Invitation to Participate: ApollyCon 2027

We are pleased to invite romance authors to participate in ApollyCon 2027, taking place August 19–21, 2027, at the Gaylord National Resort & Convention Center in the Washington, D.C. area.

Onsite Participation Expectations

Invited authors are asked to plan to be onsite Thursday, August 19 through Saturday, August 21, to participate in ticketed events and scheduled programming throughout the convention.

Optional Author-Exclusive Workshops

We are also planning an optional day of author-exclusive workshops on Wednesday, August 18, 2027. These workshops are designed to provide additional professional development and community-building opportunities for participating authors.

Additional details will be shared as plans are finalized. At this time, we estimate the cost of this optional workshop day to be $150.

As you consider attending ApollyCon 2027, please note that, as a large-scale convention, we rely on a professional event services company to support the logistics required to deliver the programs and experiences our authors, vendors, and attendees expect.

We work with Freeman Services due to their established partnership with the Gaylord, door-to-booth service, and on-site support throughout the event. While we continue to negotiate the most competitive rates for 2026, we do not anticipate significant changes from 2025 pricing, outlined below. All Freeman fees are paid directly to Freeman; ApollyCon does not receive any portion of these fees or profit from their services.

2026 Freeman Service Rates:

Cart Fee: $250 per cart, round trip (charged by Freeman)

Applies when authors bring materials in their own vehicle and require assistance beyond what they can carry. This fee does not apply to authors requiring ADA accommodations.

Drayage (Shipping & Handling): $2.93 per pound

Applies only if materials are shipped to Freeman’s warehouse for storage and delivery to the booth. Includes storage and delivery to the booth. Authors should consider this cost when determining shipping quantities and methods.

Use of Freeman drayage services is optional. Authors using alternate shipping or storage services are responsible for retrieving their materials. Cart fees may apply once materials enter the exhibit floor

Author Workshops

We will be offering a one-day author-exclusive workshops on Wednesday, August 18, 2027. If confirmed, there would be a nominal registration fee of approximately $150 to participate.
