A tentative list of Secretariat portfolios is below.
In reality, we will endeavour to assign responsibilities according to the application pool. For example, if the USG Marketing were competent in graphic design, there will perhaps be no need to hire a separate USG Design and Media. Or if the DG were uncomfortable dealing with hotel managers, perhaps the USG Conference would be the primary contact point for the hotel.
In other words, the positions below may be combined, split, or shuffled in hiring the VMUN 2020 Secretariat.
However, the positions as described below have remained relatively constant and provide a good idea of what we're looking for.
Director-General: Helps the Secretary-General manage other Secretariat members (usually except Chief of Staff/USGs Committees) and supports them. Additionally, takes on major projects the Secretary-General might otherwise have to do (e.g. planning opening/closing ceremonies, compiling hotel rooming lists, dealing with sponsor teachers).
Chief of Staff: Second-in-command to the Secretary-General in regards to the substantive program of VMUN (committees themselves). Responsible for staff (hiring, training, management). Oversees committees all the way from selection of committee topics to maintaining quality of debate at the conference. Assisted by USGs Committees.
USGs Committees: Managing the entire substantive program of VMUN is not a one-person job. Works under the Chief of Staff. Example pre-conference assignments: organize a portion of Staff Training, edit background guides of a certain group of committees, revise Rules of Procedure. At the conference, works with Chief of Staff to circulate committees and support staff.
USG Conference: Conference logistics – floorplans, scheduling, conference materials, delegate supplies (like handbook, placards), etc. Works with the conference’s hotel, printers, and suppliers
USGs Delegate Affairs: Assigns countries, maintains spreadsheets, main contact for chaperones/delegates prior to the conference.
USG Marketing: Works with the Secretary-General to expand the profile of VMUN. Reaches out to schools, teachers, and potential delegates to diversify VMUN 2020’s delegate pool. Manages VMUN’s online presence and ensures that all those potentially interested as delegates, staff, chaperones, etc, are aware of deadlines/requirements.
USG Sponsorship: Finds corporate/institutional sponsors for VMUN to help fund VMUN’s operations and especially to fund VMUN’s extensive financial aid program.
USG Finance: Works with the Secretary-General to manage VMUN’s budget, keep accounts, issues invoices, track payments, calculate fees for schools, etc.
USG IT: Manages VMUN’s website and online systems. Preferably, well-versed in website management, hosting, servers, CSS, HTML; basic knowledge of MySQL, FTP, PHP, Java, and related setups; familiar with Wordpress.
USG Design and Media: Designs VMUN’s delegate materials, marketing and sponsorship materials, etc. Preferably, experienced in Adobe Photoshop, InDesign, and Illustrator or equivalents. Also coordinates VMUN photography.
