TERMS & CONDITIONS
1. Application & Selection
- No Guarantee: Submitting an application does not guarantee booth space.
- Review Process: A committee reviews all applications. Notifications will be sent by November 20, 2026.
- Payment: Full payment must be received before the application deadline to be considered.
2. Venue & Booth Setup Indoor Event:
Held inside the renovated, climate-controlled Historic Roundhouse & Machine Shop. Weather will not affect the event.
- Floor Protection: Floors are finished concrete. You must use felt, rubber, or plastic protectors on all furniture and display legs.
- Damage Fees: Vendors are fully responsible for their space. Floor scratches or property damage will result in a minimum $500 fee.
- Power Access: Outlets are located within ~10 feet of most booths. Vendors must bring their own heavy-duty extension cords and power strips.
- Pacing: Arrive early to set up carefully and prevent accidental floor damage.
3. Festival PoliciesAlcohol & Coolers:
- Beer and wine are sold on-site. Outside coolers, bottles, and containers are strictly prohibited. Drinking requires an age-verified festival wristband.
- Lodging & Camping: No RV hookups or dumping stations are available on-site. Limited oversized parking exists. Local hotel discounts are listed at evanstoncelticfestival.com.
- Zero Tolerance: Illegal substances are strictly banned. Violators will be removed immediately and barred from future events.
- Smoking/vaping: Permitted only in designated outdoor areas.
- Pets: No pets allowed inside without prior written approval from management.
- Media Release: Participants consent to the use of their name, likeness, voice, or music in festival promotional and commercial materials without compensation.
4. Legal Compliance & LiabilityRegulations:
- Vendors must comply with all Federal, State, County, and local ordinances.
- Indemnification: All vendors agree to defend, indemnify, and hold harmless Young Musicians, Inc., the City of Evanston, the Roundhouse Complex, and their affiliates against any liability, theft, property damage, personal injury, or death arising from booth participation or use of the premises.
