1. VENUE
Benoni Northerns Indian Ball Club (premises)
2. TRADING HOURS
Setup Time - 14:00 - 16:30
Halloween Market - 17:00 - 22:00
3. PARKING
Vendors will be allowed to enter with their vehicles to off-load ONLY. No vehicle will be allowed to stand around.
Immediately after offload, vehicle must be removed. All vehicles must be removed and parked in allocated parking bays prior to the event beginning. No exceptions.
Vendors park their vehicles at their own risk.
Stall stands & items are on a first come and first service basis.
Please note that these are empty 3x3m stands with no tables, chairs, lights or gazebos. Vendors must supply their own. GAZEBO'S COMPULSORY
NB!!! NO ELECTRICITY PROVIDED. Should vendor require electricity, vendor must supply their own generator. Please advise if you will be using a generator.
Payment secures your spot. "First come first serve" basis.
Please note that you MUST be ready to trade when you apply!
Items that are not disclosed/listed will not be allowed, traders will also be given a warning and potentially lose their spot in the markets should they sell items that have not been disclosed.
By registering, you hereby consent to be added to our whatsapp group.
NB: Once applied, an administrator will either approve or reject your application with a reason. Contact will be made by way of whatsapp. If approved, you will be provided with banking details. Payment is due upon approval message.
If no proof of payment has been received upon receipt of your form and we recieve a duplicate vendor application, we will count your application as unsuccessful and approve the next vendor.
No refunds on payment of your stall(s)
No refunds will be payable to the vendor if the vendor does not show up at the event, or if the exhibitor cancels his/her stall for any reason whatsoever
This event is an outdoor event. No refunds will be payable to vendor if the event has to be cancelled due to circumstances not in control of the organisers like rain, stormy weather, riots, violence, covid-19 restrictions etc. If the event has to be cancelled, a new date will be set, and vendors will be carried over to the event on the new set date. If the vendor is not able to attend the event on the new set date, the exhibitor will NOT receive a refund
Should a refund need to be processed for whatever reason, an admin fee of R100 will apply & payment can take up to 7 working days to be processed
ALL food stands have to present a valid CoA and send a copy with their applicatio
ALL food stands using gas must present a valid gas certificate and send a copy with their application
Alcohol vendors must have an liquor licence and to send a copy with their application
Please understand that it is very difficult to limit arts and crafts or baked products or jewellery or toys or handbags or clothes etc as all vendor's
items are in the same market but differ from each other
Handmade items also differ from vendor to vendor. It is impossible for organisers to check inventories or to approve every little item listed.
Where possible we will limit stalls to two vendors
We will not allow arguments and fights at the event between vendors selling a similar item, nor arguments with the organisers
We as organisers can’t assure the feet at the event, nor make any projections as we are in the hands of the public. It is also impossible to
guarantee vendor sales. It is the risk that you as vendor take and if you are not prepared to take the risk, please do not book a stand. The
organising team will not take part in any discussions after the event, regarding poor sales or feet
4. PLEASE TAKE NOTE OF THE FOLLOWING:
SETTING UP
When arriving, please enter through the allocated vendor gate. There will be a person to assist you. Please be patient and wait until you are helped.
Please note no driving or parking on the baseball pitch, vendors will be fined and banned should this occur.
Gate will be closed at 30 minutes unless prior arrangements have been made.
Gate will only be opened at closing time again.
Please note the stall number allocated is your final allocated stall number.
Your stall size is 3m x 3m (standard gazebo size) unless you picked more than one stall. Any gazebos bigger than 3x3 will not fit.
Please note that these are empty stands with no tables, chairs, lights or gazebos. Vendors must supply their own equipment they need for their stall.
NO ELECTRICITY is provided to any of our stands and should you require electricity, you must supply your own generators.
The venue has markers with stand numbers written on them. There will be somebody to assist you on the day if you have any issues
TAKE DOWN
Vendors may gradually begin packing up only 30 minutes prior to closing.
Only once the market has closed for the evening, may vendors begin the process of bringing in their cars to pack up and go. Anyone caught packing up & bringing their vehicles in early will be banned from returning to the market
This is not only important for the market but also the safety of the customers still shopping.
This gives the market a bad name because people are told there are a certain number of stalls and when people come a bit later in the evening, they see open spaces and this gives the market a bad name. The vendors that stay are the ones that land up suffering in future markets besides the fact the safety of customers and children. Please just like a shopping centre there are rules that you have to abide by. You never know when your last and biggest sale might be.
Once packed up, please make sure your stall area is clean. Please don't leave cable ties and cigarette butts everywhere.
Any vendors not complying with the above, will be banned from returning to the market.
5. GENERAL RULES
The market does not accept responsibility for any items left behind which end up damaged or missing
Vendors may not use the basins in the bathrooms to wash up their products or utensils, please use the areas designated for these activities
No stall may close early. A low number of visitors is not a valid reason for closing early
Rights of admission is reserved
6. MANAGEMENTS RIGHTS
DV Events reserves the right to:
Alter the date due to the account of bad weather
Make decisions and take all necessary actions to protect the reputation and image of the market
Assign or move a vendor’s stall location at management’s discretion
Approve more than one vendor for the same product
Dismiss and cancel any vendors stall at management’s discretion and without prior warning
Cancel, move, or ban from the premises any vendor who directly or directly creates a disruption or a negative atmosphere for customers and vendors at the market
Cancel, remove, or ban from the premises any vendor who displays a bad attitude or hostility and causes disruption or a negative atmosphere for customers and vendors at the market
Update and make changes to the rules without prior notice. Vendors will, however, be advised of these changes
This is to ensure the best interest of the market, and hence the vendors.
7. MARKETING & SOCIAL MEDIA
Marketing & advertising is vitally important for your business and ours. As organisers, we do as much advertising as possible to advertise the market on all platforms.
It is your responsibility to advertise your business and your products.
This is compulsory and helps let people know what you are selling
We need all our vendors to like our Facebook page “Benoni Friday Night Lights”. Please check our Facebook page and share all our posts to your personal Facebook page and with all your friends. This helps to advertise our event and the more people noticing the event, the more feet can be
expected.
Vendors to send us your advertising design with details and products to enable us to post your stall on our Facebook page.
8. LIABILITY RELEASE
Acceptance of the right to participate, entrants, participants, vehicles and spectators by execution of this form release and discharge DV Events, the city of Benoni and their officers, directors, employees, agents, volunteers, representatives and anyone else connected with the management of representation of the DV Events of and from any known or unknown damages, injuries, losses, judgements and claims from anything whatsoever that may be suffered by conduct of entrants or participants, assisting or cooperating with the entrant under the direction and control of said entrant. In addition you hereby authorise any pictures captured on the day to be publicized on various marketing platforms.
The vendor notes and confirms that all provisions hereof apply to any event hosted by DV Events at the premises which the vendor wishes to book and host a stall at.
By signing the below, you agree that all the above information is correct and that you have read and agree with the liability release and T&C’s on this document.
