    2023 SFAS Gift Shop Inventory Form

  • Congratulations on your acceptance into the 2023 Sooke Fine Arts Show!

    This form should provide all the information you need to help you submit items to the Gift Shop at the 2023 Sooke Fine Arts Show.

    PLEASE NOTE:

    • All exhibiting artists who wish to submit items to the Gift Shop are expected to read the 2023 SFAS Gift Shop Guidelines in order to properly prepare their items.
    • This is not the same process as previous years! This is a new process to help our volunteers process the large amount of inventory for the show. Please read the guidelines!
    • All Gift Shop inventory forms must be printed (2 copies) and brought to Art Drop-Off.

  • Gift Shop Agreements

  • GIFT SHOP TERMS

    • Prices for submitted artwork have a maximum of $250 per item.
    • A commission of 30% is charged on all Gift Shop sales.
    • PST and GST will be added to items at purchase.
    • Submissions should be of the same quality and finishing standard as gallery pieces.
    • Submissions should have been created after 2018.
    • All items sold in the Gift Shop are final sale.
    • Frames, stands or any other apparatus required to display any artwork (including jewellery) must be included in the price and will be provided to the purchaser at time of purchase. Such apparatus will not be kept by the Gift Shop or returned to the artist after artwork has sold.

  • Every exhibiting artist is automatically assigned a 3-digit Gift Shop number each year, whether they plan to submit gift shop items or not.

  • Select the categories of all the items you are submitting in order to expose the detail guidelines.

    • Art Card Guidelines... 
    • Art Card Guidelines - Up to 25 cards

      • All cards from an artist must be the same price.
      • All cards must be a minimum of $5.00 per card.
      • If cards sell out, the Gift Shop may request more, depending on your stated preference below.
      • Include an envelope and package cards in a clear, protective sleeve.
      • Sets of cards will not be accepted.
      • Labels should be placed in the top, right-hand corner of the sleave.
    • Book Guidelines... 
    • Book Guidelines - up to 5 items in total

      • If your books are individually wrapped and sealed, artists are asked to provide a sample (or one copy unwrapped for viewing).
      • Books with an ISBN number are PST exempt.
      • Journals and calendars are not PST exempt.
      • All books of the same price can have the same inventory # - i.e they can be entered under the details for one book item.
    • Fibre Art Guidelines... 
    • Fibre Art Guidelines - up to 10 items in total

      • Includes: Dolls, quilts, pillows, bags/purses, bookmarks, etc.
      • Attach fibre content and care instructions.
      • Attach information regarding special features (such as use of your own handprinted or embroidered fabric, etc.)
      • Items of the same type and price can have the same inventory #
    • Wearable Art Guidelines... 
    • Wearable Art Guidelines - up to 10 items in total

      • Includes: Scarves, shawls, hats, sweaters, jackets, etc.
      • Attach fibre content and care instructions.
      • Attach information regarding special features (such as use of your own handprinted or embroidered fabric, etc.)
      • Items of the same type and price can have the same inventory #
    • 3D Art Guidelines... 
    • 3D Art Guidelines - up to 10 items in total, restricted by size and weight

      • Includes: Stoneware, ceramics, porcelain, wood, metal, glass, etc.
      • Items must measure less than 24” (61cm) in any direction and weigh less than 4.5 kgs (10 lbs).
      • Smaller items are strongly recommended.
      • For functional items, such as tableware, indicate item suitability (e.g., food safe, microwave safe, oven safe, etc.)
      • Unlabelled items will be sold as “decorative only”.
      • Items of the same type and price can have the same inventory #
    • Fine Jewellery Guidelines... 
    • Fine Jewellery Guidelines - up to 10 items in total

      • Includes: Artwork made with precious metals and/or gemstones.
      • Each item must have a string or button tag attached with price on one side and yellow sticker showing inventory number and price on the other side.
      • Each item must be submitted with an accompanying box/container with your name and item inventory number on the box.
    • Other Jewellery Guidelines... 
    • "Other Jewellery" Guidelines - up to 10 items in total

      • Includes: Artwork using materials other than precious metals and/or gemstones; materials such as leather, wood, twine, cord, fabric, glass, papier mache, etc.
    • Hangable Art Guidelines... 
    • Hangable Art Guidelines - up to 2 items in total

      • Framed paintings and prints, photography, drawings, lithography, gallery wrapped canvases (including giclees) and cradled wood panels.
      • Includes fibre art, ceramics, glass, etc. that are ready to hang.
      • Items must be no larger than 24” (61cm) per side, including a frame.
      • Each item must be appropriately finished, cured, and ready to hang with hardware and wire securely attached.
      • Raised sawtooth hangers are acceptable. V-clips are not acceptable.
      • All hanging materials must be strong enough to hold the weight of the item.
    • Unframed Prints, Prints, and Paintings - Guidelines... 
    • Unframed Prints, Posters, and Paintings - Guidelines - up to 2 items

      • Non-rigid items must be mounted on a rigid backing (e.g., foam core or heavy cardboard) and must be in a clear, protective sleeve.
      • Items must be no larger than 24” (61cm) per side (including backing).
      • Prints of any juried gallery artwork must be from a limited edition run of 25 and a different size from the original work.
      • Prints of other artwork (not exhibited in the Gallery) should be from a limited edition run of no more than 50.
      • Clearly display the number and run for each print.
      • You may choose to place a Certificate of Authenticity on the back of each print.

    Please note that you should likely not need more lines than the above, as items within the same category that have the same price can have the same inventory number,  reglardless of differences in appearance. Such items are treated the same in our sales system. For example - all of your art cards have the same number, therefore they go into the form as one entry, on one line.

      'An item's inventory # is a 6-digit number made up of:

      1. Your gift shop artist number (3 digits)
        Your number is: {myArtist}
      2. The item number (3 digits)
        Built consecutively, based on what you submit


      The two parts are then put together as follows:
      (gift shop artist number)(item number)

      IMPORTANT Notes

      • All of your Art Cards must have the same price, per the 2023 SFAS Gift Shop Guidelines.
      • All of your items within the same category that have the same price can have the same inventory #, regardless of differences. So if all of your books have the same price, they can all have the same inventory number, or if all of your fibre pieces have the same price, they can all have the same inventory number...etc.
      • Items with the same inventory number can all go under one entry/line on the inventory sheet.

      Examples

      1. Your first entry on the form is for 4 Books. All these books have the same price. You would then have one inventory number for all 4 books:

      2. You also have 3 Wearable Art items with different prices. You would then have 3 inventory numbers for each of the different prices:

      3. You then have 6 Fine Jewellery items, where 3 of them have the same price, and 3 have another price. You would then have 2 different inventory #s for the two groups of pricing:

      4. Finally, you have 25 art cards, all priced the same (per the guidelines). All art cards would then have the same inventory number:

      CATEGORY

      There are 9 categories to choose from. Choose the category that best suits your item. 
      SHORT DESCRIPTION

      The description can be anything, but please keep it short - i.e 30 characters.

      QUANTITY

      Each category has quantity limits - please see the 2023 Gift Shop Guidelines or click on the category on the previous page for guideline details.

      PRICE ($)

      There is a maximum price of $250 in the Gift Shop.

  • What's Next?

  • You're nearly there! Once you have filled in all the details for the items you are submitting, you are ready to submit the form.

    1. Once submitted, the system will email you a pdf summary that outlines your information. This summary must be printed (2 copies) and brought in to Gift Shop Intake on July 14/15, 2023. DO NOT FORGET TO BRING IN THIS SUMMARY, along with a BOX for your items to be left at the show.
    2. If you everything is good to go, you will can then label all your items using the instructions below.


    Labelling Instructions

    • Each of the items you will be submitting to the Gift Shop will require a round, white, Avery label. (Note: the yellow labels are no longer required.)
    • Each label must include the price, and the inventory number.
    • Art card labels should be placed in the top, right corner of the card, on the plastic sleave.

     

    If your items sell out

    If your items sell out, and you have specified that you have more available for sale, you will be contacted by someone on the Gift Shop team. You can then use the link sent in your email to update your submission & provide information on the additional items.
