The City of West Hollywood's Arts Division, and the City's Communications Department is interested in assisting you with the promotion of your arts and cultural event/program. In order to achieve this, we ask that you complete the media advisory template and submit it accordingly.
GRANTEES: Pursuant to terms and conditions of the grant agreement, the GRANTEE shall complete and electronically submit the City’s Arts Division online Media Advisory form no less than 45 days prior to the grant funded program/project date. The online form is found on the City’s website at weho.org/arts.
The media advisory alerts the City and the media, in a concise manner, to upcoming events and answers only the important questions: Who, What, When, Where, and Why.
Information provided on this form will be used to create the online calendar listings on the City Website, goes into the printed City Calendar, News Briefs, Arts Briefs, WeHo TV, and is used to create social media content through both @wehocity and @wehoarts / WeHoArts. The information is also distributed to the West Hollywood Library public newsletter, Visit West Hollywood and our other promotional partners on a space available basis.
Media advisories not completed and submitted by the deadline will not be listed in the City's online calendar and/or printed calendars, and it may affect the status of your grant. Contractually you are required to submit a media advisory pursuant to terms and conditions of the grant.
GRANTEES and all programs funded through the City shall include in all of its promotional literature/marketing materials the City logo and appropriate exterior/interior signage language crediting the City as the financial supporter of a GRANTEE.
For this purpose,“literature/marketing materials” refers to advertising, marketing and promotional materials. This encompasses all written, printed, electronic, or graphic representations utilizing the City's name, logos, trademarks, service marks, or URLs referring to any program, project, service, or operation of the City.
Required Language: The words “This (concert, exhibition, performance and/or program) is presented with the support of the City of West Hollywood’s Arts Division.”
All marketing and promotional materials (digital and print) must be reviewed and approved by the City before publication.

As part of One City One Pride, include in all of its promotional literature the One City One Pride Logo City logo and appropriate exterior/interior signage language crediting the City as the financial supporter of a GRANTEE and its programs as follows:
Required Language: The words “This (concert, exhibition, performance and/or program) is presented with the support of the City of West Hollywood’s Arts Division as part of the City's One City One Pride LGBTQ Arts Festival (May 22 - June 30). More info at www.weho.org/pride or @wehoarts.”

May 1, 7 a.m.
: Final City website updates at www.weho.org/pride and inclusion in any later date press release.
Media information submitted after May 1 will be updated on www.weho.org/pride as time permits.
Marketing/promotional materials must adhere to these guidelines for use of copyrighted materials:
Copyrighted materials may only be reproduced or used with the prior written permission of the copyright owners. If copyrighted materials are included in marketing materials, the written permission of the copyright owner must be submitted to the Arts Division when the marketing materials are submitted for review and approval. This policy applies to printed material, artwork, photographs, video, website. The payment of royalty fees for the use of copyrighted material is the sole responsibility of the GRANTEE using or reproducing the copyrighted material.
Events that have been approved to use the City logo on their promotional materials can download the logo using the link above (see Logos). These events include any arts grant funded programs or events approved for sponsorship through a Council Item. Marketing/promotional materials must be approved by the City before release or going to press.
Additionally, we suggest you tag @WeHoArts in social media posts (Facebook, Twitter and Instagram) to extend the reach of your program.
Use of Photographs and Personal Statements
With reference to photographs and/or personal statements of individuals to be used in marketing materials, appropriate consent from the subject should be obtained and is the sole responsiblity of the GRANTEE.
