Always Time for Teepees – Terms & Conditions
These Terms & Conditions apply to all teepee sleepovers, themed events, and equipment rentals provided by Always Time for Teepees.
1. Hire Period
The hire period begins on the agreed setup date and remains in effect until collection. Collection takes place the day after the event, between 9am and 5pm, at a mutually agreed time.
2. Payment
A £25 non‐refundable booking fee is required at the time of booking. The remaining balance is due no later than one week before the event. For bell tent hire, a refundable £100 damage deposit is payable prior to the event and returned within 48 hours of collection, provided all equipment is in acceptable condition. The damage deposit will be refunded using the same payment method originally used.
3. Late Deposit
If the hirer fails to pay the deposit or remaining balance by the due date, Always Time for Teepees may cancel the booking and retain the deposit.
4. Care of Equipment
Equipment is designed to be enjoyed, but excessive or rough play may result in damage. Children must be supervised while using the teepees and accessories.
5. Supervision of Children
Children must be supervised at all times. Always Time for Teepees is not present during the event and does not supervise children during setup or collection. The hirer is fully responsible for child safety throughout the hire period. Including checking for nut allergies for popcorn bookings.
6. Insurance
Always Time for Teepees holds public and product liability insurance up to £5,000,000. Any claims relating to damage or incidents must be raised within 24 hours of the event.
7. Loss or Damage
The hirer must report any damage. Reasonable wear and tear is accepted. Damage beyond this may result in deductions from the damage deposit.
8. Cancellation Policy
More than 6 weeks before the event: Refund of all monies paid (excluding the booking fee).
Within 6 weeks: Refunds may be issued at the company’s discretion. We will always try to rearrange your booking where possible.
9. Safety & Setup Requirements
Teepees must not be placed near open flames or heat sources. All lighting provided is battery‐operated. Smoking is not permitted near the teepees. Pets must be kept away from the teepees and equipment at all times. Outdoor use is only permitted with prior agreement.
If teepees need to be moved after setup, the hirer must ensure they are handled carefully and that fire exits and escape routes remain unobstructed.
10. Working Conditions & Access
Clear access and safe working conditions must be provided. Pets should be secured during setup. If access is delayed, setup time continues. We may pause or decline setup if the environment is unsafe.
11. Travel & Mileage Charges
Bookings more than 10 miles from Darlington incur a mileage charge of 55p per mile, calculated for the round trip.
12. Valuables & Personal Items
Please store valuables safely before setup. Always Time for Teepees is not responsible for locating missing items.
13. Liability for Misuse
The hirer is liable for any damage or injury resulting from inappropriate or unsafe use of equipment.
14. Limitation of Liability
Always Time for Teepees accepts no liability for:
Damage to the hirer’s property
Damage to guests’ property
Any costs, losses, claims or consequential damages
Total liability is limited to £250, except where unlawful to limit liability.
15. Standards of Service
We provide services with reasonable skill, care and diligence, in line with health and safety regulations.
16. Data Protection (UK GDPR)
We collect only essential information. Data is stored securely and never shared. Photos are only taken or used with explicit consent. You may request deletion of your data at any time.
17. Force Majeure
If circumstances outside our control arise, we may need to reschedule. We will always aim for the earliest mutually suitable date.
18. Social Media & Photography Consent
Photos will only be taken or used with your explicit consent. You may withdraw consent at any time.
19. Marketing Consent
I consent to Always Time for Teepees contacting me with marketing updates, special offers and event information. I understand my details will be stored securely and will never be shared with third parties. I can withdraw my consent at any time.
