BVBC Room Rentals and Events

BVBC facilities are available for rent to individuals and/or groups provided the purpose of the rental and activities do not conflict with BVBC Mission Statement:

General Terms and Conditions:

Booking requests need to be made in advance, they will be reviewed by the event coordinator, once approved you will be notified, and 50% of rental plus $200.00 damage deposit will be due. BVBC reserves the right to cancel the rental/booking if it is breached by the renter or its guests. In the event of a cancellation by a renter a full refund of the deposit will only be given if the church office receives written notice 7 days in advance of the event. If cancellation is later than the 7 days, the church reserves the right to withhold all of any portion of the deposit paid by the renter.

The renter agrees to accept all liability relating to the rental and activities and actions of all attending, and indemnify and save harmless Bow Valley Baptist Church from any action or claim being brought against it as a result of the use of Bow Valley Baptist Church facilities by the Renter

A damage deposit of $200 must be paid to confirm rental. All fees must be paid in full prior to the rental date. Facilitator and Custodian are to paid by the Renter after the event when hours are tallied. Event coordinator will inspect the used area and the damage deposit will be refunded minus the cost of repair. or If the deposit covers custodian and facilitator this can be applied for that as well.

Any damage done to the property by guests and/or participants will be the responsibility of of the Renter who shall be held liable for any and all costs associated with the repair or replacement of such damage.

The Renter will ensure that they, their guests, and associates do not engage in behavior or activity that is obscene or indecent during their time at BVBC. It is suggested to make this agreement known to its guests as a representative of BVBC will enforce this agreement.

Renters will be required to confirm that they have a LIABILITY INSURANCE POLICY in place that will cover damage caused by their personal negligence or actions, and will provide a certificate of insurance to BVBC prior to the event date.

All music that is being played in the building must be appropriate and not contain obscenities so that if people are in the building they know that God is honored in this space.

All children must be supervised at all times, they do not have access to our pre-school area nor the youth room while you are renting another space.

The Piano and Drums are NOT TO BE MOVED - any plants or decor being moved needs to be addressed and agreed upon PRIOR to use.

Advertising or marketing for events that are not a BVBC ministry, will not imply that BVBC is sponsoring the event.

Audio/Visual is done by a BVBC member - cost is $35 hour with a minimum of 3 hours ($105.00) Do you require this service? *please note, you can NOT use the equipment on your own, it MUST be done by our team Please note: the office will arrange this, you are not permitted to set this up on your own.

Custodian fees are $25.00 per hour with a minimum of 1 hour. You will have a clean up contract that will be given to you once your contract is approved. Additional Clean Up will be determined with the Event coordinator.

A BVBC facilitator fee is $20.00 hour, it will be up to the event coordinator and renter to determine if your small event needs a facilitator.

Please note for a large event a facilitator is mandatory for a flat rate of $160.00 for up to 8 hours.

EVERY SPACE NEEDS TO BE PUT BACK TO THE WAY IT WAS WHEN YOU RENTED THE SPACE. CLEANED, GARBAGE TAKEN OUT, EVERYTHING PUT BACK TO WHERE IT WAS.
