Terms of the AIM Tradeshow Contract:
Space Assignments – Each 10’x10’ booth space is leased on a first come, first serve basis with space allocation being decided by TCPPA/AIM. TCPPA/AIM and tradeshow chairman reserves the right to assign space allocation for the benefit and betterment of the exposition. Exhibitor agrees to hold harmless the TCPPA/AIM tradeshow chairman, sponsoring organization and exhibit supplier from any and all liability, which may result from booth assignment or any other cause. Multiple booth spaces reserved by a single company will be conjoined for a larger space.
Payments and Cancellations – In applying for space, the Exhibitor/Vendor will pay $200 per booth. In the event of cancellation by the Exhibitor at any time, the tradeshow chairman shall have the right to lease the space to any one else without obligation to return the monies already paid and the right to retain such amount as liquidated damages. No exhibitor can set up without full payment of booth(s) leased.
Booths and Equipment – If requested, the booth space will include one 8’x30” table (shiny copper-colored aluminum tops with brown spandex skirting) and two chairs. These items will be furnished at no additional charge. All other furnishing, equipment, facilities will be provided by the Exhibitor at Exhibitors expense and responsibility. Pipe and drape will not be provided.
Electricity is available from the hotel and conference center for a fee.
Use of Booths – all demonstrations and exhibits must be contained within the contracted booth space. No exhibitor shall assign, sublet or share the whole or any part of the booth space allotted without the express written permission of the TCPPA/AIM tradeshow chairman. If a vendor utilizes a vacant space or encroaches upon any unused space, they will be billed for the additional space used.
Objectionable Materials and Activities – The tradeshow chairman and the authorized representatives of TCPPA reserve the right to request modification of any Exhibit or curtail any undesirable activity. No obstruction may be placed in the front half of the booth or in any way which would obstruct an adjoining booth.
Handling and Storage – The Exhibitor will make his or her own arrangements for delivery and receipt of shipments and storage of crates before move in time. No exhibitor shall commence dismantling of packing product prior to the established closing time. Crates will not be delivered to the exhibit booths prior to that hour.
Exhibitor Badges and tradeshow passes will be given so vendors can bring as many of their employees or agents as deemed necessary. Vendor badges allow access to the tradeshow and other activites open to the public; in no case can a vendor hire or otherwise give a convention badge or pass to any photographer that would otherwise need to pay registration to attend. If such will be the case, then express written permission from TCPPA/AIM is necessary and that photographer will NOT be allowed to attend any programming without having paid a registration fee or as otherwise agreed in writing. Exceptions to this is any vendor sponsored talent who is giving programming for the benefit of the convention; then that talent can have access to the other programming at no additional charge. If an abuse is noticed, then vendor will be notified and held responsible for payment of that photographer’s registration fee.
Liabilities – The Exhibitor agrees that TCPPA/AIM Conference, its tradeshow chairman, or sponsors will not be responsible for any damage to, for the loss of, or destruction of property belonging to or is the responsibility of the Exhibitor, Exhibitors representative, agents or employees. Exhibitor agrees to indemnify and hold harmless TCPPA/AIM Conference, Tradeshow Chairman and Sponsors from any claims or awards resulting from personal injury of or to any Exhibitor’s owners, agents or employees.
Canceled Convention or Exhibit - TCPPA/AIM, its agents, hotel or conference center and employees will not be liable if the convention and tradeshow are not held as scheduled due to fire, act of God, weather, terrorism, public enemy, labor strike, epidemic, or any law or regulation of Public Authority, which makes it impossible or impractical to hold the Exhibition. If the exhibits are called off on or before January 1, 2020 then payments for booth space will be returned, except for any actual expense incurred in the connection with the exhibits. If cancelled after January 1, 2020 no refunds will be made, but rather a credit will be issued to vendor which can be applied to future scheduled TCPPA/AIM conventions or seminars.
Admissions – The Tradeshow Chairman will have sole authority over all admissions. All persons visiting the exhibit area will be admitted according to the rules and regulations of the exhibits as issued or amended by the authorized representatives of TCPPA/AIM.
