Venue Hire Agreement

Thank you for hiring our community space(s) for your event. As we are located in a residential area and to support the smooth-running of your event, all Hirer's must agree to the Terms of this Venue Hire Agreement. This is in addition to our standard Terms & Conditions.

Venue bookings will not be accepted without a completed Venue Hire Agreement being submitted at the time of placing a booking. Bookings are secured by payment to The Pirate Castle, at which point the Hirer accepts all Terms & Conditions as legally binding.

Access to the venue is only available from the start time stated on the booking. The venue must be set down / tidied and fully vacated by the finish time stated on the booking.

Primary Purpose of Hire (please select from the options below)

All young adult private parties / events for ages 16 -20 years must be supervised by at least 2 responsible adults (ages 25+) who will supervise the door (entry and exit) and assure appropriate conduct / security at all times during the hire period. For celebration events for under 14s, at least one of the responsible adults must be a parent / legal guardian. Children must not be left unsupervised at any time.

All ticketed events must have professional SIA licensed security on the door for the duration of the event. The Hirer is responsible for arranging SIA security and associated costs. SIA licence status will be verified by The Pirate Castle's staff upon arrival. Non-compliance will result in the event being cancelled immediately with no refund due.

For all ticketed events, the Hirer must ensure that appropriate Public Liability Insurance is in place. A copy of the Hirer's Public Liability Insurance certificate must be provided to The Pirate Castle at least 3 working days prior to the event. Non-compliance will result in the event being cancelled immediately with no refund due.

Will there be alcohol at the event? (STRICTLY NO ALCOHOL TO BE SOLD ON THE PREMISES; Bring Your Own or supplied to guests free of charge ONLY)

No alcoholic drinks, bottles or glasses are permitted to be taken outside the building at any time.

A security / damage deposit of £100 will be added to the venue hire cost for larger events / events involving alcohol. This deposit will be refunded via BACS after the event, subject to the Terms of this Venue Hire Agreement being met in full. A fixed fee of £50 will be deducted if the hired space and facilities are not left in a suitably clean / tidy state after the booking. Additional deductions will be made for any damage to The Pirate Castle's venue, equipment and / or facilities or any other costs associated with breaking these Terms and Conditions. The Pirate Castle's decision will be final.

All Hirers and guests will treat our staff, venue, facilities and local neighbourhood with respect at all times. All Hirers and guests must agree not to cause any excessive noise, nuisance or disturbance to any of our neighbours.

Music must be kept at a reasonable level at all times, especially if windows / skylights are open. For evening events, music / all entertainment must stop at 11pm sharp (in line with our licensing terms).

Smoking / vaping is NOT PERMITTED inside any areas of the building, including balconies. Smokers must vacate the venue via the front door and smoke / vape away from the building entrance (e.g., on the canal bridge just down from the building / further along Oval Road) and ensure that cigarette butts are not disposed of in the street or thrown into the canal.

The use of illegal drugs / substances is STRICTLY FORBIDDEN within all internal and external areas of The Pirate Castle, including doorways and neighbouring areas. This includes the use of Nitrous Oxide (laughing gas). Illegal drugs and / or Nitrous Oxide in any form MUST NOT be brought into the venue. Any contravention of these terms will result in the immediate confiscation of the drug / substance, cancellation of the event with no refund and the appropriate authorities will be informed.

The main front door and Fire Exit doors must not be left open during the hire period

The Hirer agrees to complete the following activities by the finish time stated on the booking: remove all dressings / decorations, catering and / or entertainment; put away / stack all tables and chairs as found; wash up and wipe down all surfaces; clear and sweep the floor; mop up all spills; put all rubbish into the black bin bags provided.

The Hirer agrees to remove all helium gas cannisters from the venue at the end of the hire period for disposal by the Hirer. Empty helium cannisters must either be returned to the retailer or taken to a local Household Recycling Centre as they are a fire risk and MUST NOT be left within the venue / surrounding area

The Hirer shall ensure that all guests / attendees adhere to Terms of this Venue Hire Agreement at all times. The Pirate Castle reserves the right to immediately cancel events in the event of non-compliance, with no refund due.

The Pirate Castle's staff and / or Duty Managers are on-site to comply with Health & Safety / insurance requirements. They are not responsible for assisting with venue set up / down, cleaning, supervising guests / children or providing security. They will provide assistance in the event of any emergency and / or problems with The Pirate Castle's equipment / fcailities. They will also raise attention to the Hirer / Responsible Adults in the event of any non-compliance with our Terms & Conditions.

Any incidence of misconduct and / or antisocial / threatening behaviour or abuse towards The Pirate Castle's staff, Duty Manager(s), venue and / or facilities will not be tolerated and will result in the immediate termination of the booking / event and, if necessary, the involvement of the police.

The Pirate Castle reserves the right to cease any activities and ask for the group to vacate the premises in the case of constant infringement of the above Terms. No refunds will be offered if events are terminated early due to poor behaviour and / or failure to comply with these Terms & Conditions.
