Terms & Conditions
The customer agrees to the following terms & conditions when booking with Timeless Events Co.
Booking Confirmation
A 20% non-refundable booking fee is required within 3 days to secure your booking; payment of the booking fee confirms the clients’ acceptance of all Timeless Events Co. terms & conditions. Full payment is due 21 days prior to the event date. Timeless Events Co. will accept partial payments if the entire amount is paid 21 days prior to the event.
Failure to make payment within the agreed timeframe will be considered a default to the booking agreement and will result in Timeless Events Co. cancelling your booking. Any payments made, including deposits and partial payments will be forfeited.
At Timeless Events Co discretion a security bond may be charged for any hire items, this will be discussed during the booking process and listed as a seperate line on our invoice, this bond will be refunded in full within 3 business days of all items being returned in the same condition as when they were hired.
Covid
Should any booking be impacted by government regulations around Covid-19, we are happy to provide a refund in full for any services (photobooth/ prop hire), however if we have already purchased supplies (balloons/ vinyls/ any custom requests), the cost of these items will be deducted from any refund, we will only ever order items 3 weeks prior to an event so if we are given a minimum of 21 days notice for the need to amend or cancel the booking, there should be no charge incurred and a full refund offered.
Location Requirements
Timeless Events Co. require an area at least 2m x 2m, flat ground for our photobooths, light up numbers/ letters & boom box. Our 360 video booth requires a 3m x 3m flat area with access to power within 4m.
If the event is outdoors, Timeless Events Co. will require a sheltered & windproof area that offers adequate protection from any inclement weather, decks/balconies/marquees are all considered outdoors.
Weather
Please ensure you have an alternate plan in the event of bad weather, this not only includes rain but also wind. We are unable to put any of our equipment outdoors if there is rain, any loss or damage to our equipment due to moisture will be billed back to the client. Due to the significant risk to public health and safety (and also the risk to our equipment) we cannot setup outdoors/ in the elements if there are wind gusts above 35km/h. If alternate plans have not been made for weather conditions we cannot offer any refunds and you will forfeit all money paid.
Social Media Sharing (Photobooth Bookings)
Social media uploading requires wifi connectivity, we strongly encourage clients to check with the venue if they can offer this and that they have adequate service prior to the event. Lack of connectivity is out of the control of Timeless Events Co. and no refund will be offered if this feature is unable to be offered during the booking.
Changes and Cancellation
Requests for changes to the event date must be made at least 30 days before the original event date. A date change is subject to availability.
All cancellations will result in the client forfeiting the deposit, however, if Timeless Events Co. are notified of the cancellation more than 30 days before the event date, credit to the value of the deposit will be given to the client to use for any future booking made within 6 months of the date of cancellation.
Cancellations made within 30 days of the event date will result in the client forfeiting all payments made to Timeless Events Co..
Use of Images and Privacy Agreement
When booking with Timeless Events Co. the client gives permission for any images, videos or animations captured to be used on the Timeless Events Co. website and/or social media pages for advertising purposes, unless the client requests otherwise, in writing, prior to the event.
Timeless Events Co. will not use any images which are deemed unsuitable or inappropriate on our website or for advertising and will not use any content that we consider may be personally damaging to any person(s).
Timeless Events Co. will not sell your personal details to any third party and will take all reasonable measures to ensure that your personal details remain confidential at all times.
Health & Safety
We love children and they absolutely love our work, however, children under the age of 13 must be supervised by an adult at all times.
The Timeless Events Co. operator may refuse service, pause or terminate the booking at any time during the event if they consider a person(s) is grossly intoxicated or behaving in a way that the operator believes to be dangerous to themselves, any other guests, or potentially damaging to any of Timeless Events Co. property.
Should any aggressive or abusive behaviour be directed towards our team or any significant damage occur towards Timeless Events Co. property, Timeless Events Co. reserve the right to terminate the remainder of the booking. No refund will be offered for any unused time and the cost of any repairs/ replacement of equipment due to damages will be billed back to the client.
Force Majeure
Timeless Events Co. will not be held liable for failing to perform under the agreement should a Force Majeure event occur, including a labour disturbance, fire, threatened or actual act of terrorism, natural disaster, war, extreme weather events (including but not limited to flooding, cyclones, earthquakes, which events might prevent the Timeless Events Co. staff member from attending the venue or to perform his/her duties whilst at the venue). Timeless Events Co. will not be held liable for failure to attend a booked event or complete a booked event in the event of closure of the venue prior to or during a booked event or cancellation of a booked event by the venue or by cancellation of a booked event or closure of the venue by other parties or Government authorities, representatives or bodies.
