Interlibrary Loan (ILL) Borrowers Agreement: Please read and acknowledge below
ILL patrons must read and sign the NNPL ILL borrower’s agreement before submitting their first ILL request. This may be done in person at a library branch or as part of submitting an online ILL request through the NNPL website.
1. ILL requests: Requests can sometimes take 2-6 weeks to be filled. You may borrow and/or request up to 5 items through ILL at a time.
2. ILL wrapper: Your ILL will have wrapper attached to it. Please do not remove the wrapper. It identifies the item as an ILL and has important information on it for you including the due date, a special barcode, instructions on how to renew your ILL, and information about fines. Additionally, if your ILL is returned without the wrapper, it may not be correctly checked in and removed from your library account.
3. Renewals: Please contact the ILL staff person at your branch if you would like to renew your ILL. Renewal requests must be received 5 business days (Monday-Friday) BEFORE the due date. ILL staff need time to request the renewal and to hear back from the owning library. You will NOT be able to renew your ILL through your online account or from the self-checkout machine. You will also not be able to renew your ILL by contacting the owning library directly.
4. Returns: Please return your ILL to a Newport News Public Library branch so that your ILL is correctly removed from your library card account.
5. Recalls: The library that loaned NNPL your ILL has the right to recall it at any time. If this happens, you will be notified by ILL staff and asked to return the item within 5 days. Failure to do so will result in your library card being blocked and may affect your ability to borrow ILLs in the future. ILL staff will work with you to find another copy to borrow as quickly as possible.
6. Long overdue, Damaged, and Lost ILLs:
- Long overdue: If your ILL is not returned before it is 30 days overdue, ILL staff will contact the owning library and request an invoice for the replacement cost of the ILL. Once the invoice is received, if the ILL has still not been returned, the charges will be added to your library card account.
- Damaged: ILL staff document the condition of your ILL, including all damage and excessive wear and tear, before it is checked-out to you. You are responsible for any damage that occurs while the ILL is checked-out on your library card. When an ILL is returned with damage beyond that documented, ILL staff will contact the owning library and return the item to them for evaluation. The owning library will then determine whether to charge you for the damaged item. If the library decides to request payment, ILL staff will contact you and add the charges to your library account.
- Lost: Please notify ILL staff at your branch if you lose your ILL. Staff will then contact the owning library to request a renewal so that you have more time to look for the ILL. If you are still not able to find it, ILL staff will request an invoice for the cost of replacing the ILL and these charges will be added to your library card account.
- ILL Replacement charges: Replacement charges for long overdue, damaged or lost ILLs are determined solely by the owning library and may include processing charges. NNPL staff do not have the authority to make adjustments to these charges or to accept replacement copies in lieu of payment. Additionally, since NNPL pays the owning library upon receipt of the invoice, returning the ILL after the charges have been added to your account, will not result in the charges being removed or satisfied. ILL replacement charges cannot be refunded.
