    As a condition of volunteering, I hereby authorize the San Angelo Girls Fast-Pitch Association (SAGFA) to conduct a background check on me. This may include, without limitation, a review of sex offender registries, child abuse records, and criminal history records. I understand that any volunteer position I may be appointed to is contingent upon the league receiving background check results that, in the sole discretion of the SAGFA Board of Directors, do not disqualify me from serving in the role requested. I further release and agree to hold harmless the San Angelo Girls Fast-Pitch Association, its Board of Directors, officers, and volunteers from any liability arising from the background check or any actions taken in connection with it. If appointed, I understand that I may be suspended by the President and/or removed by the Board of Directors at any time prior to the end of my term for violations of SAGFA policies, procedures, or principles.

    By submitting this application and/or signing below, I acknowledge that I have read, understand, and agree to abide by the following rules, policies, and responsibilities established by the San Angelo Girls Fast-Pitch Association (SAGFA): Coaching Approval Requirements I understand that all head coaches and any assistant coaches selected prior to the draft must submit a signed coaching agreement and must be approved by the SAGFA Board of Directors before participating in the draft. Outstanding Financial Obligations I understand that any coach with outstanding financial obligations to SAGFA will not be permitted to coach until written proof of full restitution is submitted to the SAGFA Executive Board. Background Checks & Certifications I agree that all coaches, assistant coaches, female managers/chaperones, and any individual with direct contact with participants (or otherwise designated by the Board) must: Successfully pass a background check, Be ACE Certified, including completion of SafeSport training. The only exception is for a female dugout mom required for all 10U and younger divisions. All volunteer applications must be submitted at least two weeks prior to volunteering with SAGFA. Conduct Expectations & Disciplinary Action I agree to conduct myself at all times in a manner that reflects positively on SAGFA. I understand that any coach or assistant ejected from a game may be required to appear before the Executive Committee and may face disciplinary action. I will receive at least 24-hours notice of such a meeting. I acknowledge that coaches may be removed or asked to resign by a two-thirds vote of the Executive Committee for justifiable cause. Submission of Coaching Staff List I agree to submit a complete list of assistant coaches and managers prior to the first scheduled game. Any changes to staff positions during the season must be submitted in writing and approved by the Board. One Team Rule I understand that no individual may serve as a coach or assistant coach for more than one team per season. Board Member Coaching Eligibility I acknowledge that Board Members may serve as managers, coaches, or chaperones; however, the SAGFA President may not hold any coaching position. Age Requirements for Coaching Staff I understand that individuals aged 16 or older may coach bases if they are ACE Certified. Female Manager/Chaperone Requirement I acknowledge that each team must have at least one female manager and/or female chaperone who is ACE Certified and at least 18 years old, and that an ACE Certified female must be present at all team functions. This rule will be strictly enforced. Transportation of Players I understand that no male coach may transport a player unless an adult female is present or written parental consent has been obtained. Dugout & Field Access I agree that all team members—including the dugout mom—must remain in the dugout area during games. Only players, coaches, managers, chaperones, bat persons, and umpires are permitted on the field or in the dugout during games. Scorekeeping & Game Responsibilities I agree that each team must provide a scorekeeper for every game. The home team scorekeeper is responsible for: Keeping the official scorebook, Obtaining signatures from both coaches, Retaining the book until the end of the season or until any dispute is resolved. The home team is responsible for field marking when necessary. The visiting team is responsible for operating the scoreboard control box and returning the controllers to the concession stand after each game. Mandatory Reporting Within SAGFA I understand that all volunteers and members within SAGFA are required to submit written notification to the Board of Directors—via the online incident report—for any claims or concerns involving harassment, abuse, inappropriate actions, injuries, or any conduct that could cause physical, emotional, or mental harm. Reports must be submitted as soon as reasonably possible, and no later than 24 hours after the incident. Reports from SAGFA volunteers/members should not be anonymous, to protect the integrity of the claim. My identity will remain confidential within the SAGFA Executive Committee unless disclosure is legally required. If legally required (e.g., by law enforcement or court order), SAGFA will convey my request for anonymity. I must also notify my Division Coordinator. If I receive such claims from others, I will direct them to complete the online incident report as well. Electronic Signature Authorization By electronically signing and submitting this application: I certify that I have read and understand the SAGFA Coaching Agreement & Acknowledgement in full. I understand that SAGFA enforces a ZERO TOLERANCE POLICY, and violations may result in immediate disciplinary action. I authorize SAGFA to conduct background checks and verify certifications. I understand my electronic signature carries the same legal effect as a handwritten signature.

    As a volunteer coach with the San Angelo Girls Fast-Pitch Association (SAGFA), I acknowledge that I am representing the organization both on and off the field. By submitting this application, I agree to uphold the highest standards of conduct, professionalism, safety, and responsibility. These expectations apply during all SAGFA practices, games, events, and team activities — both on and off SAGFA property. Professional Conduct I will conduct myself in a manner that reflects positively on SAGFA at all times. I will show respect toward players, parents, umpires, coaches, board members, and volunteers. I will model sportsmanship, fairness, and integrity. I will refrain from profanity, abusive language, derogatory comments, negative chants, or harassment. I understand that bad-mouthing, derogatory cheers, or remarks are strictly prohibited. After ONE warning, the violator may be removed from the game or field area. Any game ejection may result in disciplinary action, including suspension or removal. Player Safety & Dugout Expectations I will prioritize the physical, mental, and emotional safety of all players. All players, when not on the field, must remain inside the dugout during games. Only the team manager or coach may determine exceptions to players leaving the dugout. I am responsible for keeping spectators and unauthorized individuals away from the dugout area. Players must refrain from hitting or banging on fences, gates, dugout walls, or dugout roofing. I will ensure the dugout remains safe, controlled, and free of hazards. Facility, Safety, & Environmental Rules (Zero Tolerance for smoking, vaping, tobacco, alcohol — updated) SAGFA has a ZERO TOLERANCE POLICY for smoking, vaping, tobacco use, and alcohol consumption by any coach, assistant, manager, chaperone, volunteer, or board member — at any time — during any SAGFA event, practice, game, team activity, meeting, or responsibility period. No smoking, vaping, or tobacco use is permitted on SAGFA premises — playing fields, dugouts, stands, restrooms, walkways, or parking lots — at any time. No alcohol may be possessed or consumed at any SAGFA event or location at any time. Coaches, managers, and chaperones may never use tobacco or alcohol during team functions, team travel, team parties, or at any point while responsible for players (from first player check-in to release of the last player). Firearms are prohibited on or around SAGFA property at all times. Glass containers are not permitted. Pets are not allowed anywhere on SAGFA grounds, even on a leash. Violations of these rules will result in immediate disciplinary action, up to and including removal from coaching duties. Compliance With SAGFA Policies I will maintain ACE Certification, including SafeSport, and complete all required background checks. I will ensure an ACE Certified female manager or chaperone (18+) is present at all team activities. I will submit assistant coach and manager lists before the first game and report all changes for Board approval. I may coach only one team per season. Board Members may coach or manage, except the SAGFA President, who cannot hold a coaching position. Individuals 16+ may coach bases only if ACE Certified. Mandatory Reporting I will submit an online incident report within 24 hours for any injury, harassment, inappropriate action, misconduct, or any behavior that could cause harm. I will notify my Division Coordinator of any report. Reports from SAGFA volunteers/members should not be anonymous unless legally required. If legally required, SAGFA will communicate my request for anonymity when possible. If I am notified of an incident by someone else, I will direct them to complete the online incident report. Game & Team Responsibilities I will designate a scorekeeper for each game. The home team keeps the official scorebook, obtains signatures, and marks the field if needed. The visiting team operates and returns the scoreboard control box. Only authorized individuals may enter the dugout or the field of play. League Authority I understand the League President may bring any individual — including Board Members — before the Board of Directors for conduct deemed detrimental to the league. I acknowledge that disciplinary action may include suspension, removal, or other corrective measures. Electronic Signature Authorization By electronically signing and submitting this application: I certify that I have read and fully understand the SAGFA Coaching Conduct & Agreement. I acknowledge and agree to SAGFA’s ZERO TOLERANCE POLICY regarding smoking, vaping, tobacco use, alcohol, firearms, and misconduct.     Every SAGFA volunteer is expected to uphold the highest standards of conduct, safety, and professionalism. If you observe behavior inconsistent with this agreement, you must immediately notify a SAGFA Board Member or submit an online Incident Report at www.sagfa.org . VOLUNTEER COMMITMENTS 1. Responsibility & Leadership As a volunteer, you share responsibility for ensuring that the parents and players associated with your team conduct themselves appropriately. Any issue you cannot control or resolve must be brought to the immediate attention of the Duty Officer or a SAGFA Board Member. 2. Being a Positive Example SAGFA strives to provide a clean, safe, healthy, and fun environment for all players. Volunteers must refrain from using tobacco, vaping products, or alcoholic beverages around players at all times. Volunteers must model behavior that reflects positively on the organization. 3. No Offensive or Inappropriate Language Players will not be subjected to profanity, abusive speech, derogatory comments, or sarcastic remarks directed at them, other players, coaches, umpires, parents, or spectators. Any form of verbal hostility is strictly prohibited. 4. Good Sportsmanship Always We aim to build teamwork, character, and respect for the game. Volunteers must encourage players to show respect toward opponents at all times. Team cheers must remain positive and must never target or demean an opposing player, team, or coach. Negative or taunting behavior undermines the environment we strive to create. 5. Teaching Skills & Development Coaches are expected to teach fundamental skills and promote a strong understanding of the game. Volunteers should seek opportunities to learn and grow—through reading, observing, training, or asking questions. Board Members are available to support coaching development. 6. Player Supervision Players must never be left unattended before, during, or after practices or games. A volunteer must remain with any player until a parent or guardian arrives. Volunteers should avoid situations where a single adult is alone with one child whenever possible. 7. Safety & Physical Contact Volunteers are responsible for the physical and emotional safety of all players. Physical contact that may be perceived as aggressive—such as pushing, grabbing, hitting, or wrestling—is strictly prohibited. 8. Injuries An injured player must never be forced to practice or compete. All injuries must be reported immediately to a Board Member or Duty Officer. 9. Volunteer Staff Requirements All coaches and assistant coaches are selected and approved by the SAGFA Board of Directors and serve at its discretion. Coaches may recommend assistant coaches or team parents, but all must be Board-approved before participating. 10. Respect Toward Umpires Umpires must be treated respectfully at all times. Their authority on the field is final. Rule disputes may be addressed calmly and respectfully, and only when appropriate. Judgment calls may not be argued. 11. Respect Toward SAGFA Directors Board Members are volunteers who work to support the league. Volunteers must show patience, courtesy, and respect when seeking assistance or clarification. Professionalism is expected at all times. 12. Equipment Care SAGFA-issued equipment—including catcher’s gear, helmets, bats, and practice balls—must be properly cared for. Volunteers are responsible for returning all equipment in good condition at the end of the season at the designated time and location. 13. Litter & Field Cleanliness Teams are responsible for cleaning their dugout, sidelines, and bleacher areas after each practice and game. Volunteers must ensure the field and surrounding areas are left cleaner than they were found. 14. Purpose & Player Experience Above all, volunteers must remember that SAGFA exists for the enjoyment, development, and well-being of the players. Winning is never more important than a child’s experience. No volunteer shall sacrifice the dignity, confidence, or emotional well-being of any player for competitive purposes. Volunteers must foster a positive, supportive environment at all times. DISCIPLINARY ACTIONS If a volunteer violates the SAGFA Code of Conduct, the following actions may be taken. SAGFA reserves the right to bypass warning stages depending on the severity of the violation. 1. First Warning – Verbal Reprimand A verbal warning may be issued by the SAGFA Board of Directors. Depending on the nature of the offense, volunteers may be dismissed immediately without a first warning. 2. Second Warning – Written Reprimand A written warning may be issued by the SAGFA Board of Directors. Depending on the nature of the offense, volunteers may be dismissed immediately without a second warning. 3. Third Warning – Immediate Dismissal A third violation will result in immediate dismissal and loss of all future volunteering opportunities within SAGFA. ELECTRONIC SIGNATURE AUTHORIZATION By electronically signing and submitting this application: I acknowledge that I have read and fully understand the SAGFA Volunteer Conduct & Agreement. I agree to comply with all rules, expectations, and requirements listed above. I understand that failure to follow these policies may result in verbal or written warnings, suspension, or dismissal from volunteer duties.
