Cancellation & Refunds
Notification of cancellations must be received in writing. For cancellations received more than 60 days before the program departure date, the trip cost is fully refundable, less a $500 non-refundable deposit per participant. For cancellations received 60–31 days prior to the trip departure date, 50% of the total trip cost is non-refundable. For cancellations received 1–30 days prior to the trip departure date, 100% of the total trip cost is non-refundable. If you cancel while the trip or program is in progress, there shall be no refund for any unused portion.
Cancellation by Bali Institute
We reserve the right to cancel or reschedule any departure for any reason. Please note that although this program is open for enrollment, there must be a minimum enrollment of 8 participants to run the program. We will decide 90 days before the program start date whether the program will run. If we cancel, except in the case of a force majeure event, we will offer you a full refund of the tour fees, including deposits, or the option to use fees as credit for a rescheduled tour agreed upon in writing by Bali Institute. Participants are responsible for any additional costs for air tickets or other travel arrangements not made by us.
Changes and Cancellation by the Supplier(s)
If, between planning time and/or during actual travel, circumstances require changes, Bali Institute and its suppliers reserve the right to cancel or vary any itinerary and substitute components of any program, including but not limited to hotels and accommodations of comparable quality, if air schedules or surface transportation charges, security matters, and/or other events make such alterations necessary. Suppliers may substitute transportation equipment depending on a variety of factors, including the volume of passengers on a program. During local or national holidays or special events, peak seasons, on certain days of the week, and during religious occasions, certain facilities such as museums, temples, restaurants, sightseeing programs, hotels and shopping may be limited or not available. Alternatives will be offered whenever possible. Bali Institute cannot be held responsible for any closures, necessary itinerary changes, or curtailments for any reason. These changes will not be considered material changes and will not be considered cause for cancellation by the traveler. Normal cancellation penalties still apply to the program that has been changed.
Travel, Medical & Evacuation Insurance
You are strongly encouraged to carry travel insurance that includes (a) medical expenses abroad, (b) emergency medical evacuation and repatriation, and (c) trip cancellation and interruption. Emergency medical care and evacuation from Indonesia can be very expensive. Bali Institute’s business insurance is not travel or medical insurance for participants and should not be relied on to pay your medical, evacuation or trip cancellation costs. If you do not already have your own coverage, information about our recommended travel insurance can be found at https://baliinstitute.com/travel-insurance/. If you are traveling with a university or school program, check whether your institution provides or requires specific coverage.
We are not qualified to answer technical questions about the benefits, exclusions and conditions of travel insurance plans, and we cannot evaluate the adequacy of your existing coverage. If you have any questions about your travel protection, call your insurer or insurance agent or broker. Declining to purchase an adequate travel protection plan could result in the loss of your travel cost and/or require more money to correct the situation. You acknowledge that without this coverage, there may be no way to recoup any losses, costs or expenses incurred. If you choose to travel without adequate coverage, we will not be liable for any of your losses, howsoever arising, for which travel insurance coverage would otherwise have been available.
Rooming
Please note that the program fee is based on shared rooms (2 participants per room). We will do our best to match you with a roommate, however, if we are unable to do so based on enrollment, a single supplement fee may apply. If you would like to request a single room, please indicate this using the check box below. We cannot guarantee that we can accommodate every request for a single room, and available single rooms will be given on a first come, first served basis.
Passports, Visas & Health Requirements
Indonesia requires that all those seeking entry into the country have a passport that is valid for at least six months beyond the date of entry. Entrants from many countries are required to obtain a visa or visa on arrival. It is the responsibility of each traveler to determine his or her need to obtain an Indonesian visa in advance and to determine the type of visa required based on the total length of his or her stay in Indonesia, which may be longer than the dates of the program. Bali Institute is not responsible for any fees or penalties incurred by any participant overstaying the length of his or her visa.
Recommended inoculations for travel may change, and you should consult your medical practitioner for current recommendations before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip. Guidance can be found on the Centers for Disease Control and Prevention website at https://www.cdc.gov/.
You acknowledge that any failure to strictly comply with these requirements may result in denied boarding or an undue delay at an airport or border checkpoint, causing you to miss flights and subsequent scheduled travel and program activities. Bali Institute bears no responsibility for advising on and/or obtaining required travel documentation for you, or for any delays, damages and/or losses, including missed portions of your travel, related to improper documentation or government decisions about entry.
