2025 Outdoor Economy Conference Sponsorship Agreement + Payment/Invoicing Form

For non-custom sponsorships, we're using a web form to manage sponsorship agreements and payments for this event, instead of doing everything the old-fashioned way with emails and phone tag. Our intention is for this to be an easier option for everyone, with better documentation and faster turnaround times.

Platinum Sponsors of the 2025 Outdoor Economy Conference shall receive the following benefits:

Half-page Ad in the Conference Program (Print & Virtual) - Note: ads of this size are exclusively available to Platinum sponsors.
High-Visibility / High Traffic 20'W x 8'D Corner Booth in the conference Expo Hall, including the ability to choose this booth location
8 VIP Event Passes (exclusive to sponsors, speakers, and key VIPs)
8 full Conference Passes (valued at $550/ea)
Title Sponsorship of one of the four 2023 Conference Tracks, selected on a first-come, first-served basis (includes exclusive opportunity to place your organization's banner on the backdrop of your track's dedicated breakout session stage)
“On stage” verbal recognition from MC during plenary sessions, as well as visual recognition on a standalone slide shown on B-roll decks shown during breaks in the Expo Hall and Breakout Session rooms

Sponsor Responsibilities

To ensure smooth operations and agreeable outcomes for all parties, the Sponsor shall:

Pay invoice(s) fully, in a timely fashion as determined by deadlines and communications sent by Conference staff
Ensure that Conference staff and organizers are updated about any personnel changes that affect logistical or payment points of contact
Meet all deadlines for providing the following to Conference staff:
- Booth location preference and exhibitor details
- Advertisement graphics and preferred URLs for digital ad links
- High-resolution logo graphics
- Registrations for all people attending using one of the Sponsor's Conference/VIP passes
- Banner, not to exceed 4'H X 4' W, for placement on the breakout room stage of your sponsored Track

Gold Sponsorship Agreement

General Sponsor Agreement Terms & Conditions

Unless otherwise specifically mutually agreed to in writing, the following provisions shall apply to all Outdoor Economy Conference sponsorship contracts:

Mutual Indemnification
The Sponsor shall indemnify and hold Mountain BizWorks and its officers, officials, employees and volunteers harmless from and against claims, damages, losses and expenses (including reasonable attorney’s fees and all other litigation costs) for personal injury (including death) or property damage to the extent arising out of or resulting from the Sponsor’s negligent acts, error, or omissions under this Agreement. Mountain BizWorks shall indemnify and hold the Sponsor and its employees harmless from and against liability for claims, damages, losses and expenses (including reasonable attorney’s fees and all other litigation costs) to the extent arising out of or resulting from Mountain BizWorks’s negligent acts, error, or omissions under this Agreement.

Termination
This Agreement may be terminated by either party for cause upon not less than thirty (30) days written notice to the other party before event. Cause shall constitute a failure on the part of the other party to comply with the provisions of this Agreement.

Entire Agreement; Amendments
This Agreement represents the entire agreement between the Mountain BizWorks and the Sponsor and supersedes all prior negotiations, representations or agreements, either written or oral with regards to this sponsorship. This Agreement may be amended only by a written instrument signed by both Mountain BizWorks and the Sponsor.

Third Parties
Nothing contained in this Agreement shall create a contractual relationship with or a cause of action in favor of a third party against Mountain BizWorks.

Successors and Assigns
Mountain BizWorks and Sponsor respectively bind themselves, their partners, successors, assigns and legal representatives to the other party of this Agreement and to the partners, successors, assignees and legal representatives of such other party with respect to all covenants of this Agreement. Neither Mountain BizWorks nor the Sponsor shall assign this Agreement without the written consent of the other.

Non-waiver of Breach
Failure by either party to notify the other of a default or breach in the performance of this agent, shall not constitute a waiver thereof.

Governing Law
This Agreement shall be governed by the laws of the State of North Carolina.

Severability
Should any provision or provisions contained in this Agreement be declared by a court of competent jurisdiction to be void, unenforceable, invalid, or illegal, the remaining provisions of this Agreement shall not be affected thereby and shall remain in full force and in effect to the extent that they could continue to do so.

Agent Authorization
The person signing on behalf of Sponsor is duly authorized by such organization to do so.
