The internal PaperCut database can be used, however, an external database is strongly recommended. It's highly recommended to move to an external database when you reach 500,000 or more records. An external database should however be installed prior to the PaperCut installation together with the appropriate management tools (e.g. SQL Management Studio).

The client tool is an optional software component that runs on users' workstations. It is not required to track printing because PaperCut tracks printing at the server-side. The user client provides services to users that enhance the print tracking experience. These features include: - Real-time feedback to the user including their account balances and event messages such as "print job denied" reasons. - On non-domain clients (Apple Mac sometimes) or shared PC's, the client is also used for user authentication pop-ups. - Access to the account selection popup so users can allocate print jobs to shared accounts - for example, accounts representing departments, projects, clients, etc. This is particularly important in a business environment.

Mobility Print delivers network print services for iOS, Windows, macOS, Android, and Chrome devices across mixed fleet environments. It enables all end-user clients (for example, iPhones, Chromebooks, Android phones, and laptops) that are not managed by your organisation (such as non domain devices), to securely print to any printer in your network. It also works with managed Chromebooks. Please make sure this is ordered when selecting "Yes" below as it will take additional installation time.

    -HP-

HP - multi-function devices support the “Chai SOE DSE” framework and later FutureSmart 4 devices support the OXP framework.

Ensure that the devices on the network are listed as supported devices on the PaperCut MF for HP page.

Compatible card readers connect to the device via the USB port. On some devices this is hidden under a sticker on the side panel.

For later models OXP (FutureSmart 4) devices:

Ensure that the following system requirements are met and the following entities are available:

    • Physical device – administrator and user access, and credentials
    • Device’s web interface – administrator access, URL, and credentials
    • PaperCut MF Admin web interface – administrator access, URL, and credentials
    • Devices are running the latest firmware from HP

For older HP Legacy (FutureSmart 3) devices:

    • Ensure that the following points are checked off before getting started:
The devices on your network are HP FutureSmart 3 devices
    • The HP FutureSmart 3 devices on your network are compatible with PaperCut’s embedded software solution, PaperCut MF - HP FutureSmart Legacy. Most HP FutureSmart 3 devices are compatible with PaperCut MF - HP FutureSmart Legacy, except:
      • scanner-only devices, and
      • devices with 4-line displays
    • The devices on your network are directly accessible by the PaperCut MF Application Server (i.e. not via a NAT network).
    • The HP devices have an administrator username and password defined for access to their web admin.
    • The networking/firewall configuration allows:
o Inbound connections to the PaperCut MF Application Server from your devices on
      your configured ports. For example:
      ▪ 9191 (TCP/HTTP)
      ▪ 9192 (TCP/HTTPS)
o Outbound connections from the PaperCut MF Application Server to your devices on your configured ports. For example:
      ▪ 7627 (TCP/HTTPS)

    -KONICA MINOLTA-

Please check the supported Konica Minolta device on this webpage

Konica Minolta / Develop devices with the “OpenAPI” functionality. PaperCut requires OpenAPI version 2.3.1 or higher with version 3.1+ recommended. These devices must have a hard drive installed and old devices will require a firmware upgrade.

Compatible card readers can only be sourced from Konica Minolta directly. Or ITS supplied card readers can be used with the proper KM sources firmware and settings.

Before installing the PaperCut Embedded Application on to the Konica Minolta device, ensure that basic monitoring of network printing has been setup up and tested for this device.

    • Ensure that your Konica Minolta device supports OpenAPI 3.1 or later.
    • Ensure that the Konica Minolta device is connected to the network.
    • Have available the network name or IP address of the Konica Minolta device.
    • It is recommended that the device be configured with a static IP address.
    • Verify that firewalls or other network restrictions do not prevent the PaperCut server’s
access to port 50003 on the device and do not prevent the device’s access to the PaperCut server on ports 9191, 9192 and 9195 (PaperCut MF 18.3.0 or above).
    • Ensure the device has a Web browser installed and activated. You can check that the “web browser” is listed under ‘Administrator Settings > License Settings > List of Enabled functions’ on the device.

The PaperCut MF embedded application includes Integrated Scanning, which you can optionally enable per device. Integrated scanning has the following additional requirements:
    • Firmware must support OpenAPI version 4.0+
    • Requires i-Option device

    • The Java VM card is installed. NOTE: This must be purchased and installed by a Ricoh technician.
    • The MFD has a hard disk drive (HDD) installed. HDDs are not automatically included with some of the smaller MFDs.
    • For MFDs with SDK 4 or later, when not using the Remote Operation Client for configuration, some system parameters must be configured NOTE: These settings can only be changed by a Ricoh Technician. We recommend getting them changed when the Java VM card is installed.
    • For MFDs with SDK versions earlier than version 10, verify that the Other Function key is installed on the left of the Ricoh LCD screen, below the Copy/Facsimile keys. This key will activate the PaperCut embedded application and is usually installed by a Ricoh technician when the Java VM card is installed.

    • You know whether or not the MFD has a Smart Operation Panel. These panels do not have function keys or a User Tools/Counter key. Instead, these functions are accessed from the Home screen
NOTE: If the MFD has a second-generation Smart Operation Panel, it will be able to run the PaperCut MF SmartSDK embedded application.

    SmartSDK Type of Devices

Ensure that the supported Ricoh devices on the network are compatible with PaperCut’s embedded software solution PaperCut MF – Ricoh (SmartSDK):

    -XEROX-

Xerox devices must support Xerox Secure Access and EIP however the Xerox Network Accounting module must also be enabled. Xerox devices can support two general classes of card readers:

o Network card readers (i.e. not physically connected to the MFP. The PaperCut server communicates with these over the network). Recommended for EIP1 devices.

    o USB card readers

The Network Card Reader option will work with any Xerox device supporting “Xerox Secure Access”.

It is recommended for all compatible Xerox devices running the firmware - Xerox Secure Access Extensible Interface Platform (EIP) version 1.5 or above. A list of compatible devices that support EIP can be found on the following website.

Ensure that the following points are checked off before getting started:

    • Your Xerox MFD supports the Extensible Interface Platform version 1.5 or higher.
    • Your Xerox MFD has “Network Accounting” installed and enabled including off-box
authentication support. (Network accounting is also known as JBA accounting.) You
may need to contact Xerox to enable this functionality. Please check with Xerox
that the Network Accounting Kit license is still available because if the device has
been declared as "End of Life", it may no longer be available.
    • You have available the network name and IP address of the system running PaperCut (e.g. the print server).
    • The Xerox MFD is connected to the network.
    • You have available the network address of the Xerox MFD. It is recommended that
the MFD is configured with a static IP.

-Find-Me printing considerations within a multi brand environment-

When you have selected more than one hardware manufacturer, this of course is supported however if you wish to deploy Find-Me printing using one virtual queue, it may not work properly because of driver limitations between brands. In order to mitigate this, you might have to consider creating one virtual queue per manufacturer.

Please find more information on this topic here and here.

Don't hesitate to reach out to us in case you have any questions regarding this functionality.
