Participant Waiver, Liability Release, and Payment Agreement
This Waiver and Agreement (āAgreementā) is entered into betweenĀ Afrimart International Travel and ToursĀ (āCompanyā) and the undersigned participant (āParticipantā) in connection with participation in theĀ Southern Soul Music Experience ā Ghana Edition, scheduled forĀ March 18ā22, 2026.
1. Acknowledgment of Participation
I, the undersigned Participant, acknowledge that I am voluntarily participating in the Southern Soul Music Experience Ghana Edition organized by Afrimart International Travel and Tours. I understand that this event involves international travel, ground transportation, live concerts, excursions, and cultural activities which may carry inherent risks.
2. Assumption of Risk
I voluntarily assume all risks associated with my participation, including but not limited to travel delays, lost or damaged baggage, illness, injury, weather, or other unforeseen events beyond the control of Afrimart International Travel and Tours.
3. Waiver of Liability
I hereby release and hold harmless Afrimart International Travel and Tours, its owners, employees, agents, partners, contractors, and affiliates from any and all liability, claims, demands, losses, or damages arising from my participation in the event, including any acts or omissions by third parties such as airlines, hotels, transportation providers, and event vendors.
4. Health and Medical Authorization
I affirm that I am physically and medically fit to travel and participate in all activities. I understand that Afrimart International Travel and Tours does not provide medical coverage and that I am responsible for obtaining my own travel insurance. I authorize Afrimart International Travel and Tours and/or its representatives to secure medical treatment for me in case of an emergency.
5. Conduct and Professional Behavior
All Participants are expected to conduct themselves professionally and respectfully. This includes respect for local culture, laws, staff, and fellow participants. Any disorderly, illegal, or unsafe conduct may result in removal from the event without refund.
6. Payments and Deposits
All deposits and payments must be made according to the payment schedule provided.
AĀ 25% depositĀ is required to secure your booking. This deposit isĀ non-refundableĀ under all circumstances.
All remaining balances are due on the specified due date(s). Failure to pay on time may result in forfeiture of your reservation.
7. Late Payment Policy
All payments are due by the dates outlined in your invoice or payment schedule.
AĀ $15 late feeĀ will be applied immediately after the due date.
AnĀ additional $1 per dayĀ will accrue after 3 days, until the outstanding balance is paid in full.
If payment is not received withinĀ 10 business days, your reservation may be canceled, and all funds paid will be forfeited.
8. Cancellation and Refund Policy
All sales are final.
The initial 25% deposit isĀ non-refundableĀ andĀ non-transferable.
Cancellations made after final payment will result in a full forfeiture of all funds paid.
In the event of a cancellation by Afrimart International Travel and Tours (for reasons beyond its control such as acts of nature, pandemics, or governmental restrictions), a travel credit may be issued at the companyās discretion for use toward a future event or tour.
9. Rooming and Occupancy
Standard pricing is based on double occupancy. Single room upgrades are available for an additional fee (VIP package). Room types are assigned based on availability at the time of payment completion.
10. Flights and Travel Documents
Packages that include flights will be arranged by Afrimart International Travel and Tours. Participants must have a valid passport with at leastĀ 6 months validityĀ remaining.
Afrimart International Travel and Tours is not responsible for visa denials, passport delays, or missed flights due to participant error.
Visa on Arrival services are included in full flight packages.
11. Media and Publicity Release
I grant Afrimart International Travel and Tours full permission to use my name, image, video, and likeness captured during the event for promotional, marketing, and archival purposes, in perpetuity and without compensation.
12. Vendor and Artist Clause
Performing artists, DJs, and vendors agree to participate in promotional activities, social media campaigns, and collaborative marketing efforts to support the Southern Soul Music Experience Ghana Edition.
Afrimart International Travel and Tours retains full discretion over scheduling, lineup, and venue arrangements.
13. Force Majeure
Afrimart International Travel and Tours shall not be held liable for any loss or delay caused by circumstances beyond its reasonable control, including but not limited to natural disasters, war, civil unrest, strikes, or government actions.
14. Acknowledgment of Understanding
By signing below, I acknowledge that I have read, understood, and agreed to the terms of this Waiver and Agreement. I am aware that by signing this document, I am waiving certain legal rights, including the right to sue Afrimart International Travel and Tours for any reason arising from participation in the Southern Soul Music Experience Ghana Edition.
