Clients are responsible for returning the grounds and facility to the condition in which they were found. Any damage found to the property will be billed at the expense of the Client. If additional costs (above what is detailed below) are incurred by the City for repair or correction of any of the below items, the Client will be billed for the additional amount due.
The Client acknowledges and agrees to the following:
- Personal Items: All personal items must be delivered and picked up within the confines of the rental period, unless prior arrangements have been made. The City of Brentwood is not responsible for personal items. Client will be billed $200 for any items left inside the Mansion past the allotted rental period.
- Ravenswood Mansion Rental Items: All Ravenswood rental items must go back in the Carriage House before the conclusion of Client’s event, unless prior approval to leave items out has been given in writing by the Event Venue Director. Clients are responsible for all set up and tear down within their rental period. Client who improperly sets up or tears down the City’s rental items will be billed $200 to account for additional required labor in correcting set up or tear down. Any damage found to the City’s rentals will be billed to the Client.
- Vendor Rentals & Tents: All rental items and tents must be delivered and picked up within the confines of the rental period unless prior arrangements have been made. Tents may only be placed in designated areas. Verify proper location before tents are erected. Client will be billed $500 when rentals/tent remain on property past their designated time.
- Moving Furniture: Movement of furniture must be kept to a minimum. If two or more people are required to lift a piece of furniture, it may not be moved by Client or Client representatives. Any furniture moved for an event must be returned to its original placement before the conclusion of the event. Inside furniture may not be brought outside under any circumstance. Any damage to the furniture or floors from Client event will be billed to the Client.
- Parking/Grass: Parking is limited to the adjacent parking area. The driveway should only be used to drop off guests. Driving or parking on the grass is strictly prohibited. Client is responsible for communicating this policy with all vendors to prevent damage to the grass and/or irrigation. Any damage caused by vehicles will be billed to Client in the amount of the City’s cost to repair.
- Dancing/Bands: To prevent damage to the original wood floors, no dancing or bands are allowed inside the Mansion.
- Music: To comply with the City of Brentwood noise ordinance, all music must cease by 10:00pm.
- Decorations: No candles or flames of any kind are allowed inside the Mansion or on the porches other than for approved catering use. Decorations cannot be attached to the property with any adhesive (tape, command hooks, etc) or anything that will create a hole (tacks, nails, pins, etc). Any damage to the Mansion due to improper decorating will be billed to the Client.
- Approved Send-off Methods: Bubbles, glow sticks, ribbon wands, and/or pom poms. Real flower petals may be used only if the client cleans up all petals prior to departure. Any other items not listed here must receive prior approval by the Event Venue Director.
- Prohibited Send-off Methods: Sparklers, confetti, rice, bird seed, fake flower petals, floating lanterns, fireworks, and balloons are strictly prohibited.
- Trash left in Mansion or Yard: All trash is to be tied and placed in the provided trash cans located at the back of the Mansion. Client will be billed $100 in the event that they fail to properly dispose of their trash both inside or outside.
- Exit: Clients must be out of the Mansion no later than the end of their contracted rental time. There will be no grace period for remaining inside. Clients will be billed $100 for every five minutes that they remain inside the Mansion past their contract. Cameras may be used to settle any disputes of Clients exit time.
