Caterers will not have access to a licensed kitchen. All food must be fully cooked prior to arriving at the facility, along with all required equipment. The client should arrange with the facility a food staging area. Water provision for chafing dishes or clean-up is the responsibility of the caterer. Sterno food warming products are permitted in the designated indoor area(s). Staff operating food-warming products must be trained in fire extinguishers by OSHA (Occupational Safety and Health Administration) and the Ohio Fire Code. Refer to the university’s Use of Facilities Policy for further guidelines on food on campus.
Serving cooked food at your event supplied by a commercial food provider (vendor), requires the organization/department to provide CES the required documentation listed below to safeguard the university, its students, faculty, visitors, etc. for food service events/functions conducted outside of the existing food service agreements with the university.
- Event organizer shall provide evidence of each vendor’s current license(s) with the City of Cincinnati (or appropriate municipal authority) and with the City of Cincinnati Health Code for food service operators.
- Event organizer shall provide evidence of each of the vendor’s proof of insurance for General Liability of $1,000,000 per occurrence and $1,000,000 in aggregate coverage.
- Event organizer shall provide evidence that each of the vendor’s insurance names University of Cincinnati as an "additional named insured."
- For outdoor events hosting commercial food providers or food trucks: in addition to items 1-3, the event organizer shall also provide evidence of each of the vendor’s insurance for Automobile Liability of $1,000,000 per occurrence and $1,000,000 in aggregate in the case of vehicle use for delivery, service, etc.
- All of the required paperwork shall be provided to CES [via attachment to this form (preferred) or email to campsched@ucmail.uc.edu] no later than 10 business days prior to event start date. If not supplied 10 business days prior to the event start date, CES reserves the right to cancel the approved food waiver. In such cases, the on-campus catering services can be secured or you can choose not to provide food at your event.
