- Leaves rented room, bathrooms, and kitchen/kitchen areas clean, including floors.
- Returns all chairs and tables to the original position.
Removes all trash and garbage from the premises and places in the dumpster.
- Does not damage property or remove personal property from premises.
- Removes all excess food (if served) from premises.
- Removes all decorations and balloons from building before leaving.
- No confetti will be allowed.
- No alcohol will be allowed.
- Nothing will be affixed to walls in any manner (banners, tape, pins, etc).

Renter agrees that ECAR will review any and all marketing materials related to this program at least 7 days prior and that Renter will state on all marketing materials that “This program is not endorsed by the Emerald Coast Association of REALTORS.” The marketing materials will also indicate that all phone calls relating to this program will be handled by Renter (i.e. travel directions, etc).

ECAR Associate Executive (AE) or Chief Operations Officer (COO) reserves the right to deny or cancel rental based on content, program, or conflicts with ECAR meetings or events.

Each agreement is intended for a single use and is not applicable for recurring meetings.

The renter is accountable for the cost of repair and/or replacement to the building, its contents, and property resulting from the actions of the renter, renter’s guests, invitees, employees, agents, or service personnel.
The confirmation of the rental date and the reservation of the room will be completed upon receipt of the deposit. The non-refundable janitorial fee must be settled at the time of executing this agreement. If the agreement involves waived rental fees, the room rental is confirmed upon the signature date of the ECAR Staff Member.
The rental fee and anticipated staff time must be settled seven (7) business days before the scheduled rental date. Failure to make the payment within this timeframe will nullify this Agreement.

The renter is obligated to adhere to all laws or ordinances that pertain to the use, occupancy, cleanliness, and safety of the premises, the building housing the premises, the land encompassing the building, the parking lot, and adjacent property.

The renter is prohibited from assigning, subleasing, or granting any license for the use of the premises or any portion thereof.

Upon request, the renter must furnish ECAR with proof of liability insurance for bodily injury and property damage. This insurance is intended to safeguard both ECAR and the renter against damages, costs, and attorneys' fees arising from accidents of any kind within the premises, the building housing the premises, the land surrounding the building, the parking lot, and the adjacent property. The insurance coverage should have general comprehensive liability limits not less than $1,000,000 per occurrence, with an aggregate limit of $2,000,000.

ECAR is not liable for lost or stolen items belonging to the renter or their guests, invitees, employees, agents, or service personnel. It is mutually agreed that, except for damage or injury resulting from ECAR's gross negligence or intentional acts, ECAR shall not be held responsible for any personal injury or property damage incurred by the renter, renter’s guests, invitees, employees, agents, or service personnel, or for damage to the renter's property or the property of any other individual or entity within or around the premises, the building housing the premises, the land on which the building is situated, the parking lot, or adjacent property, caused by any event or circumstance. The renter further agrees to indemnify and release ECAR, the Board of Directors, and its members from any and all losses, liabilities, costs, attorney’s fees, claims, demands, damages, actions, causes of action, and suits arising directly or indirectly from the actions or use of the premises by the renter or the renter’s guests, invitees, employees, agents, or service personnel, within or around the premises, the building in which the premises are located, the land on which the building is situated, the parking lot, or adjacent property.
