  • FACILITY USE APPROVAL PROCESS

    1) The purpose of use including any event content must not be in conflict with Champion Center / Conquerors Church & Ministries Inc.'s mission and core values.

    2) Rental of the Champion Center / Conquerors Church & Ministries Inc. facility will be limited to approved facility areas. Other areas in the building may be scheduled for other purposes at the same time.

    • Submit Online Rental Request Form to Conquerors Church Office Manager
    • Date is set with Champion Center/Conquerors Church Rental Coordinator for facility walk-thru, review and approval of Building Rental Agreement Form
    • Deposit (see amount below) will be required to secure the facility. Champion Center/Conquerors Church reserves the right to keep the deposit in the event that there is breakage, damage or failure to restore building to original condition.
    • FINAL PAYMENT is due one week prior to the event.
  • DEPOSIT & PAYMENT RULES

    1. Deposit Amount

    To secure your booking at the Champion Center Venue Facility, a non-refundable deposit of 30% of the total event cost is required. This deposit will be applied toward the final balance.

     2. Payment Due Date

    The deposit must be received within 14 days of booking the event, and no later than 30 days prior to the event. If the deposit is not received by this date, the booking will be canceled and the date will be made available to other clients.

     3. Final Payment

    The remaining balance is due 15 days before the event date. Failure to pay the remaining balance by this date may result in cancellation of the event and forfeiture of the deposit.

     4. Refund Policy

       - Cancellation by Client: If the client cancels the event more than 45 days before the event date, 50% of the deposit will be refunded. If the event is canceled less than 45 days of the event date, the deposit is non-refundable.

       - Cancellation by Facility: If the Champion Center Venue Facility cancels the event for any reason, a full refund of the deposit will be issued to the client.

     5. Payment Methods

    Deposits and payments can be made via credit card, bank transfer, or cash. Checks are not accepted.

     6. Receipt and Confirmation

    Upon receiving the deposit, a receipt and booking confirmation will be issued to the client. Please retain this confirmation for your records.

    7. Deposit Forfeiture

    The deposit may be forfeited under the following conditions:

       - Breach of contract by the client.

       - Failure to make the final payment by the due date.

    8. Amendments

    Any changes to the booking (e.g., event date, guest count) must be communicated in writing and may be subject to additional fees. Changes made less than 30 days before the event date may result in additional charges or forfeiture of the deposit.

     9. Acceptance of Terms

    By paying the deposit, the client agrees to all terms and conditions outlined in this agreement.

  • FACILITY USE POLICY

     

    1. General Use

       - The facility is available for use from [stated entry time] to [stated end time] on the event date.

       - The event must conclude by [end time], and cleanup must be completed by [cleanup time].

       - The client is responsible for ensuring that all guests, vendors, and service providers adhere to this policy.

      

    2. Cancellations and Refunds

       - If the client cancels the event more than 45 days before the event date, 50% of the deposit will be refunded.

       - If the event is canceled less than 45 days of the event date, the deposit is non-refundable.

       - If the facility cancels the event, a full refund of the deposit will be issued.

     

    3. Facility Access and Security

       - Access to the facility is granted at [start time] on the event date.

       - The client is responsible for the conduct of all guests and vendors.

       - Security personnel may be required for certain events at the client's expense.

     

    4. Setup and Cleanup

       - The client is responsible for all setup and cleanup of the event.

       - Setup and decoration must be approved by the facility management.

       - All decorations and personal items must be removed by the end of the rental period.

       - The facility must be left in the same condition as it was found.

       - No instruments are to be disconnected with out prior approval.

     

    5. Food and Beverage

       - All food and beverages must be provided by approved caterers/vendors.

       - No alcoholic beverages are allowed in the building, parking lot or surrounding land.

     

    6. Noise and Music

       - Noise levels must be kept within acceptable limits to avoid disturbing neighboring properties.

       - Music must end by [end time] to comply with local noise ordinances.

     

    7. Decorations

       - Decorations must be approved by facility management.

       - No nails, tacks, or adhesives that may damage the facility are allowed.

       - Open flames, including candles, are prohibited unless specifically approved.

     

    8. Liability

       - The client is responsible for any damage to the facility or its contents.

       - The facility is not responsible for any lost, stolen, or damaged items.

     

    9. Compliance with Laws

       - The client must comply with all local, state, and federal laws and regulations.

       - The facility has the right to terminate the event if any illegal activities are detected.

     

    10. Smoking and Drug Policy

       - Smoking is prohibited inside the facility, parking lot, or surrounding land..

       - The use of illegal drugs is strictly prohibited and will result in immediate termination of the event.

     

    11. Emergency Procedures

       - In case of emergency, the client must follow the facility's emergency procedures.

       - The client must ensure that all exits are kept clear and accessible.

     

     12. Acceptance of Terms

       - By signing this agreement, the client acknowledges and accepts all terms and conditions outlined in this policy.
