    The position
    GlycoSpot is seeking a structured and service-minded Back Office Manager to support the company’s continued growth. The role is a blend of administration, bookkeeping, and practical operations, ensuring smooth day-to-day processes and enabling directors and business development to focus on strategic growth.

    Key Responsibilities          
    As Back Office Manager, you will play a central role in ensuring financial and operational structure across the organization. Your tasks will include:

    • Managing invoices and maintaining accurate financial records.
    • Supporting directors and business development by keeping customer data structured in HubSpot and maintaining project and task overviews in Wrike, as well as handling reporting and general system upkeep.
    • Handling purchasing, supplier coordination, and practical logistics including stock and office supplies.
    • Following up on debtors, sending reminders, and ensuring financial discipline across a broad customer base.
    • Providing general administrative support and optimizing office processes including evaluating tools and practical setups.
    • Acting as a key contact point for practical matters and coordinating with external partners such as web consultants when needed.

    The position can be arranged as full-time or part-time, depending on the candidate’s availability.

    The ideal candidate            
    We are looking for a structured and hands-on individual with proven experience in administration, bookkeeping, or back-office functions. A background in bookkeeping or a commercial office education is preferred. You are comfortable working with CRM systems, financial software, and project tools, and you enjoy keeping processes well organized and transparent. Experience with e-conomic as well as CRM systems such as HubSpot and tools like Wrike will be considered an advantage.

    You bring a balance of financial acumen and service orientation and thrive in a role with broad responsibility. While you are able to work independently, you also recognize when it is more efficient to involve the right colleagues or seek support to ensure tasks are solved effectively.
