- It is the sole responsibility of the Applicant to obtain all permits, licenses, or other legal authorizations required by the Applicant for the storage, sale or serving of alcohol.
- The Applicant acknowledges that it will purchase, from a licensed insurance agent or broker, a Host Liability Insurance Policy in an amount not less than $2,000,000.00 and shall name, as an additional insured, Colchester Community League and Strathcona County under such policy.
- The Applicant must be familiar with and abide by all regulations, laws and bylaws relevant to the storage, sale, or serving of alcohol.
- The Applicant must provide adequate security and supervision while alcohol is served and until the building is vacated.
6. Overnight Camping: Any persons wanting to remain overnight on the premises must first obtain a Camping Permit at the time of signing the Rental Agreement from the CCL.
7. Smoking: Smoking is prohibited within the building, annexes, utility rooms and washrooms. Please use a smoke-safe container to dispose of cigarettes/cigars. Failure to comply will result in the Applicant forfeiting his/her damage/cleaning deposit in full.
8. Fireworks/Pyrotechnics: Fireworks or pyrotechnics of any form are PROHIBITED on/in/near the Strathcona County property and premises and the use by the Applicant or any party thereof shall forfeit the Applicant’s damage/cleaning deposit in full.
9. Accident/Damage Notification: In the event of accident or damage to the premises, the Applicant shall immediately advise the Event Coordinator of CCL. Failure to comply will result in the Applicant forfeiting part / all of the Applicant’s damage deposit.
10. Liability: The Applicant expressly covenants and agrees that during its use and occupation of the said premises, it will indemnify and save harmless the CCL and its members and Strathcona County, from and against any and all liability whatsoever resulting from injury or damage to any person, persons or property, by reason of or as a result of the use and occupation of the said premises, or in transport from the Hall, directly or indirectly as herein set forth, or by reason of or as a result of the act of its servants, agents, employees or workmen.
The Applicant expressly covenants and agrees that all chattels, furniture or fixtures and property of whatever nature or kind brought onto the premises by it during the term of this contract, shall be brought on the said premises at the sole and exclusive risk of the Applicant. The CCL has and makes no representations or warrantee to the Applicant for the liability for loss of damage resulting there from. Should an occasion arise which renders Colchester Hall unusable for any event, the CCL reserves the right to cancel the booking and return all deposits to the Applicant and the CCL will not be liable for any loss or damage caused by such cancellation.
11. Cleanup: Before the end of the rental term and surrendering possession of the facility to the CCL, the Applicant must ensure the premises are clean. A CCL Representative will review the premises after the close of each rental term and will document any failure to meet the following criteria:
a) Ensure that the grounds immediately around the perimeter of the hall are clean/garbage free
b) Wipe-down of sinks, stove, counters, cooler, refrigerator as required
c) Wipe-down and return all tables and chairs to where they were found
d) Sweep/mop floors and ensure all garbage is disposed in the bin located on site
e) Ensure restrooms are clean and all garbage is removed
f) Remove all Applicant-owned equipment, food, alcoholic beverages, and decorations
g) Turn off all lights and water pump switches and ensure all windows and doors are locked and secure
If the Colchester Hall is not cleaned in accordance with the instructions listed above, cleaning will be charged at a rate of $100 per service-hour and will be deducted from the cleaning deposit.
