IMPORTANT REGARDING SPACES WITH ACCESS TO ELECTRICAL OUTLET:
PARTICIPATION INFORMATION & EVENT GUIDELINES
Please read. Non-compliance may result in forfeiture of your exhibitor space and all monies paid. In addition, non-compliance may result in exclusion from our future events.
Only one business, company, or organization may occupy each exhibitor space and must match the name on the application submitted. Furthermore, you may only vend/exhibit the products/services approved via your emailed approval.
Set-up will begin at 9:00 AM on the day of the event. Please do not arrive before 9:00 AM as no one will be permitted to enter the event area early. All setup should be completed no later than 11:15 AM. To ensure that you meet our setup deadline, you MUST ARRIVE no later than 10:30 AM begin set up.
DO NOT affix anything to the walls, ceilings, furniture or fixtures with push pins, tape, nails, staples or anything similar. All decorations must meet fire and safety regulations (i.e. no open flames, etc.). By exhibiting at this event you agree to be held liable for any damage to the property of Diamond Event Services or the Venue/Hosting Facility caused by you, your staff, employee, or representative.
Your exhibitor space must be manned at all times during the event. Due to liability issues, our event volunteers and staff members cannot and will not assist in covering your space. It is best to make arrangements and plan how you will keep your space staffed before the event day. Diamond Event Services’ staff, committee members, and volunteers are not responsible for your merchandise, equipment, etc. AT ANY TIME.
Breakdown will begin at 5:00 PM, the close of the event day. You may not breakdown your exhibitor space early. As an exhibitor, you are required to commit to exhibiting the entire event from 12 PM - 5:00 PM. Failure to comply may result in exclusion from our future events. At the conclusion of the event, all exhibitors are expected to pack up their space and remove all materials. Materials left behind will be removed and placed in trash receptacles. All breakdowns should be completed no later than 6:30 PM.
EXTRA TABLES, RACKS, ETC.:
Special requests for tables, stands, racks, etc. must be submitted in writing to email@example.com and will be considered on an individual basis. Request must include complete description and dimensions. You may be required to submit photos to complete the review of your request.
All spaces will be inspected, prior to the start of the event, and you will be asked to remove non-compliant items. Failure to comply may result in your space being forfeited and no refunds will be issued under these circumstances.
If special items are necessary for you to exhibit, we strongly suggest that you submit your request to have them at the event AND receive written approval for those items from Diamond Event Services, prior to submitting your application to exhibit. You may also submit your special request with your application. In all cases, your approval of a special request will be contingent on your application to exhibit being approved. All applications submitted are subject to our refund policy.
PLEASE NOTE THAT IN SOME CASES, AN EXHIBIT SPACE SELECTION OF PREMIUM OR LARGER MAY BE REQUIRED FOR APPROVAL.
Diamond Event Services and the hosting facility shall not be responsible for any loss, damage, or injury that may occur to the exhibitor’s employees or property from any cause whatsoever, prior, during, or subsequent to the period covered by the exhibitor application. The exhibitor or an authorized person, in submitting this application, expressly releases Diamond Event Services and/or the hosting facility from and agrees to indemnify same against any and all claims for such loss, damages or injury.
Diamond Event Services, the producer of The Pink Event, maintains a strict no refunds policy. The ONLY exceptions to this policy is in the event that payments have been received from exhibitor and the application to be an exhibitor has been declined by Diamond Event Services, this event is cancelled for the above reference date/time, or due to circumstances outside of our control, moved to a location that is more than 30 miles from the original location. This refund policy applies to all payments made to Diamond Event Services and/or The Pink Event for this event.
However, in some instances, and at the sole discretion of Diamond Event Services, an exhibitor’s space may be transferred to another company/businesss. Transfer requests must be submitted in writing to firstname.lastname@example.org and will be considered on an individual basis. In the event that a transfer request is approved, Diamond Event Services will not issue any refunds to the transferor nor collect any payment from the transferee. This must be settled between the two parties.
If your application is approved, you will receive an approval confirmation via the email you provide in this application. It is your responsibility to provide an accurate email address and provide us with any updates or changes to your email. ALL COMMUNICATION REGARDING YOUR PARTICIPATION WILL BE SENT VIA THE EMAIL ADDRESS YOU PROVIDE. Changes MUST be submitted to email@example.com.
If your application is approved you will need to submit the names for your exhibitor pass as soon as possible, but no later than two weeks prior to the event day. We will not accept any exhibitor pass names or changes to previously submitted names after this date. All unused Exhibitor Passes will be forfeited. Names MUST be submitted to firstname.lastname@example.org.
OPTIONAL BOX LUNCHES:
We will provide box lunch options and accept orders from March 1, 2020 through March 15, 2020. All communication regarding lunch options will be sent via email from email@example.com.
If your application is declined, you will receive notification via the email address you provide in this application. Please note, due to the volume of applications we receive, we are not usually able to personalize and give specifics on why an application has been declined. Common reasons are limits on product/service categories, misalignment with our brand and type of product or service, duplicate MLM company, and insufficient space or space type sold out, although there may be other reasons. If you have any questions, you reply to any communication received or send an email to firstname.lastname@example.org.
Upon submission of your application, your credit card will be authorized for the full amount of your selections. Your application will be reviewed and if approved the charge will be finalized immediately. If your application is declined, the authorization will be released within a week.
Please allow up to 5 business days for your application to be reviewed. If we have any questions regarding your application, we will contact you via the email provided in this application. All applications are reviewed in the order they are received.
