Vendor Rules, Policies & Expectations
Thank you for participating in the Chamberlain Oacoma Area Chamber of Commerce Harvest Festival! We appreciate your support in making this a fun and successful community event. Please read the following information carefully before submitting your application.
Booth Space
Each vendor space measures approximately 10' x 10'.
Booth fee is $35 per space.
The booth fee includes space only and does not include electricity.
Vendors are responsible for providing their own:
Pop-up canopy/tent
Tables
Chairs
Display fixtures
Extension cords (if applicable)
Any other equipment or supplies needed for their booth.
Payment
Booth fees must be paid in advance to reserve your space.
No payments will be accepted on the day of the event.
Booth space is not guaranteed until payment has been received.
Nonprofit & Fundraising Organizations
Community organizations and fundraising groups are welcome to participate.
A $35 refundable booth deposit is required to reserve a booth. The deposit will be refunded on the day of the Harvest Festival after your organization has set up and participated in the event.
Organizations that fail to attend or cancel after registering will forfeit their deposit.
Refund Policy
Vendor fees are non-refundable unless the Harvest Festival is canceled by the Chamberlain Oacoma Area Chamber of Commerce due to severe or inclement weather.
No refunds will be issued for vendor cancellations, no-shows, late arrivals, or early departures.
Set-Up & Tear-Down
The Harvest Festival will be held:
Saturday, September 26
9:00 AM – 3:00 PM
Oacoma City Park
Detailed setup instructions and arrival times will be provided prior to the event.
Vendors are responsible for transporting, unloading, setting up, dismantling, and loading all booth materials.
Please note: The Chamber does not have staff or volunteers available to assist with unloading, loading, or booth setup. Please plan accordingly and bring any assistance you may need.
Vendor Expectations
To ensure a positive experience for all attendees and vendors, participants agree to:
Keep their booth staffed and open during the entire event (9:00 AM–3:00 PM).
Maintain a clean, safe, and professional booth throughout the event.
Remove all trash and belongings at the conclusion of the festival.
Respect neighboring vendors and avoid encroaching on adjacent booth spaces.
Conduct themselves in a courteous and professional manner at all times.
Comply with all applicable local, state, and federal laws, including any required licenses or permits.
Liability
The Chamberlain Oacoma Area Chamber of Commerce, the Town of Oacoma, event sponsors, volunteers, and partnering organizations assume no responsibility for lost, stolen, or damaged property, personal injury, or accidents occurring during the event. Vendors participate at their own risk and are responsible for their own property and equipment.
By submitting a vendor application and payment, participants acknowledge that they have read, understand, and agree to abide by these rules, policies, and expectations.
