This agreement is made between Amara's Sweetchaos (the "Provider") and the Client listed below.

Amara's Sweetchaos will provide the service selected in the Client's booking: Mobile Mini Cake Bar, Mobile Mini Pancake Bar, both services, or Mini Cake Decorating Party. For a Mini Cake Decorating Party, each participating child receives one mini cake in its own pan, buttercream, toppings, drizzle, individual decorating supplies, a decorating placemat, an apron to wear during the activity, and a lid for the finished cake. The Client must provide responsible adult supervision throughout the activity, disclose all known food allergies before the event, and provide the final participant count no later than 7 days before the event. Reusable aprons and other reusable Amara's Sweetchaos property must be returned before departure; the Client is responsible for missing or damaged items. Disposable aprons may be kept when selected. Package inclusions, additional-child charges, service time, and any upgrades are governed by the accepted proposal and final invoice.

• All Client cancellations result in forfeiture of the deposit.
• Clients may request one date transfer at least 14 days before the event, subject to availability.
• The rescheduled event must occur within the same calendar year unless otherwise approved in writing.

Client acknowledges and agrees that the services will begin and end at the scheduled time. Once the service period ends, Amara's Sweetchaos will pack up and exit unless additional time been arranged and paid for in advance. Delays caused by venue access, the Client, or guests do not extend the scheduled service time.

Desserts are prepared in a kitchen that handles the following allergens: Dairy • Eggs • Wheat/Gluten • Soy • Peanuts • Tree Nuts Amara's Sweetchaos is not responsible for allergic reactions. Client agrees to notify all guests of potential allergens. No allergen-free guarantees are offered.

Client is responsible for all damages caused to cake bar equipment, acrylic displays, serving equipment, display décor, electrical components, signage, or branded materials. Amara's Sweetchaos is not responsible for damages resulting from misuse, children, venue staff, guests, or environmental conditions.

• A 50% NON-REFUNDABLE deposit is required to secure the event date and rental.
• The remaining balance is due 7 days before the event – NO EXCEPTIONS.
• Failure to pay the remaining balance by the due date will result in automatic cancellation of the rental with no refund of the deposit.

Client agrees to confirm all venue requirements before the event, including approval for outside food vendors, required permits, insurance requirements, adequate table space, room layout, setup restrictions, fire safety restrictions, accessibility for transporting equipment, and early access for setup (minimum 1-2 hours). Amara's Sweetchaos is not responsible for venue restrictions that limit or prevent setup. If setup is delayed due to venue access issues, service time will not be extended and no refunds will be issued.

DEPOSIT TRANSFERS

Deposits are non-refundable but may be transferred one time to a new date, subject to availability and written approval by Amara's Sweetchaos.

• If the final payment is not received by the agreed-upon due date: A $25 per day late fee will be added to the outstanding balance.
• If payment is more than 48 hours late, Amara's Sweetchaos may cancel the contract without refunding the deposit.
• The service date cannot be guaranteed until the remaining balance and all applicable late fees have been paid in full.

Client agrees to provide access to the venue at the agreed time, parking or loading area within a reasonable distance, a safe, level, indoor or shaded setup space, and protection from excessive heat, direct sunlight, rain, wind, or unstable surfaces. If access is delayed, setup time may be shortened.

Amara's Sweetchaos provides complimentary delivery and setup within the Greater Houston Area. Events outside of the Greater Houston Area will incur a travel fee based on distance:

• $1.50 per mile (round trip) for locations outside the complimentary service area.
• Additional fees may apply for:
  • Parking fees
  • Tolls
  • Resort or venue access fees
  • Difficult loading locations
  • Extended walking distance from the unloading area.

All travel fees must be paid prior to the event and will be included on the final invoice.

Amara's Sweetchaos may photograph or record the Cake Bar for advertising, marketing, and social media purposes unless the Client submits a written request to opt out at least 48 hours prior to the event.

Amara's Sweetchaos shall not be liable for cancellations, delays, or interruptions caused by circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, illness, emergencies, power outages, government restrictions, or venue-related issues.
