    Welcome!


    Thank you for joining us as a vendor for FoodeesFest in (FORT WALTON BEACH AT THE DESTIN/FT. WALTON BEACH FAIRGROUNDS). This agreement outlines everything you need to know for a smooth, successful experience. By participating, you agree to the terms listed below.

    Event Overview


    FoodeesFest celebrates unity through food, artisan crafts, and unforgettable experiences. With 100–120 vendors per event, including food trucks, craft vendors, and attractions, our mission is to bring communities together through culinary and cultural discovery.

    Vendor Requirements & Expectations


    Facebook Group Participation


    All vendors must join the Foodees Vendors and Sponsors Facebook Group. This is the only source for:


    • Load-in instructions
    • Layouts
    • Permit and inspection info
    • Final updates and rule changes

    Approved Items Only


    You must submit your full menu or product list in advance. Submission does not guarantee approval. Only pre-approved items may be sold, and changes or substitutions are not allowed. Vendors caught selling unauthorized items will be removed immediately without refund.


    Pricing & Transparency


    • All prices must be clearly posted using professionally printed signage.
    • Handwritten signs are not permitted.
    • All pricing must be submitted for approval in advance.
    • Price gouging or varying prices for different customers will result in immediate removal and a permanent ban from all future FoodeesFest events without refund.
    Equipment & Appearance
    • Tents: Only straight-leg canopy tents are allowed.
    • Generators: Must be silent (70db or below).
    • Cleanliness: Your space must be clean, neat, and professional at all times. Food prep, storage, and waste areas must be screened from public view using approved barriers.
    • Presentation: All vendor areas will be evaluated daily for organization, safety, and cleanliness.


    Beverage Restriction


    Food or craft vendors are not permitted to sell beverages of any kind. FoodeesFest reserves beverage rights for centralized beverage vendors or sponsors.

    Load-In, Setup, & Scheduling


    Load-In Schedule (subject to change; confirmed in Facebook group):


    • Thursday, Jan. 29: 2:00 PM – 6:00 PM (Food Vendors)
    • Friday, Jan. 30: 8:00 AM – 11:00 AM (Craft & Non-Food Vendors)


    LATE ARRIVALS WILL BE TURNED AWAY with no refund. No-show vendors will be banned from future events and forfeit their deposits and vendor fees.


    Setup Deadline


    All vendors must be fully set up one hour before event start time each day.
    Event Hours (FORT WALTON BEACH):


    • Friday: 1:00 PM – 7:00 PM
    • Saturday: 11:00 AM – 7:00 PM
    • Sunday: 11:00 AM – 7:00 PM

    Operational Compliance


    Vehicle Access


    No vendor vehicles may enter or exit the event space until the crowd has fully cleared. Early exit will forfeit deposit and future booking eligibility.
    Waste Management


    • Dumpsters will be provided; use only designated containers.
    • Break down all cardboard.
    • Vendors are responsible for their own waste.
    • A Foodees staff member must sign off on your space before you leave Sunday night.

    Financial Terms


    Vendor Fee + Taxes & Processing


    Your invoice includes:


    • Vendor fee (based on setup size and type)
    • NC sales tax
    • 4% processing fee


    Deposit Policy


    Collected at check-in: (All Deposits Are To Be Paid In Cash).


    • $100 CASH (Food trucks & tented food)
    • $50 CASH (Crafts, prepackaged, artisan vendors)


    Deposits are refundable only if:


    • You stay for full event
    • You clean your space
    • You follow all rules


    No-shows, early exits, or rule violations = deposit forfeiture
    Weather, Rescheduling & Venue Changes


    • Events are rain or shine
    • Reschedules are not cancellations
    • Refunds are only issued if FoodeesFest fully cancels
    • A venue or event activity change is not grounds for refund and may occur due to operational or safety needs


    Chargeback Waiver


    By signing, you agree not to initiate any credit card dispute for:


    • Sales performance
    • Weather
    • Placement
    • Rescheduling
    • Layout or inspection issues


    Chargebacks = permanent ban + entry into our vendor dispute defense system.

    Licensing & Permits


    Your Responsibility


    • You are solely responsible for obtaining and holding all permits, licenses, health certificates, and insurance required to legally operate at each FoodeesFest event.
    • Comply with all city, county, and state special event regulations.
    • Display all required documents onsite and provide copies upon request.
    • FoodeesFest will provide guidance in the Vendors and Sponsors Facebook group.

    Photo & Media Release


    By participating, you give FoodeesFest:


    • Permission to use photos, videos, and media of your booth or brand
    • Rights to use your logos or likeness in marketing without compensation
    All media captured at the event is the property of FoodeesFest.

    Liability & Indemnification


    You agree to:


    • Comply with all laws and local regulations
    • All vendors are required to carry insurance, a minimum of $1 million liability coverage, listing Foodees, LLC as additionally insured. Upon approval of event participation these documents should be emailed directly to Foodees at vendorforms@foodeesfest.com
    • Foodees LLC is happy to provide assistance obtaining insurance; we recommend using FLIP insurance and can provide contact information upon request.
    • Indemnify and hold harmless FoodeesFest, its staff, officers, and affiliates
    • Accept full responsibility for your own property, safety, and operations.
    FoodeesFest is not responsible for lost, stolen, or damaged items

    Tented Beverage Vendors


    • 10x20 or Beverage Trailer: $650
    • Add’l 10x10: $100


    Tented Food Vendors


    • 10x20: $650
    • Add’l 10x10: $100


    Food Trucks / Food Trailers / Attractions


    • 10x20: $650
    • 10x30: $750
    • 10x40: $850
    • Add’l 10ft: $100 per segment


    Stock Trailer (Add-On)


    • $250 (space is limited)

    Agreement


    By submitting payment and/or signing this agreement, you confirm that you have read, understood, and agreed to all terms listed. Non-compliance may result in removal from event without refund and ban from future events.
