Code of Privacy
The True II Soul Privacy Code is a formal statement of principles and guidelines concerning the requirements for the protection of personal information provided to True II Soul Network by its Staff, Community Members, Pro Network members, Customers and Clients. True II Soul strives to provide the best service possible. This means handling your personal information with transparency, integrity and fairness.
The purpose of True II Soul's Code of Privacy is to maintain transparent practices in its management of personal information in keeping with applicable Canadian legislation. Our Code of Privacy tells you how we protect your privacy and the confidentiality of your personal information.
Personal Information is defined as any piece of information, either factual or subjective, about an identifiable individual. Personal Information does not include the name, title, business address, business email or business telephone number of an employee of an organisation.
By submitting this application to become a True II Soul Professional Network member, you agree to the terms of our Online Privacy Policy. If you do not agree to these terms, please do not submit this application form. Your submission will be subject to the most current version of our Online Privacy Policy at the time of your submission.
3.1 When you submit a registration form we ask you to provide certain information about yourself by filling out and submitting this online form. It is completely optional for you to engage in this process. If you elect to complete your submission, we ask that you provide us personal information, such as your first and last name, mailing address (including postal/zip code), email address, contact numbers, and other personal identifying information. Some of the information we ask you to provide is identified as mandatory and some as voluntary. If you do not provide the mandatory data, you will not be able to successfully submit your form. |
3.2 When you submit personal information to True II Soul, you understand and agree that this information may be stored and processed in any of the countries in which True II Soul and its affiliates and subsidiaries maintain offices, including without limitation, the United States and Canada. You also acknowledge that in certain countries or with repect to certain activities, the collection, transferring, storage and processing of your information may be undertaken by trusted vendors of True II Soul Network. |
3.3 True II Soul Network will not knowingly disclose your personal information to third parties without your consent. We may disclose user information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be causing injury to or interference with (either intentionally or unintentionally) True II Soul Network rights or property, website users, or anyone else that could be harmed by such activities. True II Soul may disclose user information when we believe in good faith that the law requires it. |
3.4 True II Soul Network may share aggregate information about our users with advertisers, business partners, sponsors and other third parties. For example, we will say True II Soul Network audience is x percent in a specific industry and y percent in another specific industry. This data is used to customise True II Soul Network site content, marketing and to deliver a better experience for our users. |
3.5 The personal information that you provide in connection with registering yourself as a member of True II Soul Professional Network is classified as Client Information. Client Information is protected in several ways. Your Client Information resides on a secure server. Personal information that you provide that is not Client Information also resides on a secure server. Please note that any information you post to any public bulletin board, guestbook or forum is available to all persons accessing any of our sites. |
3.6 Information provided at the time of Product Purchase, Product or Service Registration or submission of Contact, Membership or Support forms may be used for marketing and promotional purposes by True II Soul Network, our affiliates, resellers or companies associated with True II Soul Network. To keep you in control of your personal information and the communications directed to you, we request you opt into any of the following services: sharing your information in our Network Directory, receiving communications from True II Soul Network about new updates, products, services and/or specials. If a Pro Network Member objects to such use for any reason, she or he may stop that use by e-mail request to admin@true2soul.com. Information provided when purchasing products from any of our online stores may be used for marketing and promotional purposes and is subject to the opt-in processes described on, or linked to, each form. |
3.7 True II Soul Network Website and Professional Directory may contain links to other sites. We do not endorse or otherwise accept responsibility for the content or privacy policies of those sites. Additionally, some of our Web pages may contain "cookies", which are data that may be sent to your Web browser and stored in your computer. This allows our server to "recognise" you when you visit our Website in the future. These cookies do not contain personally identifying information. Most web browsers can be configured to not accept cookies, or to notify you if a cookie is sent to your device. |
3.8 The Ten Principles of PrivacyThe following principles, developed by the Canadian Standards Association, form the basis of True II Soul's fair information practices and outline True II Soul's commitment to protecting your privacy. |
a. Accountability
Every True II Soul Network associate is responsible for maintaining the confidentiality of all information to which they have access. Our associates are informed about the importance of privacy and receive ongoing updates on privacy related policies.
In addition to establishing the Code of Privacy, we have appointed a Chief Privacy Officer who is responsible for overseeing the personal information handling practices at True II Soul Network and ensuring we are in compliance with our Code of Privacy and related policies.
b. Identifying Purposes: Why we collect information
When we need to collect personal information from you, we will identify the purpose for the collection at or before the time we collect it. We will only collect the information needed to fulfill the service we have identified and for no other purpose. If we wish to use your information for any other purpose we will obtain your consent.
We ask for your personal information in order to meet your membership, service or product needs, as well as to establish a lasting relationship with you.
The information we ask for depends on which services or products you require from True II Soul. For example, we may request your personal information to:
· Better understand your needs
· Provide you with a specific service and/or product
· Provide you with information and offers on our products and services
· Comply with law
c. Consent
True II Soul seeks your consent to collect, use or disclose your personal information at the time of collection or in advance. We have taken steps to ensure that our language is clear and understandable so that you know why we are collecting your information and how we will use it.
Consent may be expressed in writing or it may be implied in the circumstances. In addition to writing, your consent may also be expressed verbally or electronically.
In general, you can choose not to provide us with some or all of your personal information at any time. However, should you make this choice we may not be able to provide you with the product, service or information that you requested or that could be offered to you. Upon request we will explain your options of refusing or withdrawing consent to the collection, use, and disclosure of your personal information.
d. Limiting Collection
True II Soul does not collect personal information indiscriminately. Rather, we limit our collection of personal information to only what is necessary for the purpose we have identified. We employ fair and lawful means in the collection of personal information.
e. Limiting Use, Disclosure and Retention
True II Soul will use or disclose your personal information for the purpose for which it was collected, except with the consent of the individual or as required by law.
We will retain personal information only for as long as required to fulfill the identified purpose. Once your personal information is no longer required, it will be destroyed or made anonymous.
f. Accuracy
At True II Soul Network, we endeavor to keep our personal information complete, up-to-date and accurate. While we do our best to ensure our information is accurate, we do rely on individuals to inform us of any relevant changes in their personal information.
Should you discover, upon review of your personal information, that amendments are required, please advise us. If the requested change is accepted, the personal information will be modified in accordance with your request as soon as possible and you will receive a copy of the amended portion of the record.
When a correction or amendment has been made to a personal record, True II Soul will, where reasonable and appropriate, send a copy of the correction to any persons or organizations that have access to the information in question.
g. Safeguards: Protecting your information
We employ appropriate safeguards to make certain that your personal information is protected from loss or theft as well as from unauthorized access or disclosure.
The information we collect is retained on True II Soul Network premises, other than where you have consented to its release or such release is required by law.
h. Openness: Keeping you informed
We have prepared this Code of Privacy to keep you informed of our commitment to protecting your personal information and to maintain transparency of how we do so. True II Soul reserves the right to modify this online privacy policy at any time at our sole discretion. We will promptly reflect any such modifications in our web pages.
i. Providing Access
True II Soul will provide you with access to the information it retains about you upon receipt of a written request and satisfactory identification.
Upon written request and satisfactory identification, we will also correct or amend any personal information if its accuracy and completeness is found to be deficient.
There are some instances where True II Soul will not be able to provide an individual with the requested information. Some of these instances include where the information:
· Consists of references to other persons that cannot be otherwise severed
· Is subject to solicitor–client privilege
· Contains confidential True II Soul Network proprietary information
· Has already been destroyed due to legal requirements or because it was no longer needed for the identified purpose
If True II Soul is unable to provide you with the information you have requested, the reason for the refusal will be explained in writing.
j. Challenging Compliance
We have prepared our Code of Privacy to keep you informed of our commitment to protecting your privacy.
