  • Please elaborate in detail below the function of the aquatic/pool rental being requested.

    Please include:

    1. DATE RANGE
      1. If more than one day and/or time requested
    2. NUMBER OF PEOPLE EXPECTED
      1. In the water, on the deck, in the area surrounding the pool area as well as outside the fence, including all workers, patrons, swimmers, etc.
    3. SET UP AND CLEAN UP TIME RANGE
      1. If the event is requested for 10 a.m to 2 p.m., that is the time we will open the gates to start and expect all workers, patrons, swimmers out of the faility and ready to be locked.
      2. If you are needing more time for set up and clean up, that is part of your rental time and needs to be booked.
      3. Staff needs to be present and paid for all time at the facility.
      4. If a mess is left anywhere in the pool area, bathrooms, or on Glendale Community College's campus or parking lot, we will charge a $300 per hour clean up fee for staff time as well as all costs of materials associated with clean up.
  • Arizona Swimming Gauchos – Pool Rental Rules & Regulations

    1. General Terms of Use

    1.1. These Rules & Regulations govern all pool rentals at any facility operated, leased, or managed by the Arizona Swimming Gauchos (“ASG”) and Glendale Community College ("GCC").

    1.2. The entity or individual renting the pool space (“Renter”) agrees to comply fully with all terms outlined herein and acknowledges that failure to do so may result in immediate termination of rental privileges without refund.

    1.3. The rental agreement is non-transferable and applies only to the individual or organization listed in the executed rental agreement.


    2. Insurance Requirements

    2.1. All Renters engaging in water-based activities or occupying pool deck areas must provide proof of Commercial General Liability Insurance with a minimum coverage of $1,000,000 per occurrence and $2,000,000 aggregate.

    2.2. The insurance must include coverage for aquatic activities, water-related incidents, and related participant risks, including but not limited to drowning, slips and falls, injury due to diving, and medical emergencies occurring in the pool area.

    2.3. The Arizona Swimming Gauchos and Glendale Community College must be named as an Additional Insured on the policy for the duration of the rental period. A valid Certificate of Insurance (COI) must be submitted no less than five (5) business days prior to the rental date.

    2.4. The Renter shall indemnify, defend, and hold harmless ASG and GCC, as well as its officers, employees, agents, and volunteers from and against any and all claims, damages, losses, and expenses arising out of or resulting from the use of the facility.


    3. Facility Staffing & Supervision

    3.1. A certified Facility Representative or Supervisor employed by ASG will be assigned to all rentals at an hourly staffing rate as determined by the current ASG rental fee schedule.

    3.2. The Facility Representative is responsible for monitoring safety, enforcing facility rules, and coordinating emergency response if needed.

    3.3. The Renter shall comply with all directions and instructions given by the Facility Representative during the course of the rental.


    4. Misrepresentation of Use

    4.1. The Renter must accurately disclose the nature of the event or activity taking place during the rental. This includes, but is not limited to: number of participants, type of activity (e.g., team practice, competition, SCUBA, water polo, etc.), age groups involved, and third-party vendors.

    4.2. Misrepresentation of the activity or failure to disclose material facts shall constitute a breach of contract.

    4.3. ASG or GCC reserves the right to immediately terminate the rental without refund and deny further access to the facility if the actual use deviates materially from what was presented in the rental application or agreement.


    5. Rules of Conduct

    5.1. All ASG and GCC facility rules must be followed at all times. This includes, but is not limited to:

    • No running, diving in shallow areas, or horseplay.
    • Children under the age of 14 must be supervised by an adult at all times.
    • Alcohol, tobacco, drugs, or illegal substances are strictly prohibited.
    • Use of glass containers on the pool deck is not permitted.
    • Pets are not allowed in the facility unless certified as service animals.
    • Proper swimwear is required.

    5.2. The Facility Representative may eject any participant who violates safety or conduct rules. Persistent or severe violations may result in termination of the rental with no refund.


    6. Lifeguard Requirements (if applicable)


    6.1. If the activity involves free swim, open recreation, or any unstructured aquatic activity, certified lifeguards must be present in a number and certification level as required by state and local regulations.


    6.2. Lifeguards must be provided by ASG for an additional fee.

    6.3. Lifeguard may NOT be provided by the renter.


    7. Cancellations & Refund Policy


    7.1. Cancellations made by the Renter more than 14 days in advance may be eligible for a partial refund, minus an administrative fee.


    7.2. Cancellations made within 14 days of the rental date are non-refundable.


    7.3. ASG reserves the right to cancel or reschedule any rental due to inclement weather, facility emergencies, or staff availability. In such cases, a full refund or alternate date will be offered.


    7.4. No refunds will be given for early termination due to rule violations, misrepresentation of the event, unsafe conduct, or breach of contract.


    8. Damage & Liability


    8.1. The Renter is responsible for the conduct of all participants, guests, and invitees.


    8.2. Any damage to the facility, equipment, or grounds resulting from misuse, negligence, or intentional acts will be the financial responsibility of the Renter.


    8.3. ASG nor GCC is not responsible for lost, stolen, or damaged personal property of any participant or guest.


    9. Emergency Procedures


    9.1. In the event of an emergency, the Facility Representative shall assume control of the situation, including clearing the pool, contacting emergency services, and administering first aid if qualified.


    9.2. The Renter must cooperate fully and immediately with all emergency protocols.


    10. Legal & Indemnification Clause


    10.1. By entering into a rental agreement with ASG and GCC, the Renter agrees to release, indemnify, and hold harmless Arizona Swimming Gauchos and Glendale Community College, its officers, directors, employees, and volunteers from any and all liability for injury, loss, or damages resulting from the use of the facility, including but not limited to bodily injury, property damage, wrongful death, and legal costs.


    10.2. This agreement shall be governed by the laws of the State of Arizona, and any disputes arising under this agreement shall be subject to the exclusive jurisdiction of Arizona courts.


    Acknowledgment & Agreement


    By signing the rental agreement or submitting payment, the Renter acknowledges they have read, understood, and agreed to abide by all terms set forth in these Rules & Regulations. The listed Rules & Regulations are not a complete list of Rules & Regulations. Additional Rules & Regulations exist or can be made by Facility Representatives if it is in the best interest of ASG or GCC, or the safety of personnel, patrons, or the general public.
