Before we begin, please review our cancellation policy:

Cancellation Policy - A 25% deposit will hold your space on any PolarExplorers expedition. This payment is partially refundable until December 1 (for all North Pole expeditions) or 120 days prior to the expedition start date (for most expeditions) less the following administrative fees:
- NORTH POLE EXPEDITIONS - €1000 per person
- SOUTH POLE EXPEDITIONS - $1,200 per person
- SOUTH POLE/VISON COMBO EXPEDITIONS - $1,500 per person
- GREENLAND EXPEDITIONS - $500 per person
- SOUTH GEORGIA EXPEDITIONS - non-refundable within 120 days
- VATNAJOKULL EXPEDITIONS - $500 per person
- OTHER EXPEDITIONS - $500-$1,500 per person
- POLAR SHAKEDOWN TRAINING - $250 per person
We reserve the right to charge the balance against a credit card or resell the space if the balance is not received when due and/or cancel your booking and withhold the return of all payments.

1) Travel insurance is an important part of any adventure travel. For your own protection PolarExplorers requires you to purchase a comprehensive policy that includes trip cancellation insurance, or sign a very clear Assumption Of Responsibility And Liability Waiver. Please consider the worst case imaginable before you waive travel insurance.

2) We urge you to insure the full price of your expedition or training and any ancillary expenses including travel. If you do not insure for the full price of your expedition or training you assume all risks, financial or otherwise, for any amount that is not covered by insurance.

3) Medical evacuation insurance is also required and minimum amounts of coverage exist for each expedition.

4) We cannot stress enough the importance of insurance. If you cancel your expedition or training, regardless of reason, no refunds or credits are possible within 120 days of an expedition. If the expedition is cancelled for reasons beyond our control (including from acts of God, acts of war, political instability, weather, disruption of providers, pandemics or other public health crises, etc.) the only possibility for compensation will come from your travel insurance provider.

5) Purchasing trip insurance (both trip cancellation and medical evacuation) is your responsibility. We urge you to purchase insurance at the same time or within days of your initial deposit (this can be especially important if you have any pre-existing medical conditions). We can often assist by helping you get insurance quotes but our assistance should in no way prevent you from doing your own research or your timely purchasing of a policy.

If you refuse to purchase trip cancellation insurance you are assuming ALL risks, financial and otherwise, and, by signature, you acknowledge that we have urged you to purchase trip cancellation insurance but you have refused despite understanding our cancellation policy which is stated in this document.

Cancellations and interruptions can happen for many reasons including, but not limited to, delays or cancellations by the logistics providers, global health restrictions and transportation issues, political or civil unrest, weather and natural disasters, visa denials or delays, border closings, and many other reasons. By refusing to purchase trip cancellation insurance you are assuming all liability and risk for your commitments, financial and otherwise. If an expedition gets cancelled for reasons beyond our control we will not be able to offer a refund or credit and the only possibility for refund, whether partial or full, would be from your insurance provider.

They can include automobiles, snowmobiles, helicopter, dogsled or any number of expensive modes of transportation, medical expertise, skilled resucers and municipal or national support. If you refuse to purchase medical evacuation insurance you are assuming all risks, financial and otherwise that could arise from a medical evacuation, and, by signature, you acknowledge that we have urged you to purchase medical evacuation insurance but you have refused.
