  • Island Booth Design Approval Form

  • All exhibitors with an island booth (400 sq. ft. and larger) are required to submit a scaled floor plan and elevation diagram to AAOS for approval by January 21, 2027. These floor plans must be drawn to scale, include all exhibit components and their dimensions and all hanging signs and rigging components. The scale utilized for each floor plan should accompany that floor plan.

  • The Venetian Convention and Expo Center follows the Clark County Fire Department (CCFD) requirements regarding acceptable booth configurations from a safety standpoint.

    A.  All exhibit construction and decoration materials must be flame retardant.

    B.  All island booths with enclosed areas (closets, offices, etc.) need to be equipped with an UL approved battery-operated smoke detector.

    C.  Ceilings are not allowed on the topmost level.

    D.  All multi-level exhibits must have one 2A10BC-type fire extinguisher on each level of the display, easily available and unobstructed from view.

    E.  Fire extinguishers and fire hose cabinets which may be located on a column must always remain visible and accessible.

    F. NEW Any covered area of 1,000 sq. ft or over must include a smoke detector, fire extinguisher, and a sprinkler system for each enclosed area.

    G. Booths that have multiple levels or rooms with enclosures are required to post visible notification on the stairways(s) or outside the room. This notice must state the maximum occupancy permissible or total weight load allowable on the second story at one time. If the second level occupancy level allows for more than 10 people at one time or if the total area is larger than 300 square feet, two (2) stairwells are required.

    By January 8, 2027, exhibitors with a single-level covered or multi-level exhibit are required to submit professional structural engineer stamped floor plans to the CCFD:

  • Hanging signs/banners may not exceed the perimeter of assigned booth space. The suspended height limit when measured from the floor up to the top of the sign is 25 feet.

  • Raised floors must be ADA compliant, include ramps to access the booth space, and not extend into the aisle.  Raised areas that are not ramped must be clearly marked or lit around the perimeter.

    A standard wheelchair ramp should have a grade no steeper than 1:12. This means that for every inch of rise (change in height), there should be 12 inches of run (change in length). Ramps should have a minimum width of 36 inches. Further information regarding ADA compliance is available at https://www.ada.gov/2010_regs.htm.

  • Will Your Booth Structure Have a Door that Faces an Aisle? *
  • Will Your Door Be Set Back Far Enough to Allow Clearance to Open Without Entering the Aisle?*
  • Will Your Booth Have Hanging Lights? *
  • Lights hung from an overhead truss system or facility overhead catwalks and/or beams must be placed within the perimeter of the exhibitor’s booth space. Will all your lights be placed with the perimeter of your booth?*

  • Exhibitor lighting must be limited to the confines of the booth space. Lighting that projects onto another exhibitor’s space or AAOS aisles or otherwise detracts from the professional atmosphere of the event will not be allowed. Lighting that spins, rotates, pulsates, or has other specialized effects must be submitted for approval to exhibits@aaos.org by January 21, 2027. Approval will be granted on a case-by-case basis and will be inspected onsite at The Venetian Convention and Expo Center.


    Island booth exhibitors who wish to have facility lights turned off that are within the confines of their booth space must submit requests to The Venetian Convention and Expo Center by February 24, 2027. Additional fees will apply. No requests will be granted to turn off lights that project over aisle space or other exhibitors’ booths. Island exhibits that include lights hung from an overhead
    truss system or facility overhead catwalks and/ or beams must be placed within the perimeter of the exhibitor’s booth space. Lights for linear booths may not rise above 8 feet or be placed outside the booth space.
