- The cost includes details as noted in this contract
- We agree to pay Cowden Free Methodist Camp Association (CCA) for the total cost stated above. Once this contract has been signed and returned with our deposit to CCA, we are obligated to its terms and no alterations can be made within the 90 calendar day period prior to the beginning date of our event.
- We agree to not exceed the number of spaces stated to use unless additional space is available and confirmed by CCA prior to our arrival.
- We understand that the deposit must accompany this signed contract.
- We agree to respect the beliefs of Cowden Free Methodist camp as set forth in the Free Methodist/CCA Statement of Faith.
- We understand that the use of the camp grounds or its facilities are not to be used for the purposes of commerce without written approval from the CCA Board.
- The approved schedule is final. Schedule or service requested made after the schedule is completed is subject to CCA approval.
CANCELLATION POLICY
- Cancellation of this contract more than 90 days prior to this event will result in forfeiture of the deposit.
- Cancellation of this contract within 15 calendar days prior to arrival will result in the cancellation charge. The cancellation fee is equal to 80% of the Total Cost stated on page 1 of the reservation guarantee. The deposit will be applied to this cancellation fee.
The Camp may deny the application, at its sole discretion, due to incompatibility, including, but not limited to the following:
- scheduling;
- potential risks of injury to persons and property;
- activities are inconsistent with the Camp’s mission or messaging;
- the mission of the applicant organization is inconsistent with the Camp’s
mission or messaging;
- incompatibility with the physical facilities;
- subjecting the Camp to potential tax liability.
ASSURANCE OF QUALITY
It is the desire of CCA staff and volunteers to serve you to the best of our ability. The information included in this contract will enable us to accomplish this goal. Your adherence to the dates, number, contract conditions, and regulations stated will allow us to provide you with the best service possible.
PRE-ARRIVAL INFORMATION
- Each guest is expected to adhere to their prearranged and agreed upon schedule while at CCA. Unless prior arrangements have been made, Cowden does not provide programming or kitchen staff. Groups will provide their own meals, counselors, etc. All trash must be picked up and placed in the garbage bin located east of the Caretakers Home.
- Guest must provide at least one supervisor at all times for every ten school aged participants. Overnight guests must provide a live-in sponsor for each dorm rented in which school aged participants reside. Guest groups are permitted to use recreational facilities and equipment at each person’s own risk with the agreement that CCA is exempt from liability for injury, damage, loss or death which may occur from use of CCA.
- Guest groups are financially responsible for damage to CCA property beyond normal wear and tear. Any damages associated with the guests (beyond normal wear and tear) will result in the forfeiture of deposit in addition to costs which may exceed the deposited amount.
- CCA does not furnish linens in the rooms. Please do not move furniture without permission. Please- No Pets.
- A CCA host will be available or on call to serve you during your event.
- The use of alcohol, smoking, and non-prescription drugs is strictly prohibited. Violation will be cause for immediate dismissal without refund or contractual obligation. Possession and/or use of any weapons, firearms, or fireworks is strictly prohibited.
- Attendees are the responsibility of the Guest organization. CCA does not act in loco parentis to campers attending under this contract.
- Guest/organizations are responsible to provide their own First Aid and Emergency Care. Emergency Transportation , an First Aid kits for minor injuries. CCA recommends there be an individual(s) in the Guest Organization that is CPR and First Aid Certified by the America Red Cross, or equivalent. Guest are responsible to complete an accident report with CCA for any injury that might require professional medical care.
- CCA Strongly recommends that your organization collect Notarized Permission statements and Health Forms for each attendee under the age of 18 who are dependents. CCA is not responsible for injuries or health concerns which may occur as a result of camp usage.
- Individuals renting for personal or event usage are expected to secure "Event Coverage" with a local insurance provider of their choice. Groups and Organizations are expected to secure CCA as an "Additional Insured" to their institutions insurance policy for the dates agree upon in this contract.

- this application is a legal binding contract and binds the signer and his/her group or organization to the terms and conditions stated herein;
- the Camp ground is private property and is not a place of public accommodation;
