by the Louisville Slugger Sports Complex until two week prior to the event.  The hotel will not have record of your reservation until this time, so please contact the Louisville Slugger Sports Complex Housing with any reservation needs or questions - not the hotel.

    • You've booked your room!  Now what?

    • Confirmation Number Questions 
    • I booked my room. Now what?

      After you have booked your room, you will receive a reservation email with your reservation information. This email will come from shea@sluggerpeoria.com, and will say "Reservation Submitted" in the subject line. Once you have submitted your reservation, the Louisville Slugger Sports Complex Housing will hold and manage your reservation. You will receive your hotel confirmation number via email two weeks prior to your event.

       

      Why can't I receive a confirmation number right away?

      Your reservation is part of a contracted, discounted group block for the event. The hotel will receive your reservation via rooming list two weeks before the event and will process your reservation at that time. You WILL receive a confirmation email no later than two weeks before the event.

       

      Do I still have a reservation even though I don't yet have a confirmation number?

      Yes. Your reservation gets added to the group rooming list, which has been contracted with the hotel. Rest assured, you do have a reservation even without your confirmation number.

       

      I called the hotel and they didn't have my reservation.

      Please don't panic! The reservations are managed by the Louisville Slugger Sports Complex until two weeks prior to the event. The hotel will not have record of your reservation until this time, so please contact the Louisville Slugger Sports Complex Housing with any reservation needs or questions - not the hotel.

    • Reservation Changes & Cancellation Questions 
    • All changes, cancellations, and questions should go through Visit Louisville Slugger Sports Complex Housing - not the hotel directly.

       

      How do I make a change to my reservation?

      To edit or change your reservation, please open your reservation email from shea@sluggerpeoria.com. Towards the bottom of the email, you will see a "Request for Change" button, along with a URL. Click on this button. (If you don't see this button, please make sure you have images downloaded, OR simply click on the URL).

       

      When you click on this button, you will be able to change contact information, guest names, dates, special requests, and payment information. Follow the listed steps and submit.

       

      How do I cancel my reservation?

      To cancel your reservation, please open your reservation email from shea@sluggerpeoria.com. Towards the bottom of the email, you will see a "Request for Change" button, along with a URL. Click on this button. (If you don't see this button, please make sure you have images downloaded, OR simply click on the URL).

       

      You will see a red cancellation button. Click on the CANCEL ROOM button and follow the steps and submit.

       

      Why shouldn't I contact the hotel directly to make a change?

      Reservations are managed by the Louisville Slugger Sports Complex Housing until about two weeks before the event. The hotel front desk and reservation department does not handle these reservations directly, so they are unable to make changes or provide the group rate. The Louisville Slugger Sports Complex works with the hotels FOR you!

       

      Change and Cancellation Deadlines

      Three days before an event begins, the reservations move out of the Louisville Slugger Sports Complex Housing's system and into the hotel's system. At this time, the Louisville Slugger Sports Complex Housing stops handling changes and the changes are then handled by the hotel. The change deadline will be listed in your reservation email.

      Change and cancellation deadlines vary by the event. As mentioned, the deadline will be clearly written within your reservation email.

      Prior to the listed date, all changes and cancellations will need to go through the Louisville Slugger Sports Complex Housing. Changes or cancellations made AFTER the listed deadline will need to go through the hotel directly - but ONLY after the deadline, as they will not accept changes or cancellations directly prior to this date.

       

       

      I went to change or cancel my reservation and it told me the deadline had passed.

      If you try to make a reservation change or cancellation after the change deadline, the system will not allow you to make a change and will tell you to contact the hotel directly.

       

      What is the hotel cancellation policy?

      Each hotel has their own cancellation policy, which can be view under the "Room Reservation Agreement" while making the reservation, and again in the reservation email you receive.

    • I called, but I got a voicemail message.

      We do our very best to answer all calls during normal business hours, but we are a small department and do occasionally miss calls due to meetings, events, or because we are on the other line assisting other callers.

      Don't worry! If you call and reach our voicemail, please leave a message with your name, call back phone number, name of your event, and reason for calling and we WILL return your phone call as soon as possible. You can always email shea@sluggerpeoria.com as well.
