Thank you for your interest in SpringFest 2025! We are excited to share this comprehensive proposal outlining the exposure and opportunities available to you through our event.

SpringFest: A Premier Marketing Opportunity
Midstream Estate is home to a high-LSM community, with over 6,400 homes and 13,000 vehicles passing through daily. This event offers an excellent platform to showcase your brand to a well-targeted audience. We anticipate over 8,000 attendees at the festival.

Important: SpringFest is a cashless event.
Applications must be submitted by 31 July 2025.

Additional Market & Sponsorship Exposure:
There is also an opportunity to participate in the morning market at Midstream Ridge Primary from 06:00 - 11:00. Please indicate if you would like to be part of both events.

 Your attendance is essential to ensure a smooth setup and successful event.

One point available per stand. Additional points can be requested at R150 per stand. Compliance with Midstream Electrical Supply requirements and safety regulations is mandatory for vendors using electricity. Extension cord should not exceed 30 meters and cabling must be covered.

SpringFest 2025 – Exhibitor Agreement

Important Notice: Midstream SpringFest 2025 is a cashless event.

Compulsory Vendor On-Site Meeting
All exhibitors must attend a mandatory on-site meeting where vendor packs will be distributed, stall allocations will be confirmed, and a security and safety briefing will take place.

Venue: Midstream College Pavilions
Failure to attend may result in forfeiture of your stall allocation.

Sponsor Exposure & Prize Commitments
Only sponsors providing prizes for stage presentations will receive on-stage exposure.
Scripts must be submitted by 1 August 2025.
Prizes must be delivered on the morning of the festival (6 September 2025, before 9h00).
Sponsors must confirm their participation and prize commitments in writing.
All branding and marketing materials must comply with SpringFest guidelines.

Set-Up:
Friday, 5 September: 14:00 - 17:00
Saturday, 6 September: 06:00 - 10:00
No vehicles allowed on the grounds after 10:00 on Saturday.

Breakdown:

Saturday, 6 September: From 22:45
Sunday, 7 September: From 09:00
No vehicles allowed before 23:00 on Saturday.

Stand Rules & Requirements
Each exhibitor must bring their own card machine for transactions.
A layout with stand numbers will be provided before the event.
Exhibitors are responsible for their own display items.
Stands must not extend into public areas or encroach on other stands.
Penalties apply for exceeding designated space.
Public liability insurance is the exhibitor’s responsibility.
Electricity usage must comply with safety regulations.
Additional electrical points: R150 per stand (must be applied for, limited availability)
Only one implement per lead per plug is allowed.
Leads must not exceed 30 meters.
SpringFest organisers reserve the right to conduct electrical inspections.
Exhibitors must maintain a clean and neat stand throughout the event.
Event Registration & Access
Registration will take place two weeks before the event.
Each stand receives two worker access cards.
One free parking space per vendor is available inside the venue (Gate 9).
Stand numbers will be allocated by the organisers and cannot be changed.

General Rules & Liability
Camping chairs are only allowed at your stall and may not be moved to other areas for personal use.

The organisers are not responsible for disruptions due to acts of God, extreme weather, or government regulations.
In unforeseen circumstances, the event may be rescheduled, and payment terms may be reviewed.

Midstream SpringFest organisers, Bondev, its directors, Midstream College, its directors, or any of their agents are not responsible for any loss, damage, or injury to persons or property while on Midstream property.
