Aisela Travel - Client Service Agreement

When you retain Aisela Travel LLC to plan your vacation, you're hiring a professional travel advisor who will ensure you will receive an exceptional level of pre-departure and in-destination assistance during your vacation. My work is based on years of personal experience and professional expertise. I research hotels and tours to meet your specific needs, contact suppliers, coordinate transportation, and draft itineraries.

This Travel Services Agreement is entered into by and between Aisela Travel LLC and the undersigned Client (called “You”, “Your”). 

Any individual executing this Travel Services Agreement on behalf of You claims the authority to bind You and everyone in your traveling party to the terms of this Travel Services Agreement.

You hereby represent that you are signing as the Client or You are an authorized signatory for client(s). By signing below, You are executing this Travel Services Agreement and entering into a legally binding contract between Aisela Travel and You and everyone in your traveling party for travel services and you acknowledge that you have read our Terms & Conditions.

When you agree to pay a “research & planning fee” or “pay a deposit for travel service” or “make an interim payment for travel services” or “when you make a final payment for travel services”, you accept for yourself and the travelers included in your party costs that have been outlined to you and you attest to your agreement to our Terms & Conditions. 

You acknowledge that research and planning fees are non-refundable, whether you decide to book travel or not. You agree that all fees based on cancellation policies, change fees, penalties and unused portions of travel vouchers are non-refundable. You also understand these fees are separate from the cost of your trip and the tour operator's policies.

Aisela Travel LLC provides travel planning services for the fees listed below: 

To begin work, an initial payment of the Planning fee is required per couple/household or group. Once the fee is paid, Aisela Travel will secure and confirm travel arrangements as agreed. Our Planning Fees cover the logistics of the trip and include land arrangements including hotels, transfers, and scheduled activities. ***This fee is separate from the cost of your trip.

Service Fee Structure: All service fees are non-refundable and non-transferable.

• Research & Planning Fee: $150 per solo traveler or $250 per couple/household/room for full trip planning. This fee covers research, development of the proposal, revisions to the itinerary, booking, managing all components, and support while traveling. 
• Group Trip Planning Fee: We will collaborate with the group organizer to build the itinerary for your group. *This is a research and planning service only, not a booking service.
  • $350 - Small Groups | up to 9 rooms
  • $500 - Affinity Groups | 10+ rooms
• Cruise Planning Fee: We'll help plan your ideal cruise vacation, including making arrangements for pre/post cruise accommodations and transportation.
  • $150 - per Cabin

This fee/service is valid for 30 days upon receipt of payment. If you choose not to book your vacation package with Aisela Travel LLC, this payment will be retained by Aisela Travel LLC as payment for services rendered. 

• Trip Cancellation Rebooking Fee & Penalties: All cancellations must be communicated in writing prior to departure.

• • Cancellation Rebooking Fee - $150 per reservation payable to Aisela Travel LLC, prior to rebooking in addition to any supplier penalties.
  • Supplier Penalties - change fees and cancellations are subject to supplier guidelines and may incur penalties up to the full vacation package price.

By paying our planning fee:

• You understand and accept for yourself and the travelers included in your party the fees outlined herein. 
• You acknowledge and accept that all fees are non-refundable, whether you decide to book the travel presented or not. 
• You agree to all fees such as cancellation policies, change fees, and penalties, and understand that unused portions of travel vouchers are non-refundable.
• You understand these fees are separate from the cost of your trip and the tour operator's fee policies. 
• You also acknowledge reading our Terms & Conditions and getting a copy of this Travel Services Agreement.

Travel Advisor Services:

• Comprehensive consulting and research
• Representation on your behalf to travel suppliers
• Support and advocacy for any issues that arise
• Single destination trip
• Custom designed itinerary

Hotels & Resorts:

• Research and recommendations
• Booking and management of reservations
• Special requests

Air Travel Support:

• Research and recommendations
• Bookings and management of reservations
• Seats and special requests
• Management of any schedule changes

Ground Transportation:

• Rental car reservations
• Airport transfers

Activities: Daily activities recommended and reserved

Travel Insurance: Travel insurance recommended

Travel Itinerary:

• Pre-departure document preparation
• Final pre-departure checks
• Client-initiated changes or cancellations

Travel documents, including passports, visas, and health/vaccination certificates, are your responsibility. 

Valid passports are required for all international destinations, and the expiration date should be at least 6 months following the return date of your trip. 

• Some countries require that your passport have two to four blank visa/stamp pages. 
• Some airlines will not allow you to board if this requirement is not met. 
• For passport support, visit travel.state.gov. 

When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) advises that everyone must show valid identification at the airport checkpoint. 

• For identification support, visit tsa.gov. 
• The name, date of birth, and gender that appears on the identification card must exactly match the same data that is listed on the airline ticket(s) and booking records. 

Additionally, a visa and vaccinations may be required. 

• Please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors, including past criminal records, may contribute to the decision of the local immigration official(s). 
• Should a visa not be issued, Aisela Travel LLC is not responsible for lost payments made toward the contemplated trip. 
• Aisela Travel LLC feels it is an invasion of privacy to make such an inquiry of you. The final decision on entry rests with the immigration or border services officer. 

Visit travel.state.gov on a regular basis for information regarding the incidence of disease, terrorism, safety issues, crime, the need for travel documentation (such as passports, visas, proof of health/vaccination certificates), health hazards, and other restrictions regarding travel to your domestic and/or international destination(s), and re-entry into the United States. 

Required or advised inoculations you decide to obtain upon the advice of your personal physician may need to be administered in a series of doses months ahead of your planned departure, and such time element should be taken into account by you when making deposits and/or non-refundable final payments. Availability and price quotes are applicable to the date and time at which they are requested and cannot be guaranteed until payment is made. 

Aisela Travel LLC will make every effort to honor the price as originally quoted. However, under certain circumstances, additional costs imposed by a supplier or government may be imposed due to an increase in the cost of one or more of the travel components. 

Flight confirmation is subject to availability and prices are subject to change after the date of deposit, including price increases in the fee for a seat assignment, fee for baggage, applicable fuel surcharges, or an increase in a government-imposed fee or tax. 

Correct legal names that match the identification to be used for travel must be provided by the client to Aisela Travel LLC.

Name changes are not permitted on airline tickets. 

Clients are responsible for providing accurate information on the Client Traveler Profile form. Aisela Travel LLC is not responsible for costs incurred by incorrect information provided for travel planning, including reservations and airline tickets. 

If for any reason my credit card charges are later declined, reversed, or Aisela Travel LLC is unable to receive payment for the travel plans and services, I acknowledge that this is a binding contract between myself and Aisela Travel LLC shall be entitled to recovery, including reasonable attorneys’ fees in connection with the collection. 

Aisela Travel LLC offers retail travel services to customers, which are provided by separate and independent vendors of travel services. 

Aisela Travel LLC does not operate, control, or otherwise provide the services of independent travel vendors. 

Hence, the customer agrees that Aisela Travel LLC acts only as an agent for the client in acquiring transportation, hotel accommodations, sightseeing, and other privileges or services for the client's benefit and on the express condition that Aisela Travel LLC shall not be responsible for any loss, accident, injury, delay, defect, omission, or irregularity which may occur or be occasioned, whether by reason of any act, negligence, or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith. 

I have read and agree to these and Aisela Travel LLC's Terms & Conditions and understand and accept the Client Responsibilities on behalf of myself and for all travelers included in my party.

By signing below, I understand and accept for myself and the travelers included in my party Aisela Travel LLC's fee structure. I acknowledge and accept that there are [cancellation policies, change fees, and penalties] applicable to my travel plans and services. I agree to all fees, such as cancellation policies, change fees, and penalties, and understand that unused portions of travel vouchers are non-refundable. I also understand these fees are separate from the cost of my trip.
