  • Type of Trip Application Timeline

    Day Trip


    Lasting more than 8 hours, including travel time.

    4 weeks prior to trip

    High Adventure/ High Risk Activities


    Any activity in the Safety Activity Checkpoints requiring GSMISTS approval.

    4 weeks prior to trip

    Indoor Overnight/Multi-Night Trip


    Troop will sleep at a hotel, motel, lodge, Airbnb, or other like facility. Troop will have acess to flush toilets. Troop will be cooking in a kitchen, eating at resaurants, or meals will be provided. Troop will not cook outdoors and campfires will not be built.

    Backyard Camping Trip - NO Campfire


    Located at a volunteer's house or private property. Troop will have acess to flush toilets. Troop will be cooking in a kitchen, eating at resaurants, or meals will be provided. Troop will not cook outdoors and campfires will not be built.

    4 weeks prior to trip

    Backyard Camping Trip - with Campfire


    Located at a volunteer's house or private property. Troop will have acess to flush toilets. Troop will cook outdoors and will build a campfire.

    4 weeks prior to trip

    Indoor Camping Trip


    Troop will sleep in an enclosed structure or cabin at an established camp or campground with safe, running water. Troop will have acess to flush or pit toilets. Troop will cook outdoors and will build a campfire.

    4 weeks prior to trip

    Outdoor Camping Trip


    Troop will sleep in tents at an established camp or campground with safe, running water. Troop will have acess to flush or pit toilets. Troop will cook outdoors and will build a campfire.

    4 weeks prior to trip

    Wilderness/Backcountry/Primitive Camping Trip


    Troop will sleep in tents in a wilderness/backcountry/primitive setting. Troop will not have access to running water, flush or pit toilets. Troop will be cooking outdoors and will build a campfire.

    4 weeks prior to trip

    Participating as a User Group at an Established Camp
    (ex. Camp Henry, YMCA Camp, etc.)


    All activities and meals are provided by the staff of the established camp. They established camp provides the activity instructors with certifications as listed in Safety Activity Checkpoints.

    4 weeks prior to trip
    International Travel 6 weeks prior to trip
    Multi-Troop/Service Unit 6 weeks prior to trip

  • Your application does not fall within the minimum approval timeline and cannot be completed at this time.

  •  GSMISTS reserves the right to deny any activity/trip that does not follow the appropriate Safety Activity Checkpoints and/or the application does not follow the Activity/Trip Application Approval Timeline.

    In some cases, additional information may be needed. Please refer to the GSMISTS Activity/Trip Planning Guide for guidance.

     

    If all applicable information is not received 14 days prior to your start date, the Activity/Trip Application will be denied, and any pending GSMISTS property reservations will be cancelled.

    If an activity/trip will be located at a volunteer's home or private property, a Permission to Meet in the Home Application and Approval Form must be submitted to GSMISTS and approved.

     

    When planning extended trips, troops have the option to purchase Plan 3P Accident plus Sickness Insurance. International trips always require Plan 3PI Accident plus Sickness Insurance for International Trips.

  • Safety Activity Checkpoint Review

    Safety Activity Checkpoints (SAC) provides the standard safety guidelines for GSUSA and GSMISTS approved activities. In addition to providing volunteers with safety guidelines to ensure the physical and emotional safety of girls, information is also included throughout SACs to ensure equity, diversity, and inclusive thinking when planning Girl Scout activities so all girls with a desire to participate are included.

  • If your activity/trip is taking place on private property or in a home a Permission to Meet in the Home Application and Approval Form must be submitted and approved.

  • Car rental agreements must be submitted to GSMISTS prior to the start of trip. Send to girlexperience@gsmists.org

  • You must complete and submit a Bus Service Agreement if you are chartering a bus.

    Volunteers are not allowed to sign charter bus contracts or argreements. Forwarded any contracts to girlexperience@gsmists.org for signature.

    Third party bus/tour transportation companies must have current certificiate of liability insurance in the amount of, $5 million (minimum).

  • A detailed train itinerary must be submitted to girlexperience@gsmists.org prior to start of trip.

  • A detailed flight itinerary must be submitted to girlexperience@gsmists.org prior to the start of trip.

  • Activity/Trip Participant Information

  • Please include the names of ALL people (members and non-members) who will attend your activity/trip.

  • Please select the applicable trainings needed for your activity/trip.

    Then, enter the adult name(s) for those who hold the certificates or trainings that correlate to your activity/trip found in Safety Activity Checkpoints.

    Volunteers that have certificates/trainings MUST be present during activity/trip at all times.

  • The emergency contact is NOT participating in the activity/trip but can be reached during the activity/trip, holds participant information, and will notify parents/guardians of delays, cancellations, emergencies, etc.
