Event Rules and Guidelines

Our event is for youth aged 8 to 19 years for vendor booths. Each youth requires parental consent and those under the age of 14 must have adult supervision at their booth. Vendor fees are $15 which include a 6 foot table and 2 chairs. You are welcome to bring more chairs and bring your own sun cover, such as umbrella or sun tent. We would like you to have fun being creative with your tablecloth and ask you to bring your own but if you would like one of our black tablecloths, we have them available to rent for $5 per table. Your vendor table will be reserved as soon as we receive your $15 table fee via Brooksprings Farms Rescue’s PayPal (friends and family option), Venmo, check, or cash. All payment options are on our website and contact us for check or cash options. After May 1st, 2026, table fees are nonrefundable. We are a drug and alcohol free family event. No drugs, smoking, vaping, or alcohol! We love animals, but leave your pets and all animals at home. If you have a service animal, please notify us beforehand. Listen to all animal caretakers on how to interact with animals. Be careful near all animals and do not stand behind any horses, ponies, or large animals. Keep track of your stuff. We are not responsible for lost or stolen items, including and not limited to personal items, goods for sale, and money. We have the right to refuse and remove anyone from the premises of event.

Event Vendor Waiver and Release of Liability
*
This Event Vendor Liability Waiver and Release Agreement (the "Vendor Agreement") is made between The Rescue and the Vendor named above. The Vendor agrees to abide by all terms and conditions set forth herein in exchange for the opportunity to provide goods or services at The Rescue’s event, which includes being near and around horses and other animals, and participating in various activities associated with The Rescue. 1. Acknowledgement of Inherent Risks The Vendor understands and acknowledges that participating in activities at event, including but not limited to, handling, grooming, feeding, and being in close proximity to horses and other farm animals, involves inherent and significant risks, dangers, and hazards. These risks include, but are not limited to: a) Equine Behavior: The unpredictable nature of horses or other farm animals, including the propensity of horses to bite, kick, run, buck, bolt, shy, or make sudden, unexpected movements. b) Environmental Risks: Slipping, falling, or being struck by equipment, objects, or animals; uneven terrain; and weather conditions. c) Physical Exertion: Risks associated with heavy lifting, bending, and strenuous physical activity that might be occur. d) Injury: The risk of minor or major bodily injury, serious injury, partial or total disability, and even death. The Vendor voluntarily elects to accept all risks connected with participation in the event activities and asserts that participation is voluntary. 2. Waiver and Release of Liability The Vendor, on behalf of themselves, their personal representatives, heirs, successors, and assigns, hereby unconditionally and irrevocably releases, waives, discharges, and covenants not to sue The Rescue, its directors, officers, agents, employees, volunteers, or representatives (collectively, the "Released Parties") from any and all liability, claims, demands, losses, or damages arising from any injury, disability, death, or loss or damage to person or property, sustained by the Vendor or any person accompanying the Vendor while participating in or traveling to or from activities, whether caused by the negligence of the Released Parties or otherwise, to the fullest extent permitted by law. 3. Indemnification The Vendor agrees to indemnify and hold harmless the Released Parties from any loss, liability, damage, or cost, including but not limited to reasonable attorney’s fees, that may incur due to the Vendor’s participation in any activities, whether caused by the negligence of the Released Parties or otherwise. This includes any claim made by the Vendor or any third party arising out of the Vendor's conduct or failure to follow instructions or safety rules. 4. Vendor Conduct and Understanding The Vendor agrees to: Follow all rules, instructions, and directions given by The Rescue staff and authorized representatives. Discontinue any activity immediately if they feel unsafe. Notify an event supervisor immediately of any injury, accident, or hazardous condition. The Vendor affirms they are physically and mentally able to participate in the event vendor activities and are assuming full responsibility for their own personal safety and health. 5. Governing Law This Agreement shall be governed by and construed in accordance with the laws of the State/Province of Virginia. 6. Signature I have read this Vendor Liability Waiver and Release Agreement, fully understand its terms, and I sign it freely and voluntarily without any inducement. If Vendor is under 18 years of age, Parent/Guardian must sign below: I am the Parent/Legal Guardian of the Volunteer named above. I have read and understand the terms of this Agreement and agree to be bound by them on behalf of the minor Vendor, including anyone under my supervision at the event. I acknowledge the inherent risks and voluntarily consent to the minor’s participation.
