COI Requirement: A Certificate of Insurance (COI) is NOT required for this event.
- Shipments may begin to arrive at the warehouse June 22, 2026.
- Discount deadline for orders received with payment is July 1, 2026.
- Shipments to arrive at the warehouse without surcharges is July 22, 2026.

Marketplace Setup: Exhibitor Move-In Time
- Friday, July 24, 2026: 2:00 p.m. – 6:00 p.m.
- Saturday, July 25, 2026: 8:00 a.m. – 1:00 p.m.
Marketplace Breakdown: Exhibitor Move-Out Time
- Tuesday, July 28, 2026: 9:00 p.m. – 11:00 p.m.
- Wednesday, July 29, 2026: 8:00 a.m. – 11:00 a.m.
Please Note
All booth materials must be packed and ready for shipment by 11:00AM on Wednesday, July 29, 2026. Exhibitor is responsible for contacting their carrier for pick up. All carriers must check-in by 10:00AM on Wednesday, July 29, 2026. IMS reserves the right to force and/or re-route any freight not removed from the show floor by 11:00AM on Wednesday, July 29, 2026.
Space Assignment
Booth assignments will be provided before your arrival, but please be aware that space is limited. Once all available booths are filled, we will initiate a waiting list. To ensure your participation, it is strongly advised to secure your booth as early as possible.
Booth and Signs
The Exhibit area will be in Sheraton Puerto Rico Hotel & Casino San Juan Foyer Level. All Standard 10' x 10' booths will have 8' Backwall in black and siderails in black. Each booth space will have one (1) 6' x 30' black skirted table, two(2) padded side chairs, one(1) wastebasket, and one(1) ID sign. Please ensure the exact name of your company is listed as you desire. NO signs will be made on site. Only one (1) Exhibitor/Company sign per booth will be permitted.
Marketplace Hours
Exhibits must always be staffed during exhibition hours with no more than two individuals. Due to security reasons, strict adherence must be followed to opening and closing hours. Hours of operation are as follows:
- Saturday, July 25, 2026: 4:00PM to 9:00PM
- Sunday, July 26, 2026: 9:00AM to 9:00PM
- Monday, July 27, 2026: 9:00AM to 9:00PM
- Tuesday, July 28, 2026: 9:00AM to 9:00PM
Any violation of this rule may lead to disciplinary measures, including potential dismissal without a refund and exclusion from future participation in the ANMA Marketplace. Vendors are strictly prohibited from displaying or selling their products outside of their assigned booth areas. Additionally, canvassing, distributing materials, or advertising beyond the confines of an exhibitor's designated space is not allowed.
Official Decorator
The official decorator will be Freeman Services. A complete Exhibitor Service Kit will be forwarded to each exhibitor with additional features that may be obtained (at the exhibitor’s expense) after vendor registration. Each vendor MUST acquire electricity through the hotel.
Liability
The exhibitor acknowledges that the Auxiliary to the National Medical Association, Inc. and Freeman Exposition Services do not maintain insurance covering Exhibitor's property. It is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance covering such losses by the Exhibitor.
Exhibit Space Cancellation
Cancellation of booth space will not be accepted by the Auxiliary after May 15, 2026. All cancellations prior to May 15, 2026, will be subject to a $125.00 administrative fee to be deducted from the refund. Payment in full will be required for all booths and must be submitted by May 15, 2026, or you will forfeit your deposit. NO VENDOR will be allowed to set up WITHOUT full payment prior to convention!
The Auxiliary reserves the right to refuse applications from exhibitors not meeting the standards required, as well as the right to curtail exhibits which do not adhere to the established policy. This also applies to the conduct of exhibitors.
