TERMS AND CONDITIONS:
Purpose
The Alaska Airmen Association (AAA) provides a crew car as a courtesy to current AAA members for short-term, local transportation. This policy outlines eligibility, proper usage, and the responsibilities of anyone borrowing the vehicle.
Eligibility and Access
- Use of the crew car is strictly limited to current members of the Alaska Airmen
Association (AAA).
- A valid driver’s license and proof of insurance are required at the time of checkout.
- The vehicle must be signed out through a designated representative.
Reservation and Checkout Procedures
Weekday Use (Monday through Friday):
Reservations require at least 12 hours’ notice, submitted by the prior
business day for Monday use. Shorter notice is accepted, but staff may not
be able to accommodate the request.
Weekend Use (Saturday and Sunday):
Reservations must be made during normal business hours (Monday
through Friday) and require at least 12 hours’ notice. Shorter notice is
accepted, but staff may not be able to accommodate the request.
Return Time:
The car must be returned no later than the time reserved due to other members who may have reserved the car. If you need to extend, please contact the staff at 907-245-1251 to see if the time can be extended.
Usage Guidelines
By accepting use of the crew car, the driver acknowledges and agrees to the following terms:
1. Responsibility & Vehicle Condition
- Driver assumes personal responsibility to ensure the car is in proper operating condition, including clearing snow/ice during winter and maintaining clear visibility.
- If the driver deems the vehicle or conditions unsafe, the final decision to
drive rests with the driver.
2. Legal & Safe Operation
- Obey all federal, state, and local laws.
- Drive with diligence and good judgment at all times.
- Use of the crew car off-road is strictly prohibited.
- Smoking and open alcoholic beverages are not permitted in the vehicle.
- Use of cell phones or earphones while driving is prohibited.
3. Security
Always turn off the ignition, remove the key, and lock the vehicle when
unattended.
4. Occupants
- Only the authorized AAA member may operate the vehicle.
- Number of passengers must not exceed the number of seat belts, and all
occupants must wear seat belts at all times.
- The operator is responsible for ensuring that all passengers comply with
safety rules.
5. Cleanliness and Fuel
- Vehicle must be returned with a full tank of gas.
- All personal items and garbage must be removed before returning the
vehicle.
6. Violations and Fines
The driver assumes full responsibility for all traffic or parking violations
incurred during use.
7. Accidents
- Accident reporting is mandatory.
- Call 911 immediately if injuries are present.
- If no injuries, call local law enforcement.
- Document all information using the accident investigation form in the
vehicle, include photos.
- Provide the other party with the car’s insurance info and your contact
details.
8. Enforcement
- The privilege to use the crew car may be revoked immediately for any
violation of this policy.
- Failure to comply may also result in suspension of privileges or liability for
damages.
Liability Acknowledgment
By signing out the crew car, the user:
- Affirms possession of a valid driver’s license and current auto insurance.
- Accepts full responsibility for the vehicle and its safe use during the loan period.
- Releases the Alaska Airmen Association from any liability for injury, damage, or loss resulting from use of the vehicle.
