EXHIBIT SPACE
This is the only official application for vendors. This event is held indoors at The Retreat at One Daytona (1870 Victory Circle STE H-800, Daytona Beach,FL), and all vendors and items sold must be approved by One Daytona. By applying, the vendor agrees to abide by all One Daytona rules and policies, in addition to those of The Locals Mix Creative Corp.
Vendor spaces are limited and will be prioritized to local artisan vendors and artists. Once approved, your space is guaranteed — however, exact spot selection within the designated vendor area is first come, first served on the day of the event. Vendors must set up within the designated area and be fully set up by 4:30pm. All applications will be reviewed to ensure the event has a broad range for the public to enjoy, and must be approved by One Daytona. Once approved, you will receive a confirmation email, and payment will be due at that time to secure your vendor space.
Vendors must bring their own 6ft table, chairs, and anything else they may need. Outlets are limited, please don't count on one.
Beware of scammers: Danna from Locals Mix is the only person who will contact you regarding your vendor application. Do not send payment or personal information to anyone else claiming to represent this event.
PAYMENT, TAXES, AND DEADLINE
Each vendor space is $50 per event. Events are weather permitting. Payments are non-refundable but can be used as credit towards the next event. Payment is due upon application acceptance to secure vendor space.
Vendors are solely responsible for collecting and remitting any applicable local, county, state, and/or federal taxes on all products or services sold at the event. The Locals Mix Creative Corp. and One Daytona bear no responsibility for vendor tax obligations.
INSURANCE REQUIREMENT
Vendors must carry commercial general liability insurance with a minimum combined single limit of $1,000,000, naming Daytona Beach Property Holdings Retail, LLC and the One Daytona Community Development District as additional insured parties. A certificate of insurance must be provided prior to being granted access to the property. Vendors using a vehicle on-site must also carry commercial auto liability insurance, and applicable workers' compensation coverage is required if the vendor has employees. Vendors will be asked to sign an Insurance and Indemnity Agreement as part of the approval process.
MERCHANDISE AND ITEMS SOLD
All items given out, displayed, or sold must be pre-approved in writing by One Daytona prior to the event. No merchandise may infringe on any trademark, copyright, or other proprietary right of another party, and all merchandise must be properly licensed. All items must be the original work of the vendor/artist.
TRADEMARKS AND LOGOS
Vendors may not use One Daytona's or Daytona International Speedway's name, trademarks, logos, or other branding in any way without prior written consent.
NO SOLICITATION OF PERSONAL DATA
Vendors may not solicit credit card applications or collect personal data/leads from attendees while on the property.
PROPERTY CARE AND DAMAGE
Vendors are responsible for leaving their space clean and in the same condition it was found. Vendors will be held legally and financially responsible for any damage to the property, grounds, or facilities caused by themselves or their employees. No physical alterations to the property (structures, plants, ground surface, etc.) are permitted.
PARKING AND CONDUCT
Vendors must park only in areas directed by staff. Vendors may not sublet, share, or transfer their space to another party without written approval.
DRONE POLICY
Drones/unmanned aerial systems (UAS) are strictly prohibited anywhere on the property. Staff may confiscate any drone found in use.
WAIVER
Vendor agrees to waive any and all claims of whatever nature against The Locals Mix Creative Corp. and One Daytona (Daytona Beach Property Holdings Retail, LLC) and its affiliated parties.
RELEASE
Vendor grants permission and an unconditional release of any photographs, video or motion pictures and/or verbal or written statements for use by the promoters of the event for any legitimate purposes including, but not limited to, publicity, promotions, fundraising, and/or websites.
RULES AND REGULATIONS
Vendors will receive detailed setup and unloading instructions the week prior to the event. A The Locals Mix Creative Corp. representative will direct you to your space upon arrival, with spots selected on a first come, first served basis within the designated vendor area. We will allow a minimum of 6 feet between each vendor. Setup begins one hour before the event and must be completed by 4:30pm; breakdown is by one hour after the event.
Vendors must treat fellow artists, staff, and volunteers with respect or risk being removed from the event without a refund. There will be no location negotiation on the day of the event.
The Locals Mix Creative Corp. and One Daytona reserve the right to accept or deny vendor exhibits when they do not adhere to rules or do not display artwork/crafts as described in the application. Staff have the right to close any non-compliant exhibit immediately without a refund.
Indoor space — vendors are responsible for their own table and display setup. Exhibitor booths shall remain open until the end of event night of each event without exception. Each vendor is responsible for the security of their space and insurance for all goods on exhibit, the exhibit space, and any other items placed within their exhibit area during the event. Event organizers cannot be held responsible for any circumstance that may result in loss or damage.
Exhibit areas are indoors at The Retreat at One Daytona; certain areas will be specifically assigned. No areas other than those assigned may be used except as specified by the Event.
All items displayed and sold must be original work created by the artist and owned by the artist. The artist agrees that the work displayed is their own intellectual property and not in violation of any copyright laws.
We ask that vendors follow current CDC guidelines.
