    GUIDELINES & PROCEDURES:

     

    SET UP: Friday, May 1, 2026 1:30-2:30 pm

    NO LATE SET-UP WILL BE ALLOWED

    EVENT: Friday, May 1, 2026 3 PM - 9 PM

     

     

    May 1, 2026 CINCO DE MAYO

           Vendors (and assistants):

    • You are required to provide all necessary items (excluding table cloth/cover) to set up their booth/table. 
    •         Shall not remove their booth/sales table prior to the end of the event.  
    •       Must maintain their spaces in a clean condition and remove all waste before leaving the event. 
    • Are expected to display professionalism, courtesy, and respect, when speaking or dealing with ANY guest & other vendors.
    • All VENDORS MUST have a City of Eloy Business License prior to the event. Food Vendors must have a Pinal County health license and must submit a copy of license to chamber office prior to the event.

     

    NOTE: NO ITEMS THAT ARE IMMORAL, ILLEGAL OR DANGEROUS WILL BE ALLOWED, IF THE CHAMBER FEELS ANY ARTICLES ARE QUESTIONABLE, REMOVAL WILL BE REQUESTED. NON-COMPLIANCE WILL CAUSE THE VENDOR TO BE ASKED TO LEAVE.

     

    Eloy Chamber of Commerce reserves the right to market you/your items before/during/after to include social media and photos (we use a photo taken at one event including your picture to advertise our next
    event).

     

    LIABILITY: Vendors shall comply with all laws, ordinances, rules and regulations of any lawful authority, agency or government unity which apply to the use of its vending space, including without limitation, any state or local applicable fire and building code and/or health regulations applicable to the locality in which the event is taking place.

    The Vendor shall be solely responsible for any and all injuries to persons or damages to property or any other injury, claim, damage or loss of whatever nature, arising from or related to the Event. Vendor shall indemnify, save and hold harmless Eloy Chamber of Commerce & City of Eloy, its agents and volunteers from and against all liability, loss, damages, claims, costs and expenses (including reasonable attorney’s fees) arising out of injury to person (including death) or damage to property or any other injury, claim, damage, loss, cost or expense arising from the Event performed by vendor including, but not limited to, any negligence, act or omission of vendor.

    The Vendor agrees to accept responsibility for all materials and goods furnished by him/her, and used or displayed in the booth area and accepts full responsibility for his/her personal property. Vendor agrees that Eloy Chamber of Commerce, its volunteers and agents shall have no responsibility whatsoever for any loss or damage to vendor’s equipment, supplies, goods or other property.

    Eloy Chamber of Commerce shall not be liable for any loss or damage to the property of vendor or any of its representatives, employees, agents, patrons and guests, because of fire, robbery, accidents, or any other cause whatsoever that may arise from vendor’s use or occupancy of its allocated space during the Event.

    The Vendor agrees to indemnify and hold harmless EloyChamber of Commerce & City of Eloy representatives, and agents against any and all claims of any person whomsoever, from acts or omissions of the vendor, its representatives, employees, agents, patrons, or guests.

     

     

  • PERMITS:

    All vendors must carry a: City of Eloy Business Permit, Pinal County Health Permit, and Annual Fire inspection permit (food trucks only).  

    •      Please provide a permit copy with this application, once accepted.   

    •      Non-permit holders: can request a form. Return the completed permit form,   (include a color copy of your driver's license) with your vendor application.        

    •      The Eloy Chamber will obtain the permits for you - a $20 permit fee (As of August 1, 2025) for the City of Eloy, and a Pinal County Health Permit for food vendors. Add this fee to your total.  

  •  ⮚ Space set-up by 2:30 pm on Friday, May 1, 2026 . The setup must be completed by 2:30 pm for fire and health permit inspections.  All Vehicles must be off site by 2 pm. No late setup will be allowed. The Vendor Coordinator will assign spaces.

    ⮚ All vendors must be open and vendor space must be staffed throughout the event.   

    ⮚ You must provide a flame-resistant tent or canopy in your designated space.   

    ⮚ All vendors must carry liability insurance, listing Eloy Chamber of Commerce as additional insured. The event date must be included.   

    ⮚ Non-profit vendors cannot sell items; they only give out information.

    ⮚ Hours of Operation: 3 pm to 9 pm

    ⮚ Vendors are responsible for the cleanliness of their designated area.   

    ⮚ The event is outdoors and takes place in daylight and evening times. Rain or Shine Event.   

    ⮚ All Vendors must have the required business license from the City of Eloy.  

    Including all health permits from Pinal County if selling food.   

    ⮚ If you have a City of Eloy business permit, Pinal County Health permit, and Fire Inspection permit (food trucks only) attach a copy with this application.

    ⮚ Force Majeure – Except for payments due, neither party shall be in default because of any failure in performance of this agreement if such failure arises out of causes beyond their reasonable control and without their fault or negligence, including Acts of God, extreme high or low temperatures, winds, rain, power failures, flooding, fire, epidemics, pandemics, communicable disease, or quarantine restrictions. If the event becomes unavailable, sponsors, food vendors, and retail vendor's only available remedy is for the parties to agree to an alternate replacement for a future event/s.  

    ⮚ Deadlines – All agreements, payments, permits, and certificates of insurance are due no later than April 24, 2025.

    Limited space is available. Space is “first come, first served”. Space is only held with payment received and signed agreement. We will not be holding no spaces.  

     

  • RELEASE  

    This agreement is non-refundable/No Chargebacks regardless of the retailer’s performance or event expectations. The participant is fully responsible for all charges as outlined herein whether using the agreed upon space or not. Participants agree to utilize assigned space during published event hours and will confine all display activity to assigned space. All space assignments are final decisions of the producer and reserve the right to change space locations, as they may deem necessary. All tents, canopies, power cords, furniture, signs, and materials must meet fire codes. The event producer reserves the right to require the modification of any display. I agree to parking in designated parking areas. I hereby release and discharge the Eloy Chamber of Commerce, staff, interns, volunteers, all sponsoring organizations, and the City of Eloy from any responsibility, personal liability, claims, loss, suits, or damage arising out of or in conjunction with my participation in the Cinco de Mayo event. The event and the above-listed associates will not be responsible for any injury sustained by participants and guests or damage to products and materials belonging to participants. I agree to abide by all the regulations and guidelines set forth by the event, written or oral, and understand failure to do so could result in my removal from the event and that all decisions are final. I take full responsibility and understand that my entire display must be sturdy and safe and that a representative must occupy the space during posted event hours

     

     

     

     

    *** All Vendors***

    Once you submit the form give Eloy Chamber 24-48 hours to respond. Chamber will not respond if its the weekend or holiday. If you are accepted to the event please have payment ready to be process. Eloy Chamber of Commerce takes credit cards, business checks, money orders and cash.

    Vendors- This year we are taking smaller amount of food vendors. I encourge you to make sure you have all your permits and payment in as soon as possible to hold your spot. We will NOT hold spots.
