Apply to Drive with Kootenay Carshare

Please upload the certified documents from the automobile insurance provider associated with your license for the last 3 years. You may upload multiple files. Documents can be promptly retrieved from ICBC. (Check the "Personal driving record" and "Insurance and claims history record" boxes on the ICBC form). If you lived out of province, you will need to upload the equivalent documents from the relevant country/province/state.

There are two types of personal memberships:

 

1. Full Membership:
   

   As a Full member, you become a member-owner of the cooperative. You hold a share in the organization and gain voting rights at our Annual General Meetings.

   Full members receive lower usage rates because they contribute to the cooperative through share ownership and help support the fleet.

   Additional benefits include:

   Lower hourly and daily rates

   Option to join our Emergency Evacuation List : if you choose to opt in, you may be eligible to use a KCC vehicle in the event of a regional emergency

   Option to prepay the full annual membership fee in one payment, providing convenience and simplified billing

   Ability to sponsor an Associated member, with your share acting as security and responsibility for their usage and any related costs

   
   
   
2. Casual Membership:
   
   As a Casual member, you receive full access to drive and book vehicles but are not co-op owners.

A one-time, non-refundable $35 application fee is required for both membership types. This fee must be paid by credit card through our secure Helcim payment form.

You’ll receive the Helcim payment link by email once your application is approved.

If you are visiting from another carshare cooperative (such as Modo or Victoria Carshare), you may apply under a temporary Visiting membership category. Proof of active membership or account standing with a partner carshare co-op is required. The application fee is waived for Visiting members.

Full Membership Agreement

As a Full member of Kootenay Carshare Cooperative, I agree to observe and be bound by the KCC Rules, Membership Manual, and all Policies and Procedures, including any amendments. These documents form part of this agreement and may be updated from time to time in accordance with cooperative governance.

I understand that Full membership makes me a member-owner of the cooperative. I am required to purchase a refundable membership share, which represents my participation in the cooperative and supports the operation and sustainability of the fleet. I understand that Full members have voting rights and may participate in governance, including Annual General Meetings.

I understand that Full members receive lower usage rates because they contribute to the cooperative through share ownership. I acknowledge that I am responsible for all usage, charges, and liabilities on my account.

KCC provides access to vehicles owned or operated by the cooperative. I understand that I may only use vehicles that I have booked through the system. I am responsible for ensuring the safe condition of any vehicle before and during use. I agree to return vehicles on time, in a clean and appropriate condition, and parked in their designated stall. I will notify KCC immediately if I notice any issue that could affect the safe operation of the vehicle or pose a risk to others, including but not limited to brake problems, steering issues, tire damage, warning lights, fluid leaks, or any condition that makes the vehicle unsafe to drive. I agree to follow all usage rules outlined in KCC policies.

I agree to use KCC vehicles only in accordance with KCC rules and policies. Without limiting those rules and policies, I understand that I must not allow unauthorized drivers to use a KCC vehicle, must not smoke in a KCC vehicle, must not use a vehicle for any illegal purpose, must not operate a vehicle while under the influence of alcohol, cannabis, drugs, or any intoxicating substance, and must not operate a handheld device while driving. I understand that I am responsible for returning the vehicle and any related equipment in proper condition and for complying with booking, extension, cancellation, parking, cleanliness, refuelling, and reporting requirements established by KCC from time to time. I understand that these examples are not exhaustive and that all KCC policies apply.

KCC will endeavour to keep vehicles clean, reliable, and well maintained. I understand that KCC’s inspection and maintenance do not replace my responsibility to ensure that a vehicle is safe to operate. I agree not to operate a vehicle that is unsafe. KCC does not guarantee the availability of any vehicle and makes no representations or warranties regarding the condition, availability, or fitness of any vehicle.

I understand that I am responsible for my use of KCC vehicles and for any consequences arising from that use. I agree that I am responsible for all fees, expenses, fines, liens, damages, insurance deductibles, and any other costs resulting from my use of a vehicle, including any third-party claims.

I understand that all amounts owing are a debt due and payable to KCC. I agree that KCC may apply any outstanding invoice balance against my membership share, which acts as security for my obligations, and that my share will only be restored once all amounts owing have been fully paid.

I understand that usage rates may include variable charges, including fuel surcharges, which may be adjusted from time to time based on operating costs. Current rates and applicable charges are approved by the KCC Board of Directors, are available on the KCC website, and may be updated without prior notice.

I agree to pay my invoice balance on time. Balances past due in excess of $30 may accumulate interest at a rate of 2.2% per month, and balances over $200 may result in suspension of access. If payment is not received by the due date, I authorize KCC to charge the payment card on file without prior notice, and I understand that a $40 administrative fee may be applied. KCC reserves the right to suspend or terminate access until all amounts are paid and may take further steps to recover amounts owing, including collections or legal action. Late payment policies, fees, and interest rates may be updated from time to time.

I understand that violations of KCC rules or policies may result in fines, fees, suspension, or termination of driving privileges or membership, depending on the nature, severity, or repetition of the violation.

I understand that KCC maintains insurance coverage for its vehicles and that I am responsible for any applicable deductible or related costs if I am at fault or otherwise responsible for an incident.

I understand that KCC collects and uses my personal information to administer my membership and operate the service, in accordance with its privacy policy.

I understand that I may choose to sponsor an Associate member. If I do so, I accept responsibility for their usage, and all charges, including theirs, will be billed to my account under a single invoice. I understand that my membership share acts as security for their usage and any related costs.

KCC may suspend or terminate my access if my account is not in good standing, if I violate KCC policies, or if I fail to meet payment obligations. Membership termination and share redemption are subject to KCC policies and timelines.

Emergency Evacuation list

Kootenay Carshare maintains an optional list of Full members who may need a ride during a community evacuation:

Tier 1: I do not own a vehicle and am unlikely to have another ride and I most certainly need the Carshare to evacuate.

Tier 2: I do not own a vehicle and may have another evacuation option, but Carshare would be my backup plan.

You are applying as an Associate member of Kootenay Carshare Cooperative.

Associate members have access to use KCC vehicles but are not member-owners of the cooperative. Your access is linked to a sponsoring Full member in good standing.

The agreement below outlines the rules for vehicle use, safety, and responsibilities that apply to all drivers of KCC vehicles. As an Associate member:

• You do not hold a share or voting rights
• Your membership is dependent on a sponsoring Full member
• The sponsoring Full member’s share acts as security for your usage
• The sponsoring Full member is responsible for any fees, damages, or liabilities resulting from your use of vehicles

A $250 refundable deposit is required and may be applied toward any outstanding charges or damages. You will receive a payment link after your application is approved, and access will be activated once the deposit is received.

As an Associate member, you must be linked to an existing Full member in good standing. Please provide the Full member’s information below. A confirmation email will be sent to them to review and approve your application.

Associate Membership Agreement

As an Associate member of Kootenay Carshare Cooperative, I agree to observe and be bound by the KCC Rules, Membership Manual, and all Policies and Procedures, including any amendments. KCC provides access to vehicles owned or operated by the cooperative. I understand that I may only use vehicles that I have booked through the system. I understand that I remain responsible for my conduct, use of KCC vehicles, and compliance with KCC rules and policies, regardless of the sponsoring Full member’s financial responsibility.

I understand that Associate membership requires a refundable deposit. I understand that this deposit may be applied toward any outstanding charges, damages, or other amounts owing in accordance with KCC policies.

I understand that usage rates may include variable charges, including fuel surcharges, which may be adjusted from time to time based on operating costs. Current rates and applicable charges are approved by the KCC Board of Directors, are available on the KCC website, and may be updated without prior notice.

I understand that violations of KCC rules or policies may result in fines, fees, suspension, or termination of driving privileges or membership, depending on the nature, severity, or repetition of the violation.

I understand that KCC maintains insurance coverage for its vehicles and that applicable deductibles or related costs may apply if I am at fault or otherwise responsible for an incident, in accordance with KCC policies and the sponsorship arrangement.

I understand that KCC collects and uses my personal information to administer my membership and operate the service, in accordance with its privacy policy.

KCC may suspend or terminate my access if my sponsoring Full member is not in good standing, if I violate KCC policies, or if I fail to meet applicable membership requirements. Associate membership remains subject to approval and ongoing support by the sponsoring Full member and to KCC policies and timelines.

Casual Membership Agreement

As a Casual member of Kootenay Carshare Cooperative, I agree to observe and be bound by the KCC Rules, Membership Manual, and all Policies and Procedures, including any amendments. These documents form part of this agreement and may be updated from time to time in accordance with cooperative governance.

I understand that Casual membership provides access to KCC vehicles but does not make me a member-owner of the cooperative. I do not hold a membership share and do not have voting rights.

I understand that Casual membership provides access to the service without share ownership and that usage is billed at standard rates, while Full members may benefit from lower rates through their participation in the cooperative.

KCC provides access to vehicles owned or operated by the cooperative. I understand that I may only use vehicles that I have booked through the system. I am responsible for ensuring the safe condition of any vehicle before and during use. I agree to return vehicles on time, in a clean and appropriate condition, and parked in their designated stall. I will notify KCC immediately if I notice any issue that could affect the safe operation of the vehicle or pose a risk to others, including but not limited to brake problems, steering issues, tire damage, warning lights, fluid leaks, or any condition that makes the vehicle unsafe to drive. I understand that violations of KCC rules or policies may result in fines, fees, suspension, or termination of driving privileges or membership, depending on the nature, severity, or repetition of the violation.

I understand that KCC maintains insurance coverage for its vehicles and that I am responsible for any applicable deductible or related costs if I am at fault or otherwise responsible for an incident.

I understand that KCC collects and uses my personal information to administer my membership and operate the service, in accordance with its privacy policy.

KCC may suspend or terminate my access if my account is not in good standing, if I violate KCC policies, or if I fail to meet payment obligations.

Visiting access is temporary and may be approved only for the dates requested, unless otherwise confirmed by KCC.

Visiting Membership Agreement

As a Visiting member of Kootenay Carshare Cooperative, I agree to observe and be bound by the KCC Rules, Membership Manual, and all Policies and Procedures, including any amendments. These documents form part of this agreement and may be updated from time to time in accordance with cooperative governance.

I understand that Visiting membership provides temporary and conditional access to KCC vehicles for individuals who are members in good standing with a recognized partner carshare organization or who have been approved by KCC. I understand that Visiting membership does not confer member-owner status in the cooperative. I do not hold a membership share and do not have voting rights.

I understand that my access to KCC vehicles is limited in duration and scope, as determined by KCC, and may be revoked at any time at KCC’s discretion.

KCC provides access to vehicles owned or operated by the cooperative. I understand that I may only use vehicles that I have booked through the system or accessed through an approved roaming or reciprocal agreement. I am responsible for ensuring the safe condition of any vehicle before and during use. I agree to return vehicles on time, in a clean and appropriate condition, and parked in their designated stall. I will notify KCC immediately if I notice any issue that could affect the safe operation of the vehicle or pose a risk to others, including but not limited to brake problems, steering issues, tire damage, warning lights, fluid leaks, or any condition that makes the vehicle unsafe to drive. I agree to follow all usage rules outlined in KCC policies.

I understand that my eligibility to drive may depend on my standing with my home carshare organization. I understand that KCC may share relevant information regarding my use, compliance, or incidents with that organization as required.

I understand that KCC collects and uses my personal information to administer my access and operate the service, in accordance with its privacy policy.

KCC may suspend or terminate my access if I am not in good standing, if I violate KCC policies, or if I fail to meet applicable requirements. I understand that Visiting access is temporary and subject to KCC policies and timelines.

I confirm that the information provided in this application is accurate and complete. I understand that providing false or misleading information may result in denial of my application or termination of access.
