Hinckley BID Motor Show and Classic Vehicle Events Terms & Conditions of Attendance for Exhibitors
Please read these terms and conditions carefully before submitting your vehicle into the Motor Show.
Event Authority and Participation
All decisions regarding event participation, vehicle entry, placement, and conduct are at the sole discretion of Hinckley BID. We reserve the right to refuse entry, turn away vehicles, remove vehicles, or address any issues that arise before or during the event.
All drivers and vehicle owners must follow pre-event instructions and comply fully with directions given by event staff and marshals upon arrival and throughout the event. Parking locations are allocated by Hinckley BID, and participants may not request or choose specific spaces.
Hinckley BID has the final say on all matters relating to the event.
All participants are expected to behave respectfully and cooperate fully at all times. Failure to do so may result in refusal of entry or removal from the event.
Vehicle Exhibiting
Vehicles are exhibited at the owner's risk. No advertising is allowed on any private exhibiting vehicles, and unauthorised selling is strictly prohibited. No gazebos are allowed at the show for private exhibitor vehicles.
All club groups are invited to display a banner or board within their space to publicise the group’s name. Clubs may use our events to promote their activities and recruit new members.
Electric Vehicle Display Policy
For the safety of exhibitors, staff, and visitors, electric vehicles will generally not be permitted for display at the Hinckley BID Motor Show.
This decision has been made due to fire safety considerations associated with lithium-ion battery systems used in electric vehicles and the practical limitations of managing such incidents within a busy public event environment. In the unlikely event of a battery fire, specialist equipment and procedures may be required that are not available within the event footprint.
Additionally, there are currently no dedicated electric vehicle charging points available within the event display area. Without suitable infrastructure to support electric vehicles during the event, Hinckley BID is unable to routinely accommodate them safely.
This policy applies to all fully electric and plug-in hybrid vehicles proposed for static display at the event.
An exception may be made for sponsored exhibits where prior written agreement has been obtained from Hinckley BID. Any such display must be approved in advance and may be subject to specific safety requirements or positioning within the event layout.
Hinckley BID recognises the growing role of electric vehicles within the automotive sector and will review this policy in the future should appropriate safety measures and infrastructure become available.
Charity Collections
Raising money for a charity at Hinckley BID events is encouraged, but a Street Collections License must be granted by Hinckley and Bosworth Borough Council in advance. This must be shown to event officials on the day if requested.

Parking and Movement of Vehicles
Exhibitors should arrive at the event at the time indicated on the ‘pass’. All exhibiting vehicles must be in place by 10:00am.
All vehicles must be parked strictly as directed by event marshals.
You are required to adhere to a strict 5 MPH speed limit at all times.
The event is open to the general public throughout the day, therefore no movement of vehicles is permitted prior to 3:00pm. Early departures are not possible due to strict health and safety regulations governing vehicle movement in crowded areas and our event Risk Assessment obligations.
Oversized Vehicles
Due to our town centre setting, oversized vehicles such as motorhomes cannot be accommodated. Trailers are also not permitted.
Any pre-registered tractors and heavy vehicles must enter through The Borough and will be parked as directed by our marshals.
Noise Management
For health and safety reasons, and particularly for the protection of young children and babies’ hearing, please do not start your engines during the show.
Loud music is prohibited from private vehicles or speaker systems. Generators are not permitted.
Conduct
Exhibitors are required to conduct themselves responsibly and must not disrupt other exhibitors, staff, or attendees.
Hinckley BID reserves the right to take appropriate action where behaviour is deemed unacceptable, including removal from the event.
Marketing and Promotion
Hinckley BID reserves the right to photograph events they host and share images online and with third parties.
All award winners’ names and vehicle details will be published in the post-event press release.
